Regulations & Arrangements of Final Examinations Part I Examination Procedures (Semester 1, Academic Year) Presented by Dr. Wendy Chan, Associate Vice President Dec 30, 2009

Timetable & Regulations 1.Make sure you have the latest Examination/Invigilation Timetable. Please read the Examination Regulations carefully (distributed).

40 Minutes Before Examination 2.You must be present 40 minutes before the Examination. Please be punctual.

Check Exam Papers 3.The Chief Examiner (i.e. the teachers teaching the subject) must check the accuracy of the question paper.

Stay for the Whole Session 4. We are short of staff. All Chief Examiners are the Chief Invigilators. They need to stay for the whole session.

Scripts Counting 5. (a)All Answer Sheets/Books must be counted and the number recorded. (b) Absence must also be recorded (i.e. the name of the student). (c) Students who are late must also be recorded.

No Cheating 6. If a student is found cheating please inform the Chief Invigilator or the Invigilator-in-Charge in each room, the Chief Invigilator must report to the case to AR as soon as possible.

Students Normally Not Allowed to Leave Early 7. If students are allowed by the Chief Invigilator to leave the venue during an examination session, the Invigilators should: (a) Make sure all the materials are in order, check the answer book(s) and papers, student numbers and subject code ; (b) Arrange the students to leave quietly.

IMPORTANT NOTES FOR THE CHIEF INVIGILATOR (A) Collect the Question Papers/Answer Books/Answer Sheets from the Examination Centre on the 2nd Level of Exhibition Hall. (B) Check to see if everything is in order. (C)Get the Invigilator to distribute the Question Papers etc. and take the roll. (D) Report suspected cheating to AR timely.

IMPORTANT NOTES FOR THE CHIEF INVIGILATOR (E) At the end of the Examination get the Invigilator to count the number of Question Books etc. collected. Make sure that the NUMBER is correct (PLEASE RECORD IT) before letting students leave the room.

IMPORTANT NOTES FOR THE CHIEF INVIGILATOR (F) For Students without ID Card, you may: 1. Login in the ‘Management Information System’. 2. Click ‘Student Personal Photo’. 3. Input the Student No., then click 'Enter'. 4. If there is no photo found / matched to the student, please bring him/her to the Examination Centre after the exam. 5. To protect the students’ privacy, the system will be only available during the final /supplementary examinations.

Prevention of Swine Flu One package of masks will be put on the desk of each exam venue for anyone (students or staff) who may be in need.
