The System Administrator can set up new user accounts at their System or School/Schools. System User – Read Only Access School Administrator – Access to search and make edits to assigned school/schools records. The School Administrator can set up new user accounts at their School. School User – Read Only Access at assigned School/Schools Reports – Access to reports only at assigned level. Save Fill in Entire Section Select User Role/Roles Select System/School Save

Starting in March 2011 there is a new function in PearsonAccess (Customer Support Request) that allows Systems and Schools to communicate to Pearson’s Tennessee Program Team in a secured environment. With this enhancement you will be able to attach files or documents containing sensitive data about which you have questions and need assistance.

26 Student Data Upload (SDU)
You can begin uploading your student demographics (SDU) into PearsonAccess Friday, April 15th Doing the SDU prior to testing is an option to ensure your student demographic data is accurate in PearsonAccess. The next few slides will explain the process of having your student demographic data in PearsonAccess prior to the scanned answer document data being available.

Students that have previously tested in TN are likely to already have a record in PearsonAccess. When the scanned data comes to Pearson from the bubbled answer document, PearsonAccess will search for that student already existing in the database and register the student for the test/tests taken during the Spring 2011 administration. By doing the SDU process you are pre-registering your students for the Spring 2011 administration with all appropriate demographics that will appear on final reporting. The SDU upload does not take the place of the SDDV process but will assist in making the SDDV process a final validation.

If a student is preregistered in PearsonAccess for the Spring 2011 administration with specific demographics and the answer document comes in with different bubbled values, PearsonAccess will be the data of record. Specific Examples: If Student A has Membership Data uploaded in PearsonAccess as 1 from the SDU and the answer document is bubbled 4 – the students’ Membership Data demographic will remain 1 as it was uploaded. If there is no value in PearsonAccess for Membership Data and there is a value bubbled on the answer document the value on the answer document will update the PearsonAccess record.

Should you choose to do the SDU process for Spring 2011 the following demographics still must be bubbled on the answer documents to link the Students’ demographic information to PearsonAccess. Student USID (must match exactly) Student’s First and Last Names (must match) DOB Gender Ethnicity Test Version Modified Format Absent

To assist with uploading student demographics into PearsonAccess the SDU Template and File Format Descriptions are available under the Support TAB in PearsonAccess. Click Support – End of Course - Templates You will find the files under the Templates list. The file names will be: EOC Spring 2011 SDU File Format with Descriptions EOC Spring 2011 SDU Template

Complete the SDU Template by using the File Format with Descriptions document. Save your file as a .csv file

When the SDU has processed, status of the file upload will be provided By clicking on the message link additional details of the encountered problems are identified and fixed then the file can be uploaded again.

The last date to do a Student Data Upload (SDU) into PearsonAccess for the EOC Spring 2011 administration is the day you scan your answer documents. Note: The SDU is to initially load the student demographics into PearsonAccess. To update demographics follow the RSDU instructions.

If updates to student demographics in PearsonAccess are needed, updates can be made by doing a Reverse Student Data Upload (RSDU) prior to scanning answer documents. Once your answer documents are scanned you cannot make changes to your student demographics in PearsonAccess by RSDU.

If you are in Test Management or Test Results the correct administration must be selected Note: If this is the Administration you will be working with for a period of time you may want to Save and Make Default

40 SDDV Process The first step in the SDDV process is to ensure you have no students in demographic conflict under Student Test Alerts or Student Test Warnings. Click on Test Management – Resolve Student Test Alerts.

41 SDDV Process Cont’d To update the student demographics click on the student’s name (link) Note: Pearson has been made an enhancement effective for the Spring 2011 administration. The student link will take you directly to either the Student Data level or Student Registration level.

42 SDDV Process Cont’d The number one demographic conflict under Student Test Alerts during the Fall 2010 administration was mismatched USID If a student is not in PearsonAccess and has an incorrect USID (that is found to belong to another student already in PearsonAccess) the USID can be edited by the System/School personnel.

43 SDDV Process Cont’d If a student has been loaded into PearsonAccess with an incorrect USID, the USID can only be updated by Pearson Program Team or TDOE. It may be necessary for additional research if a student in PearsonAccess has a USID that is really assigned to your student. (The SDU process will help identify conflicting USID’s before the official SDDV window)

44 SDDV Process Cont’d For the Spring 2011 administration an enhancement has been made in PearsonAccess for EOC SDDV Update. Demographic updates can be made via an update file upload. This is an optional way to make edits to your student demographics. Note: This process is only available during the open SDDV Window.

56 SDDV Process Cont’d Using the Student Test radio button is a good way to check for your students that might fall into a special demographic population that you want to confirm, such as Code A B, Membership, Special Education, Diploma Requirement, etc. Select your search criteria then click Search.
