P 82 Volunteer Sites 1064 Participants 60 Alumni 5 External Alumni Sites 3800 Hours of Community Service $452.60 Raised for Non-Profit Organizations

BIG Event 2019 APRIL 6th, 2019! Executive Board Community Outreach (2) Event Logistics (2) Site Development (2) Volunteer Recruitment (2) Publicity (2) Finance & Corporate Sponsorship (1) Alumni & Faculty (1) Grad Liaison

Community Outreach Consists of 2 Co-Chairs Registers Non-Profit organizations as sites for QU’s Big Event. Prepares and delivers: Informational Letters Site Registration Reminder Electronic Newsletters/ Postcards Maintains contact with sites until the Big Event. Oversees a committee

Event Logistics Consists of 2 Co-Chairs Coordinates day-of events: Opening Ceremony Speakers Food Delivery Parking & Transportation Facilities for staging & seating requirements Work with the Student Center

Site Development Consists of 2 Co-Chairs Responsible for grouping students into teams: Approx. 10 students to a team Ensure it meets sites maximum number of students. Process all registration forms, and maintains accurate records of student data: Contact Information Allergies Coordinate a list of drivers for each team. Responsible for placing teams in a site. Research sites and put together informational packet to be distributed during the team captains meetings. Gather all feedback from the sites / volunteers and recommend suggestions for future events BUS transportation

Volunteer Recruitment Consists of 2 Co-Chairs Coordinate and organize student volunteer registration. Present to all FYS classes Plan and hold Big Event Information Sessions for interested students (Spring). Work with other clubs and organizations to recruit members. Present to organizations & clubs on campus Present to IFC & Panhellenic Present to the Athletic Department Oversees a committee

Publicity Consists of 2 Co-Chairs Construct a marketing campaign for the Big Event. Maintain and update Facebook / Twitter / Instagram Schedule and hold interviews with local media outlets Student Media Local Media Design and post posters around campus Dorm Storm Design snap chat filters Design posters & quarter sheets Comes up with fundraising ideas

Alumni / Faculty Representative Consists of only 1 Chair Work with the QU Alumni Association to schedule alumni to do service work throughout the country. Attend meetings with the Alumni Association on a regular basis. Create a budget plan for per head alumni costs. Work with faculty to get more involvement in the event. Work with Human Resources Contact all Deans of all Schools for more involvement Distribute flyers to all faculty & staff on campus

Finance Consists of only 1 Chair Work with the Co-Directors & Vince to manage the 2019 Event budget. Help in different managerial accounting procedures to plan for the Big Event. Work with SGA to manage the budget and several accounts Manage an advanced excel document Deal with all receipts, reimbursements & the Bursar’s office

Commitment Executive Board: Committee Member: Fall Semester: bi-weekly meetings Spring Semester: weekly meetings, team captains meeting & all committee meeting Committee Member: Meetings are held as deemed necessary by your committee co-chairs. MUST be present at Big Event committee meeting during the Spring Semester
