Distance Calculus Program Spring Coordinator Meeting

GT Responsibilities Answer questions about the program Admit students to the program and provide list of admits to counties and schools Submit GT approval for Accel Register students for program Provide orientation session and materials Assist schools with technology Provide instruction for course Issue GT transcripts and grades Maintain GT website (admission.gatech.edu, then “Programs for High Schoolers”)

School Responsibilities Answer questions about the program Market program to students and families Assist students with application process (transcript) Maintain technology at site Notify GT of any staff changes (counselor, facilitator, etc.) Monitor student attendance Proctor exams and submit assignments to GT Approve Accel applications Issue GT grades on high school transcript

Minimum Requirements vs. Competitive Admission Minimum Requirements: 3.5 overall GPA (GT recalculated scale) 3.5 math GPA (GT recalculated scale) 600+ on the SAT math section 4+ on AP Calculus AB exam or 3+ on AP Calculus BC exam Admitted Averages for Fall 2012 Class: GPA: 4.1 (Overall and Math-only) SAT: % took AP Calculus BC exam. Average Score: 4.9 AB Average Score: 5

Timeline for Admission Process May 15: Application Opens $65 fee or fee waiver Need to upload a copy of transcript June 15: Application Deadline Counselors no longer need to send transcripts July 15: Test Score Deadline AP/SAT/ACT Students need to request these scores be sent to GT when they register for the exams July 19: Decision Notification Through BuzzPort Admitted students will receive a packet in the mail August 2: Intent to Enroll Form Deadline

NEW this Year High Schools are not responsible for sending official transcripts With an ever-growing applicant pool, it’s become increasingly difficult to get transcripts for each student from the high schools Students will upload an electronic transcript to their application If students do not have an electronic transcript, they can scan the transcript and attach it Do you foresee problems with your students having copies of their transcript before June 15?

Timeline for Admission Process May – June Application submitted to our office & reviewed for GPA, residency status Check for missing materials & update students July AP, SAT, and ACT scores due Admission decisions made and posted to BuzzPort August Intent to Enroll Form Due On-campus Orientation Wait list offers made through Friday, August 9 Payment Due by 1 st day of classes

Accel Funding Starting Fall 2012, Accel only covers tuition (not fees or books) Costs: $107 + books for Accel recipients $1,135 + books for non-Accel recipients Costs: Tuition and fees will be set over the summer (typically June) Accel can still be adjusted- have to wait to see the amount it will cover

Accel Funding Process Student submits online application HS counselor approves GT Admission approves Financial Aid approves and awards funding to student account Student can see total remaining cost for semester on account Deadlines Fall Students: submit by August 2 Counselors: submit by August 9 Payment for semester due August 19 at 4pm Spring Students: submit by November 22 Counselors: submit by December 6 Payment for semester due January 6 at 4pm (tentative)

Facilitators Importance of Facilitators: Day-to-day coordinators of the program “Face” of the program (extension of GT) Classroom Managers Maintain integrity of the program Working with Facilitators: How does your county select facilitators? When? What type of training is provided? Are there any benefits/incentives offered to the facilitators for their service?

Transcripts & Grade Reporting Current Process (including Spring 2013) Students are responsible for using online ordering system to request a transcript be sent to their high school counselor Students have the option of sending an electronic ($8) or paper ($7) transcript Transcripts are sent at end of term to contact listed by student Common Problems Students order transcripts to be sent immediately instead of waiting until the end of the term Students don’t order transcripts Students list inaccurate contact information Receiving electronic transcripts for many students is cumbersome

Transcripts & Grade Reporting Registrar’s Office Proposed Solution (for Fall 2013) Students sign waiver for GT to send transcripts to HS HS would need to pay for all transcripts at one time? GT collect payment from students when they sign FERPA release? At the end of the term, all of the transcripts for that HS are mailed in 1 package Students pay high school for cost of transcript? County grading policies GT does not issue numeric grades
