Click to go back to: Topics Purpose: To guide users through the steps to use Not Tested and Void Test Score Codes in PearsonAccessnext. By the end of this training module, users will better understand: The user roles with permission to use Not Tested and Void Test Score Codes. When and how a student should be marked as Not Tested. When and how a student’s test needs to be Voided. This module for Test Coordinators will cover activities concerning Not Tested and Void Test Score Codes. In this training, we will learn which user roles have permission to use Not Tested and Void Test Score Codes and when and how to use Not Tested and Void Test Score Codes. This training may be viewed by LEA/district or school personnel involved in PARCC assessments and will be particularly helpful to Test Coordinators.

User Roles Click to go back to: Topics Users will need these add-on roles: Sensitive Data Update Not Tested Code and Not Tested Reason in PearsonAccessnext User Interface Student Test Update Update Void Test Score Code and Void Test Reason at a TEST level in PearsonAccessnext User Interface or importing a Student Test Update file into PearsonAccessnext or Irregularity Resolution Role Update Void Test Score Code and Void Test Reason for a SINGLE UNIT in PearsonAccessnext Users must have a Sensitive Data or Student Test Update Add-On Role to use the Not Tested code. Only the Student Test Update Add-On Role will give the permission to use the Void Test Score code at a test level, which would void the entire test. Each code will have a drop-down box where the user will select from the state-provided reasons of why the student's test was marked as Not Tested or Void. Users with the Sensitive Data Add-On Role can update Not Tested codes through either the user interface or through a file upload. Users with the Student Test Update Add-On Role can update through either the user interface or through a file upload to apply the Not Tested or Void Test Score codes at a test level. Users assigned the Irregularity Resolution Add-On Role can use Void a Unit to void a single unit. Each voided unit will have a drop-down box where the user will select from the state-provided reasons of why the student's unit was marked as Void. These users can also apply a Void Test Score code to an entire test, however, this role can only perform these tasks through the user interface. Please refer to the User Role Matrix document for more information on user roles and permissions. It can be found on the Support > Documentation page on PearsonAccessnext. Note: Please follow your state policy on contacting the department of education to determine if you have the Student Test Update or Void Unit Add-On Role, as these permissions vary by state.

5 When to Use Not Tested Codes
Click to go back to: Topics Not Tested is to be marked for any student registered to test in PearsonAccessnext who does not test. Only students with no test attempt should be marked as Not Tested. Follow your state policy on contacting the department of education for your state’s Not Tested Reasons. * A test attempt is when a student has logged in to a computer-based test or started a paper-based test. Not Tested is to be marked for any student registered to test in PearsonAccessnext who does not test. Only students with no test attempt should be marked as Not Tested. Please follow your state policy on contacting the department of education for the state-specific reasons to provide when a student has been marked as Not Tested.

6 How to Use Not Tested Codes
Click to go back to: Topics To Update the Not Tested Code and Reasons Field through the PearsonAccessnext user interface, follow these steps: In PearsonAccessnext, click the Setup button and choose Students in the drop-down. On the Students screen, search for the student in the Find Students search bar. Check the box for the student in the list in the bottom of the screen. At the top of the screen, click the Select Tasks drop-down and check the box for Manage Student Tests. Click Start. Then, we need to mark the Not Tested Code: Under Test Details, check the box next to Not Tested Code and then select a Reason* from the drop-down. Click Save. * Please follow your state policy on contacting the department of education for your state’s Not Tested Reasons, as they do vary by state.

7 When to Use Void Test Score Codes
Click to go back to: Topics In most states, this coding is done by the state Department of Education. If you are not sure that you have permission to Void a test, you should follow your state policy to contact your state’s Department of Education for guidance. It is possible to void a student test at either the test level (the entire test) or at a single unit level. For many states, Voiding a test is done at the state level. If you are not sure that you have permission to Void a test, you should follow your state policy to contact your state’s department of education for guidance. A test is marked Void when the attempt is not going to be used for scoring or reporting purposes. Why would you mark an entire test Void? If a student started a form with an incorrectly assigned accommodation and the student or Test Administrator realized the student needs to use a different accommodated form, you should Void the entire test and assign the student the correct form. If a student has multiple test registrations, you should Void at a test level because the student can only receive a score for one grade-level or subject. You may need to void a test for test security reasons or other reasons as defined by your state. Why would you mark a single test unit Void? If a student has already taken Unit 1 of an assessment, then accidentally signs in to Unit 2 or 3 using another student’s testing ticket, you should Void the incorrectly accessed unit and reassign the unit to the correct student. Under rare circumstances, a state may allow a school to Void by unit for other scenarios. Follow your state protocol in Appendix C of the Test Coordinator Manual to contact your state for more information in these circumstances. Marking a Test Void at a Test Level Marking a Test Void at a Unit Level A student started a form with an incorrect accommodation and needs to have the correct form assigned. A student has multiple test registrations Test security reasons or other reasons as defined by your state A student has already taken Unit 1 of an assessment, then accidentally signs in to Unit 2 or 3 using another student’s testing ticket

8 Multiple Test Registrations
Click to go back to: Topics When to Use Void Test Score Codes Students may have multiple test registrations for the same grade and subject appearing on Student Test Update File exports. This can happen due to the following reasons: Students were enrolled and assigned the same test at multiple locations. Students had more than one completed test attempt. Students were registered for the same test after already completing it. Each test registration is assigned a unique Student Test UUID Code (Column CV in the Student Test Update File) Make sure to check the Test UUID Code when updating test registrations/attempts to ensure you are updating the correct record. One reason for marking a test Void is that the student may possess multiple test registrations. This can happen when a student tests in multiple locations, attempts the same test more than once, or is registered again for a test the student has already completed. Each test registration is assigned a unique Student Test UUID Code (Column CV in the Student Test Update File) Make sure to check the Test UUID Code to ensure that you are updating the correct record.

