 The purpose of this presentation is to assist schools in administering the WorkKeys Assessment.  It points out the critical information from the 106 page WorkKeys Supervisor’s Manual  It is designed to help securely and efficiently administer the WorkKeys Assessments. o Inform students and parents of the benefits of the WorkKeys test and the value of the National Career Readiness Certificate. o Order the tests, at least 3 weeks before your test date(s) o View the following Powerpoints: WorkKeys Testing and KDE’s Administration Code for Kentucky's Educational Assessment Program and Inclusion of Special Populations. o Read the Supervisor’s Manual (posted on the KDE WorkKeys webpage) o Identify and train the testing staff All testing staff sign and FAX Verification form (page 89 in the Supervisor’s Manual ) o Administrators – please keep a roster with staff signatures on file documenting all staff have viewed the WorkKeys Testing PowerPoints and KDE’s Administration Code for Kentucky's Educational Assessment Program and Inclusion of Special Populations. o Prepare the testing room per Supervisor’s Manual (pages 3-5) o Inventory and secure the test materials when they arrive per guidelines (page 10 in the Supervisor’s Manual ) WorkKeys Emergency Contact Phone

 Assessments you need to order: ◦ Reading for Information ◦ Locating Information ◦ Applied Mathematics  Order WorkKeys tests by using Assessments and Materials Order Form (posted on KDE WorkKeys webpage). Orders must be received at ACT at least three weeks before your scheduled test date. ◦ Fax number is on order form.  Some testing accommodations are approved for WorkKeys assessments, based on documented need. (Pages of the Supervisor’s Manual, ). ◦ Authorized accommodations include: large-print, Braille, test readers, sign-language, open caption videotapes, assistance in recording responses, word-to-word foreign language dictionaries and extended test time ◦ Students needing accommodations must be identified before tests are ordered. ◦ When ordering tests for students needing accommodations, use the Accommodated Testing Materials Order Form.  Sample Order: Per student, for 80 students - order: o 80 test booklets each of Applied Mathematics, Locating Information, and Reading for Information o 80 answer documents (one per student) o You may want to order a few extra test booklets and answer documents o The following materials will be automatically shipped to you with your order – 1 per every 25 students tested: Supervisor Manual(s) Site Headers Building Headers (in case they need them) Group Headers (in case they need them) Return Envelopes  After you have completed the order form, fax pages 2 – 3 to ACT ◦ Fax: (319) , Attn: ACT WorkKeys ◦ Retain your Fax confirmation print out  See the accompanying order form (on KDE WorkKeys webpage)  If your local school district decides to conduct online testing, instead of paper-and-pencil, this is an extra cost to the district WorkKeys Emergency Contact Phone

Receive and Check-in of Test Materials (Supervisor’s Manual, page 9).  Within 24 hours of receiving test materials, take the following steps to check them in: ◦ 1. Examine the carton(s) for signs of tampering. ◦ 2. Open the carton(s) and check the serial numbers of the test booklets against the numbers listed on the WKEYM Pack/Return Slip (WKEYM Slip is in the shipping box).  Count each individual booklet; do not assume that the groups of booklets are complete. ◦ 3. Check the remainder of the shipment against the WKEYM Pack/Return Slip to be sure it is complete. ◦ 4. After you have verified the materials in your shipment, reseal the cartons with the provided tape and write your name across the tape. Be sure your signature starts on the cardboard, goes across the tape, and ends on the cardboard (Supervisor’s Manual, page 9 diagram). WorkKeys Emergency Contact Phone

