Student Data Updates Purpose: To update or correct the records of students whose status has changed between Survey 3 and the first week of state testing Elements that can be changed: Grade level SWD status ELL status FRL status DOP/DJJ status EOC status Withdrawals All changes above made by district with exception of EOC status

Student Data Updates Making changes to students who withdrew from an EOC course prior to April 17 Pay close attention to students who were withdrawn from Algebra 2 courses Can impact school grade - participation
Prior Year Assessment Matching Purpose: To correct the records of students who have a prior year test score and match these scores with student records. Used for the calculation of learning gains, VAM scores, and determining first time test takers in high school Improvements for 2017: AAE uploaded an N/A for all students not expected to have prior year scores, resulting in reduction from over 300,000 records to under 20,000 records! Disregard all assessments not offered by your school.

Prior Year Assessment Matching Focus on students with a “No.” Disregard students with a “Yes” or an “N/A” Look for students who were in-state last year in a tested grade level or subject area
Prior Year Assessment Matching Use Prior Year Assessment Search Engine Input student information (sometimes less is more)
Prior Year Assessment Matching If you find a match, input Prior Year Assessment Administration, Unique Test ID, and mark Yes to Add Prior-Year Data
Assessment Matching Purpose: To match assessment data to students in the Student Updates file and to remove duplicate records Deadline TBD since spring scores not yet released Elementary schools cannot complete yet More detailed instructions to follow after score release Most common issues are with FSA ELA (Reading & Writing): Test Coordinator used local ID for one portion and state ID for the other Some students took each portion at a different grade level Some students took one portion online and the other paper-based
Assessment Matching Select the subject/test you would like to edit (you only need to edit tests that your school offers) Click on the Records Needing Corrections tab and the Duplicate Records tab to see records with mismatches
Assessment Matching Disregard students who entered after Survey 3 – you will not be able to edit these student records Code Explanation Y Record cannot be corrected because it is already matched. V Need to verify record’s information by checking Student Data Updates. Match codes of V will automatically become a Y if you take no action. N Assessment has not been matched (sometimes this is because the student was not with you for Survey 3 and so cannot be matched). If the student was with you for Survey 3, enter correct Membership District School and SID information. C Record has been verified by the district or school as matched and can still be edited. D Record has been identified by the district or school as a duplicate to be dropped and can still be edited.
Assessment Matching Reasons mismatches occur: Assessment information does not match membership information
Assessment Matching: V & C Records If membership information is correct, no action is necessary (match will automatically happen when you submit the application) If membership is not correct, enter No into Verify Membership/Assessment match, then enter the correct information and submit
Assessment Matching: N records Membership information is blank and needs to be entered if the student was at your school for Survey 3
College & Career Acceleration Purpose: To see which 2015-16 graduates did not earn acceleration points Points can be earned in one of the following ways: Score of 3, 4, or 5 on an AP exam Score of 4, 5, 6, or 7 on an IB exam Score of 3, 4, 5, 6, 7, or 8 on an AICE exam Grade of C- or better in an approved dual enrollment course A CAPE industry certification or CAPE acceleration industry certification Contact Brandon Craig with any corrections and determine why scores were not input into Genesis
College & Career Acceleration Step 1: Click on Report Step 2: Select Graduates without any passing acceleration data
College & Career Acceleration Step 3: Download as Excel Note: Students with an assessment type but not eligible to earn C&C credit did not receive a passing score
School Types Purpose: To view current and prior year school type, make changes to principal’s name and contact information, and, if alternative school or ESE center, select school improvement rating Most schools only need to do anything with this if there has been a change in school type or principal Alternative schools and ESE centers will need to download the school improvement rating/school grade selection form and return to FLDOE, copying AAE (Heather Wright & Brandon Craig)
