MC Strategies 2009 CDS Administrator Roundtable Archiving, Manager Zone, Q&A February 26, 2009

Why Manager Zone? Provides specific administrative privileges Provides access to learners across departments and facilities Allows managers/supervisors access to their direct reports Allows managers to assign and track training for all direct reports Allows managers to be responsible/accountable for staff training Allows managers to be accountable for staff compliance Limits administrators with access to multiple departments

Setting up Manager Zone Identify the Manager and Learners they manage Contact your Client Service Representative Complete and return the required forms to your CS rep Product support will make the connection in the database Learners with Manager Zone privileges will see a tab on their personal page.

Learner Status Summary -Quick overview of your learners statistics – Number of learners reporting to you Total number of lessons assigned, completed, due and past due Quick Links to Manager Zone privileges Learner Lookup – view facility, dept, position code and last login date E-learning Lessons - Create Modules to meet team/ individual needs Manage Learner Training – Assign lessons /enroll learners in Events Track Learner Progress – Reports include lessons & events assigned, completed, due and past due

Questions? Add revised date to the forms Need both Learner and Manager’s learner ID

You Need to add the same lesson to the learners lesson plan – Learner has completed the lesson and you want them to take it again –The same lessons are assigned annually –The LMS will not allow the same lesson to appear twice in a learner’s lesson plan Need to clear old lessons from learner lesson plans –New lessons are available you do not want the learner referring to old ones l –New year and you want to clear all lesson plans for a fresh start. –New leadership wants a clean start –The lessons from prior years are no longer needed in the lesson plan. –Long list of lessons are making it difficult for learners to find what they need.

Administrators can archive for a learner or a single department –Manage E-learning page –Use Reassign Option Facility, Organization or Modules across learners and departments – The Product support team will perform the archive. – You will need to contact your CS Rep – Complete an Archive Request form.

What to Archive? Completed Lessons Archive all completed lessons before reassigning the module Incomplete lessons Archive incomplete lessons when you want a record that they were assigned Archive incomplete lessons when you want a record that lessons were not completed

Archiving for individual learner or department Log in – Choose admin home page Choose E-learning Assign by learner or department By Learner choose E-Learning Detail Tab By Department choose E-learning Assign modules

Requires a Process: Contact your Client Service Representative Complete the Archive Request Form Plan the Date to Archive the lessons Archiving Considerations -Run reports you use regularly -Be sure to run annual reports before archiving

Define What to Archive - List modules or lessons to be archived - Need exact title or lesson name - List facility/departments - Define the date range to be used - Define which date field to use assigned date, due date, or completed date Define When to Archive Set a date to archive Set a date to run reports

Questions? Re-assign will archive completed lessons and give you a choice to archive incomplete.