◦ 5. Lock the cartons in a secure place to which only you (or authorized persons) have access. Be sure to keep the cartons in which the test materials were shipped to you. These cartons will be used to return tests after each test date. All test materials are to be secured in a lockable container in a locked room. (page 10 of the Supervisor’s Manual ) ◦ 6. NO part of the WorkKeys test may be duplicated. ◦ 7. IMPORTANT! Report any security breach (theft, loss, or exposure) to ACT immediately. ◦ 8.  Main responsibilities of the Test Supervisor: ◦ Read the Supervisor’s Manual and comply with the policies and procedures it describes. ◦ Complete the Test Site Staff WorkKeys Manual Verification (page 89 in the Supervisor’s Manual ) and return to ACT before testing. ◦ Overall responsibility for coordinating testing-site operations, including ordering and storing materials and setting up testing rooms and schedules ◦ Select, train and assign Room Supervisor, Testing Staff, and Proctors – if applicable. ◦ Order test booklets and answer documents at least three weeks before testing date(s). ◦ Order test booklets and answer documents by completing the WorkKeys Assessments and Materials Order Form (on KDE WorkKeys webpage): ◦ Inventory test materials upon arrival. Complete the WorkKeys Test Materials Tracking Log (page 93 of the Supervisor’s Manual ) ◦ WorkKeys administration forms, such as WorkKeys Roster, WorkKeys Test Materials Tracking Log, WorkKeys Irregularity Report, etc) (Pages 89 – 104 of the Supervisor’s Manual ). ◦ Keep the test materials secure (pre-test, during the test and post-test) ◦ Adhere to WorkKeys policies and procedures to ensure a fair and consistent testing environment ◦ Provide a well-planned, safe and comfortable testing atmosphere ◦ After testing, pack and ship the assessment materials according to WorkKeys specifications in the Supervisor’s Manual (pages 86 – 87) WorkKeys Emergency Contact Phone

 Read the Supervisor’s Manual and comply with the policies and procedures it describes. o Complete the Test Site Staff WorkKeys Manual Verification (page 89 in the Supervisor’s Manual ) and return to ACT before testing o Training must be attended by all testing personnel, both new and experienced, so that everyone has a common understanding of their test day responsibilities  They need to be familiar with: ◦ Keeping test materials secure (both pre-test and post-test) ◦ WorkKeys administration forms, such as WorkKeys Roster, WorkKeys Test Materials Tracking Log, WorkKeys Irregularity Report, etc) (pages 89 – 104 of the Supervisor’s Manual ). ◦ Checking students into the testing room and using the WorkKeys Roster (page 91 of the Supervisor’s Manual ) ◦ Room setup and seating arrangements and completing the Seating Diagram (page 97 of the Supervisor’s Manual ) ◦ Distributing test materials, keeping test booklets in sequential serial number order ◦ Properly starting and timing the tests ◦ Handling unexpected circumstances and events, including the WorkKeys Irregularity Report (page 95 of the Supervisor’s Manual ) ◦ Ending the test ◦ Collecting and securing test materials  A “Proctor” is required in addition to the Room Supervisor for groups larger than 25 examinees WorkKeys Emergency Contact Phone

 Test Supervisors are responsible for selecting and reserving test rooms.  Choose rooms as free from distraction as possible  Select rooms that are not so small as to be crowded or so large that test security will be difficult to maintain  Arrange seating, per guidelines (pages 3 – 7 of the Supervisor’s Manual )  An uninterrupted period is required for testing  Post signs outside the test room(s) to warn that testing is in progress and quiet is required.  Materials to be supplied by the school: ◦ No.2 pencils with erasers ◦ Pencil sharpener ◦ Two timepieces: watch, stopwatch or wall clock ◦ Permissible calculators (see allowable examples on page of the Supervisor’s Manual ) WorkKeys Emergency Contact Phone

 Seating assignment is crucial with WorkKeys testing ◦ All students in the test room must face the same direction, in straight rows and columns ◦ If using tables, see guidelines (page 5 of the Supervisor’s Manual ) ◦ There must be at least three feet of space between students to discourage cheating ◦ There must be sufficient aisle space for staff to get to every seat during testing without disturbing students ◦ Seating is to be assigned and recorded on the WorkKeys seating diagram (page 97 of the Supervisor’s manual ) WorkKeys Emergency Contact Phone
