What will we cover today? Overview of how recently introduced transparency requirements within country codes of conduct and regulations are impacting the way healthcare planners are now organising meetings Guide you on what healthcare organisations need to report on Share how suppliers can help you with this process

What are the changes? Worldwide regulatory compliance changing rapidly over past 18 months Sparked off by the recently deployment of the US ‘Sunshine Act’ in 2012 European countries introducing own ‘version’ of the Sunshine Act in response Requirement to report payments to individual HCP’s by healthcare companies Individual HCP reporting requirements include: -Consulting fees- Honoraria -Gifts- Food & Beverage -Travel- Accommodation Per country deadlines for starting to collect the data, then to report data Reporting deadlines commence this year, 2013 PlanApproveDeliverCollectReport

Who is responsible for what? THE REALITY: The host of the meeting is ultimately responsible for collecting and reporting: Regulatory compliance data Internal policy data Financial data However….. A significant amount of the reporting required comes from the data generated by the meeting planning process A significant amount of the reporting required comes from the data generated by the meeting planning process The agency, venue and technology system add value by supporting the meeting manager with the data requirements

Meeting Manager Event Venue Event Agency Technology System Where is all the data? Delegate list Supplier listing PO approval flow Venue proposals Flight costs Signing in sheets Per delegate costs F&B costs Delegate information Full budgetary detail Flight information Invite responses No-shows Room usage Room upgrades Final supplier costs Venue cost breakdown Contract / addendum HCP spend approval Budgetary approval Speaker contracts

What needs to be reported? Meeting Data Collected Regulatory Compliance Delegate spend HCP payment Sign in sheets Procurement & Finance Reconcile PO Spend savings KPI measure Meeting Host Delegate feedback Final budget

Compliance at events is not easy… …but your event team can help you!

What are Agencies seeing? How are agencies supporting healthcare client accounts, in terms of collecting and reporting? What changes have been noticed from planners working with the agencies? What is the day to day impact on agency teams?

What are Venues experiencing? What steps are venues taking to assist in the collection and reporting of data for their healthcare client accounts? Have venues noticed any changes in the way meeting managers are working? What is the main impact of these changes on the venue teams?

What are Technology Systems facing? What developments are technology companies undertaking to support their healthcare clients, in order to collect and report robust, accurate compliance data? How are technology systems changing to meet the needs of meeting managers in the current compliance driven environment? How do these changes impact technology companies?

Q&A What are your views? Have you seen any changes? What are the current frustrations faced by the meeting planner? How have these impacted you in your role?

So will Meeting Managers become Data Statisticians? No….and you don’t want to be one either! But…..the collection and reporting of data will become more integral to your role and there will be a need to partner more closely with your agency, your venues, your suppliers and your technology company to ensure you get what you need to deliver successful, appropriate, compliant meetings
