Reservations and Events How to Use Reserve West Reservations and Events

Reserve West Quick Facts The web app is accessible 24 hours per day from users’ cell phones or computer. Booking through the web app allows users to browse all available rooms on campus when making a request. Users are able to view, edit, or delete the reservations online. Users can now request services from WIC through the reservation process.

Where to Access Reserve West (Web App) Visit the reservation web page at www.westga.edu/reservewest Click “Reserve Space”

Reserve West Homepage Log in here with your UWG username and password. Can’t log in? Please contact reservewest@westga.edu for assistance.

Reservation Process Overview Enter Reservation Details Add Services Select Room Enter Date, Time, & Attendance Select Reservation Template

Select Reservation Template Step 1: Select “Create a Reservation.” Step 2: Select the template that best describes your meeting/event. The “Simple Meeting” template is only available for UWG Faculty/Staff.

Enter Event Date/Time/Attendance Select Date List start and end times Click here if the event happens on a regular basis. Add the # of attendees to filter only the rooms that are large enough to accommodate the request.

Select Room(s) Click here to select the room. Click the room name to view more information on the room such as pictures and features of the room.

Add Services Need to request services for setup, additional equipment, or clean-up? You can now request this through Reserve West! Choose the quantity and make sure to add instructions as you would have previously done via email. Select the services you need for your event.

Enter Reservation Details Click “Create Reservation” to complete the reservation request process. Enter meeting/event information into all required fields.

What Happens Next? The room request will be routed to the approver of the venue selected. You will be contacted via email/phone if additional information is needed. Requests that require additional approvals from campus partners will be routed through the system. No more paper forms with the exception of the Food Safety Plan and Raffle Permit. You will receive a confirmation email once all approvals have been added and the space is confirmed. Please do not advertise your event until the reservation has been confirmed.

Managing Reservations Need to make changes to your reservation? You can view the status and make any changes through the Reserve West web app. Click here

Managing Reservations (continued) Choose the area of the reservation request that you would like to make changes to Check the status of your request here. Select the reservation you would like to edit. Need to add an additional meeting date or room with the same meeting/event name? Select “New Booking.”
