How to use types of communication effectively & barriers to overcome them Michael Foat

Written Communication Written communication uses letters and words to communicate. Factors that influence good written communication Good forms of written communication should look professional and be precise. Written communication should be clear and easy to read- use appropriate font size and style. All words and phrases in written communication should be spelt correctly and use correct grammar. All written work should use good English and avoid slang. Appropriative ways to communicate Written communication can be different. A piece of writing can be formal or informal. Formal is used when talking to people you don’t know, making completes or discussing important issues. Formal pieces include; reports, memos and letters. Informal writing is used when talking to friends or family in a relaxed manner. Informal pieces include; blogs (facebook), instant message, text or twitter.

Written Communication Written communication uses letters and words to communicate. Barriers to written communication It is easy to place barriers when using written communication to communicate. These barriers consist of mistakes and errors. These mistakes and errors could be spelling or grammar related. It is important to ensure everything is correct and to the best It could be as this is all the recipient will see. You cannot add extra explanation if the recipient gets confused. Overcoming the barriers You can overcome written communication barriers by doing a number of things. You can spell check- ensure all words are spelt correctly. This will avoid confusion incorrectly spelt words. You can also check for grammar mistakes. By doing this you improve the clarity and makes your work easier to read.

Verbal Communication Verbal communication is where people communicate through speech. Factors that influence good verbal communication Good verbal communication includes loud, clear speech that is easy to hear. Verbal communication should be done using good English- not slang. The tone should clear and should be done loudly. Good verbal communication relies on how the speech is presented- the person should speak slowly so it is easy to follow. Appropriate ways to communicate Verbal communication a be done using a number of techniques. Different techniques include speeches, interviews and presentations. Verbal communication can also be performed using formal/ informal techniques. Formal verbal communication would be used during interviews and speeches. Formal verbal communication should not involve any slang- use correct English.

Verbal communication is where people communicate through speech. Appropriate ways to communicate- continued Informal verbal communication would be used when casually talking to friends and family. Informal verbal communication could include slang and special phrases. Informal verbal communication doesn’t use good English. Verbal communication can be used to communicate all over the world, using programmes such as Skype and telephones. Barriers for verbal communication Verbal communication can hit many barriers through errors and mistakes. For example, a basic barrier is being unable to hear what is being said. This can easily happen through the techniques used by the communicator. The person speaking the information may be going too fast or speaking unclear. Also, there are language barriers. This can cause major disruption and confusion. For example, it is most problematic when giving important instructions. If there are language differences people may miss out on vital information.

Verbal communication is where people communicate through speech. Overcoming the barriers Verbal communication barriers can be corrected. This can be done by ensuring the speaker speaks clearly and slowly. This will ensure everyone can hear, understand what is being said. Also, the speaker should use clear, good English language. Avoid slang and special phrases. The speaker should ensure they are speaking to whoever is listening, directly to the audience rather than looking to the ground of away from the audience. This is more polite and will make it easier for the audience to hear and understand.

Non-Verbal Communication Non-verbal communication is communication through movement. Factors that influence good non-verbal communication Good examples of non-verbal communication include good, clear actions. Good examples include hand gestures, facial and body expressions and posture. Ensure you look professional and presentable to give a positive impression. Appropriate ways to communicate Non-verbal communication can be used when presenting a PowerPoint, role plays and sign language. Appropriate features of good non-verbal communication include hand gestures, facial expressions, bodily expressions, posture and eye movement. Non-verbal communication can represent someone in a formal/ informal manner. To present formal the person using the non-verbal communication could have a negative posture, limited uses of hand gesture and using certain facial expressions e.g. not smiling, looking the person in the eye.

Non-Verbal Communication Non-verbal communication is communication through movement. Barriers for non-verbal communication Non-verbal communication can have many barriers. For example, if the person trying to communicate is not using clear gestures and using a negative posture. Also, if the person doesn’t use eye contact, it can be seen as impolite and bad mannered. It can also be difficult for people to understand the person trying to communicate. If the person is unclear it can cause confusion. Also, there are many cultural barriers that can appear when using non-verbal communication. For example, pointing one some parts of the world is fine, in others it is extremely offensive. Also, looking at people, in some countries can be seen a polite. In other parts of the world it is highly offensive and impolite.

Non-Verbal Communication Non-verbal communication is communication through movement. Overcoming the barriers The barriers found when using non-verbal communication can be avoided. This can be done through the person using non-verbal communication. The person trying to communicate must be clear and easy to understand. Use correct bodily and facial expression, hand gestures, posture and eye contact. The person trying to communicate should also use correct features depending on the audience. For example, do not use any actions that many be offensive in different cultures around the world. If features are portrayed correctly, it will be easy for the person to get the information across.
