2 U.S. Department of Agriculture eGovernment Program AgLearn Student Interface AgLearn is USDA’s enterprise-wide learning management system (LMS), which manages all aspects of training within each agency as well as across USDA. Employees will login to AgLearn’s Student Interface to search for available training, launch online courses, and record completed training activities.

3 U.S. Department of Agriculture eGovernment Program The Student Experience – Roadmap Please use this guide as a roadmap to complete the Student’s journey through AgLearn. You will start with the Development Plan and then continue with Catalog, Course, Learning History and finally end with Reports. If you get lost during the journey look at the top right hand corner of the slide. There, you will find a marker showing your exact location on the roadmap. For example, if you are reviewing information about Learning History, the purple Learning History rectangle will be located in the corner. Now, let’s begin the journey. Your first stop will be the Development Plan. Catalog Development Plan Learning History Reports Course 1 2 3 4 5

4 U.S. Department of Agriculture eGovernment Program Access the Development Plan Development Plan After a student logs in to the AgLearn System, they will be directed to the Development Plan. This page displays all of the courses the student is enrolled in, but has not completed. From the Development Plan, an AgLearn user can: View courses (both self-enrolled and enrolled by a supervisor) Launch courses (online components) Delete self-enrolled courses (components) Review course descriptions (component information about the training activity being offered) Continue to the next slide to learn more about the Development Plan… Please note: within AgLearn, courses (online, classroom, or other) are referred to as ‘Components’

Click this link to launch the component (online course only). Click this button to delete a component (course) you enrolled yourself in.

6 U.S. Department of Agriculture eGovernment Program Student Catalog Catalog Catalogs contain components, also known as learning activities or courses. Course offerings that are available to students in a catalog are determined by each individual agency. Students can perform the following functions in the catalog: Search for a specific learning activity (component) by Subject Area or Title List of all courses available for enrollment Read a course’s description Check availability for Student to enroll Enroll in a component and add it to the Development Plan Continue to the next slide to learn more about the Catalog…

7 U.S. Department of Agriculture eGovernment Program Search Criteria: The more information you fill out about the component you are looking for, the more you can narrow down the results. The following search fields are on the Search Catalog page: Classification – Narrows the list down to the broad categories of online courses (Online Only), courses offered at specific times (Timed Based), and/or physical goods (Documents, Videos, etc…) Component Type – Narrows down the list to the specific type of component (i.e. Document, Exam, Classroom, Web Based, etc…) Subject ID Contains: Narrows down the list to subject IDs containing the specified information. Title Contains: Narrows down the list to subject IDs containing the specified information. SKU: This is a unique identifier to each component in the system. Currently this is not being used. Search Catalog Catalog To search the entire course Catalog, simply leave all fields empty, make sure the Classification is set to ‘All’, and then click the Search button.

8 U.S. Department of Agriculture eGovernment Program Browse Catalog Catalog Click the Browse link to view the Browse Catalog page. To return to the Search Catalog page, click the Search link. Subject Area ID: Click the link with the Subject Area you want to see a list of courses that are available in the catalog. Search by Title: Enter keywords included in the course’s title and click Go to display a list of course containing that keyword in its title.

Click this link to launch the component directly from the catalog. The component will also be added to the Development Plan. Click this button to add a component to your development plan.

10 U.S. Department of Agriculture eGovernment Program Complete the Course Course Courses in AgLearn are available for students to complete in a variety of ways. Courses may be offered in the following formats: Online Courses Instructor-led (Classroom Setting) Online Presentations Documents Video Take an Exam Upon completing the course successfully, the student may view the date of completion, grade, and print/email a certificate of completion (when applicable) from the Learning History page.

11 U.S. Department of Agriculture eGovernment Program Learning History After a component (learning activity) has been added to a Student’s development plan, the Student must complete it. To complete the component follow the instructions outlined in the course instructions. Whatever the component type, the successful completion of the component needs to be recorded as ‘complete’ in the AgLearn system. Students cannot record a learning activity as ‘complete’ themselves, this can only be done by a supervisor or training officer. The Learning History page displays all successfully completed components (learning activities/events) that are recorded in the AgLearn system. It also lists details such as the instructor and grade for each completed learning activity/event.

12 U.S. Department of Agriculture eGovernment Program Review Learning History Learning History Click this link to print a certificate of course completion. This shows when the course was completed by the student. Click this link to view information about the component. This drop down menu lets you sort learning records by: Completion date, Component ID, or Component Type.

13 U.S. Department of Agriculture eGovernment Program Student Reports Reports Reports offer the student a way to generate a summary of their training information. It is important to note that Students can only run reports on themselves, unless they are a supervisor. If a student is also a supervisor, they can run individual reports on themselves or run reports on their supervisees. Continue to the next slide to learn more about reports.

15 U.S. Department of Agriculture eGovernment Program Run Reports Reports Report Options let you customize the format of your report Sort By determines how you want to display the report’s information List determines what information will be shown on the report Report Format is PDF which allows you to view, print, and save the report Report Title is the name of the report Mask Student IDs allows you to show or hide Student IDs on the report

16 U.S. Department of Agriculture eGovernment Program Run Reports Reports After clicking the Run Report button a new window appears displaying the requested report in Adobe Acrobat Reader. The report can be saved and/or printed for record keeping.

Let’s review some of the stops we took along the way. Catalog Development Plan Learning History Reports Course The development plan displays all of the courses the student is enrolled in, but have not completed. The Learning History page displays all successfully completed components (learning activities/events) that are recorded in the AgLearn system.