9 How to Void at a Test Level
Click to go back to: Topics Click the Setup button and choose Students. Search for the student and check the box next to the name. Select Manage Student Tests. Under Student Tests, select the test to be voided. Under Test Details, check the box next to Void Test Score Code and Void Test Score Reason. Click Save. Let’s learn how to use Void Test Score Codes at a test level. Before voiding a test, make sure the test unit is in Complete or Marked Complete status in the test session. First, we need to Manage Student Tests: In PearsonAccessnext, click the Setup button and choose Students in the drop-down. On the Students screen, search for the student in the Find Students search bar. Check the box for the student in the list at the bottom of the screen. At the top of the screen, click the Select Tasks drop-down and check the box for Manage Student Tests. Click Start. Mark the Void Test Score Code: Select the complete test, in this case, Grade 9 ELA/L, on left side of the screen under Student Tests. Under Test Details, check the box next to Void Test Score Code and then select a Reason* from the drop-down. Click Save. * Please follow your state policy on contacting the department of education for your state’s Void Test Score Reasons, as they do vary by state.

10 Updating the Not Tested or Void Test Score Codes and Reason Fields via Student Test Update File Import If you are updating a large number of students with Not Tested or Void Test Score Codes and reasons, you can do this through a Student Test Update File Import. For example, maybe an entire class was assigned the wrong test (Algebra I instead of Geometry) and these registrations were left open until after testing was complete. To start this process, we need to Export the Student Test Update File. To do this, Confirm the administration. Go to Setup > Import / Export Data. Under the Tasks drop-down menu, select Import / Export Data and then select Start. Under the Type drop-down menu, select Student Test Update Export. Select your File Layout Type. You may choose what to include in your report, but you must select “Include Test Assignments” if you’re going to apply a Not Tested Code and Not Tested Reason. Select Process. 11 Updating the Not Tested or Void Test Score Codes and Reason Fields via Student Test Update File Import Update Not Tested Code and Not Tested Reason Fields and Void Test Score and Void Test Reason Code Fields Identify the student tests you want to modify. For unused test registrations that you want to mark as not tested; update the Not Tested Code Field (DQ) and Not Tested Reason (DR) field. For completed test attempts you wanted to mark as voided; update the Void Test Score Code (DS) field and Void Test Score Reason (DT) field. Note: For additional information about Student Test Update File (including expected value specifications), view the Student Test Update File Field Definitions document located on the secure Support > Documentation page on PearsonAccessnext. Once you have extracted your csv file from the export feature in PearsonAccessnext, we then need to update the Not Tested Code and Not Tested Reason Fields and Void Test Score Code and Void Test Reason Code Fields. First, open your csv file. Identify the student tests you want to modify. For unused test registrations that you want to mark as not tested; update the Not Tested Code field (DQ) and Not Tested Reason field (DR). For completed test attempts you want to mark as void; update the Void Test Score Code field (DS) and Void Test Score Reason field (DT). 12 Updating the Not Tested or Void Test Score Codes and Reason Fields via Student Test Update File Import To finish this process, we need to Import the Student Test Update File. Go to Setup > Import / Export Data. Under the Tasks drop-down menu, select Import / Export Data and then select Start. Under the Type drop-down menu, select Student Test Update Import. Here, you may select your File Layout Type, either fixed or csv, and you may also choose to Ignore Error Threshold. Choose your file. Select Process. Click to go back to: Topics

13 How to Void a Single Unit
Click to go back to: Topics Select the student’s test on the Students in Sessions screen. In PearsonAccessnext, click the Testing button and choose Students in Sessions. On the Students in Sessions screen, search for the student in Find Students. Check the box for the student in the list at the bottom of the screen. At the top of the screen, click Select Tasks and check the box for Void a Unit. Click Start. Now let’s learn how to use Void Codes to void a single unit in case you have a student who, after completing unit 1 with their own testing ticket, accidentally uses another student’s testing ticket for unit 2 or 3. Select the student’s test on the Students in Sessions screen. In PearsonAccessnext, click the Testing button and choose Students in Sessions in the drop-down. On the Students in Sessions screen, search for the student in the Find Students search bar. Check the box for the student in the list at the bottom of the screen. At the top of the screen, click the Select Tasks drop-down and check the box for Void a Unit. Click Start. Voiding student tests at the unit level can only be done via the user interface. Students will then automatically be assigned a duplicate replacement unit. Note: If a student is assigned an incorrect accommodated form, district and school staff should follow state policy to void the entire test. Voiding a unit will not update an incorrectly assigned form.

14 How to Void a Single Unit
Click to go back to: Topics On the Void a Unit screen, select a Reason* from the drop-down. Check the box for the unit to void on the student test line. Click Save. Now we need to mark the unit as void: On the Void a Unit screen, select a Reason* from the drop-down menu. Check the box for the unit to void on the student test line. Click Save. The student will automatically be assigned a new duplicate replacement unit for testing. * Please follow your state policy on contacting the department of education for your state’s Void a Unit Reasons, as they do vary by state.
