1 PowerPoint 2003 Basics

2 What is PowerPoint? PowerPoint allows you to make screen presentations and paper/web handouts with:  Text  Graphics  Animation  Sound PowerPoint slides can be combined with Tegrity to create video presentations, which may later be accessed from the web by students.

4 Inserting Slides Applying Layouts Title Slide Title Only Title and Bulleted Text (most common) Title, Text, and Clip Art Title Text, and Chart Title and Table Title and Diagram or Organizational Chart

5 Views in PowerPoint Normal (with Slides and Outline Tabs) Add and edit text, graphics, animations Slide Sorter Rearrange slides by clicking and dragging Slide Show Run your full-screen slide show to check timing, animation Notes Page Add presenter’s notes for practicing speech Slide Master Change fonts, bullets for entire show (caution)

6 Adding Text Simply click inside the formatted boxes and type your text Hot tip:  Increase and decrease indent, or press tab to create outline views with subheadings These bullet points are examples of this  Text boxes will automatically adjust to include more text (don’t type too much info on one slide)  Turn off bullets or add your own text box if needed

7 Applying Slide Designs Once you have inserted some slides, choose a slide design Every design element (titles, text boxes, bullets, etc.) will match with the Design Template Hot tips:  Choose Color Schemes to pull up variations of the templates  Scroll to the bottom and click on Design Templates on MS Office Online for more choices

8 Inserting Clip Art Clip Art – WMF and GIF  Line art and cartoon graphics Search by typing in key word(s) Click on down arrow to right of graphic and choose Preview/Properties for more info about your possible selection

9 Inserting Clip Art – Moving and Resizing Moving clip art object or text box  Graphic – Click in middle of graphic, look for compass points, hold down left mouse button, and drag to location  Text – Click on the outer boundary of the text box (not inside, which is for editing), hold down left mouse button, then drag to location Resizing  Click in one of the four corners, look for diagonal two-sided arrow, and drag to change size  Hot tip: Don’t use other resizing handles unless you want to distort the image

10 Inserting Clip Art Photos, Animated GIF’s, Sounds Photographs – JPEG files  Hot tip: Go to Google, click on Images, search for other pictures, and save on drive. Then, choose Insert menu, Picture, and From File to add these pics. Movies – animated GIF’s  These are not movies, but animations which play with the presentation Sounds – WAV files  Short sounds, such as a phone ring  Longer sounds, such as music  Hot tip: Search for “music” or “sounds” to find longer pieces of music

11 Inserting Clip Art Options (Intermediate) For some WMF (Windows Metafile) graphics, colors can be changed to match presentation colors  Right-click, choose Format Picture, see if Picture tab is available, choose Recolor button Graphics can be ungrouped to remove unneeded part  Right-click, choose Grouping, Ungroup, click on part, and press delete; Regroup when finished Images can be cropped or cut  Click on image to bring up Picture Toolbar, click icon, go to edge of graphic, click on edge, and drag to crop Original Footless, fancy free Footed Color matched

12 Slide Transitions Choose from 58 slide transitions Click No Transition to remove Indicate whether you want the transition to play automatically or wait for a mouse click Choose Play button to see on editing page or Slide Show to jump straight to the presentation Hot tips:  Lower the speed (fast speeds can be obnoxious)  Use sparingly since transitions can distract the audience from message

13 Custom Animation Apply to text or graphic Choose Custom Animation to apply animation to one object  Click object and Add Effect button  Select from Entrance, Emphasis, and Exit effects Choose Animation Schemes to apply animation to all elements in slide  Go to Slide Show menu, Animation Schemes, and click on a scheme to see effect on slide  Select from Subtle, Moderate, and Exciting effects Hot tip: Adding animation to text, triggered by mouse clicks, can be effective to force the audience to stay focused on what you want them to see, when you want them to see it

15 Running the Slide Show Run by going to View menu or Slide Show menu to start from first slide Click screen icon that looks like presentation screen to start from other slide in presentation Use mouse-click, Enter key, arrow keys, or navigation tool at bottom to advance slides Hot tips:  Choose pen tool to make annotations  Go any slide by clicking navigation area at bottom left from within slideshow  Press “Esc” key to quit out of slideshow  Press “b” for black or “w” for white if you want to blank the screen

16 Printing Options Slides (default option) – don’t use Handouts – best option  Choose 2, 3, 4, 6, or 9 slides to a page  Choosing 3 slides gives place to write notes Outline View – pure text Notes Pages – For presenter to practice Choose from Color, Grayscale, or Pure Black and White
