End-of-Year (EOY) Conferences Per Policy DNA, each employee shall have at least one evaluative conference annually to discuss the written evaluation. A conference requires a face-to-face [in- person] meeting before the evaluation is provided to an employee to view in Eduphoria Strive. The purpose of an EOY evaluation is to summarize the employee’s performance for the overall school year. It is also an opportunity to review the job description and clarify and set expectations and goals for the upcoming school year. Any concerns you have with an employee’s job performance should not be a surprise during the EOY conference. If substitutes are used to cover EOY conferences, the reason “Campus Directed Activity” must be used.

T-TESS EOY Evaluations

Reminders TTESS EOY conference window is April 1st through May 14th (March 20th through May 2nd – Castle Hills ES only) T-TESS EOY conferences and completion of the Summative/EOY evaluation form must occur by May 14, 2019 (May 2, 2019 for Castle Hills ES). Prior to EOY Conference, appraiser should consider, 10-15 minute Observation(s), Formal Observation and other relevant evidence. These are all taken into consideration for the final ratings on the Summative Report. The ratings can be pre-populated for Domains 1, 2, and 3 prior to the EOY Conference but do not share the report/evaluation with the employee until AFTER the conference. Domain 4 is rated after the teacher presents evidence in the EOY Conference. Teacher can provide evidence before or during the conference.

Important Reminder Domain 4 An appraiser can not have a rubric created/used to rate teacher attendance in Dimension 4.1. Per a Commissioner’s Decision, a teacher’s appraisal can not be marked down for taking leave a teacher is statutorily allowed to take.

DOMAIN 4 Look For’s

GOALS During the EOY conference, determine the progress toward the current professional and student growth (SLO) goals. Professional Goal Status Options: If the teacher and appraiser decide during the EOY conference that the goal was not completed, the teacher can edit an approved goal by selecting the Reopen button, click Edit Approved Goal, change the Target Completion Date and Submit for approval. Appraiser will then approve the 2019-2020 goal. If the teacher and appraiser agree that goal has been completed, teacher will mark the goal Complete.

GOALS (continued) Student Growth (SLO) Goal Status Options: SLO’s can not roll over to the next school year. The teacher will need to mark the goal as Complete. HR will mass Archive all completed goals in July.

17th Dimension Full cycle and less-than-annual will require a rating for the 17th Dimension – Student Growth Measure (SLO).

Appraisal E-MAIL Alerts In Strive, select Appraisal Alerts, check and enter the following options, then select Update You will begin to receive email notifications, such as the one shown from Schoolobjects

Non T-TESS EOY Evaluations

All other Staff evaluations Appraisers will need to “capture” all other staff members that require an EOY conference and evaluation. HINT: Click on the following Appraisee boxes from the right menu to “capture” the non T-TESS employees that you need to appraise in order to identify the correct evaluation template. If an employee is not listed, they need to register and/or log in to edit their profile location.

Selecting the appraisal type Click on the bell icon on the top left of the employee “card”. Then using the spreadsheet provided by HR, select the correct evaluation method (a.k.a. Appraisee Type). Once you are done “capturing” your employees, no active employee should be marked Not Set.

Two part evaluations The following evaluations have two-parts, one part being a “self-evaluation”. In Strive, this will be completed differently than it was done within PDAS. The portion completed by the employee will be a separate Self-Reflection document. NOTE: Confirm which positions this applies to by reviewing the spreadsheet provided by HR. Central Office Administrator Curriculum and Instruction District LVN District Nurse Instructional Technology Specialist Technology Services – Certified To complete and submit the self-evaluation, the employee will log in, select their Personal View and under the Self-Evaluation Header, select the plus sign and pick the appropriate template from the ones listed above.

COMPLETING THE EVALUATION Once you have captured the employee and held the EOY conference, you can complete and submit the evaluation for the employee’s acknowledgement and signature. Under the header End of Year Conference, select the plus sign next to End of Year Evaluation and choose the appropriate evaluation based on the HR spreadsheet provided.

Evaluation not complete For employees that resign or are on an approved leave of absence during the EOY window, you need to add the Evaluation Not Complete form. NOTE: Do not refer to any specific medical or disciplinary reasons in the comment box.

Intervention PLANS

Intervention plans Employees on intervention plans need to have the IP Follow-up Meeting form completed to identify whether they successfully completed the IP.
