Verizon Instant Net Conference Powered by WebEx Meeting Center Overview Welcome to the Verizon Instant Net Conference powered by WebEx Meeting Center beginning tutorial. This tutorial will provide you with the basics to start using Instant Net Conferencing as an effective tool to enhance your meetings and collaborative sessions.

The specific areas we’ll review are listed on this presentation slide. After reviewing these topics, you will be able to access your Instant Net Conference tool; schedule and start a meeting; invite participants; and share documents during a meeting. You will also become familiar with some of the key features available in this tool. Finally, we will show you where you can find additional information on the tool.

Instant Net Conference powered by Cisco-WebEx In-Meeting Features Show slides and other documents: Provide visual interest Share applications and pass control: Create and edit documents Show or share websites: View new online applications Conduct online surveys Polling: Gain immediate feedback Annotations: Draw attention to major points Chat: Conduct side conversations without disrupting meeting White boarding: Capture action items and notes Self-serve replay: Record and save your meeting for those who couldn’t attend Participants may view the recording via the web Full screen view: Minimize meeting controls to allow better viewing 128 bit SSL encryption: Helps secure meetings In-Meeting Features Instant Net Conference includes a number of In-Meeting Features that make collaborating via the Internet easy, engaging, and impactful. Showing a presentation or any other printable document provides a visual element to your meeting, increasing subject matter retention. Sharing applications provides a powerful collaboration tool for teams to work together. Web Browser sharing allows you to demonstrate your website. Web Content sharing allows you to direct participants to a website where they can each interact with that site. For instance, a leader could conduct a survey during or after your meetings to gauge audience interest or measure retention. Polling allows you to question participants on key topics during your meeting and provides immediate feedback. This feature also helps keep your call interactive and engaging. Annotation allows you to highlight or point to areas of interest on your slide during your presentation, helping your audience focus on topics you want to emphasize. Chat allows participants to communicate information to you without disrupting the meeting. You can also divide the meeting into smaller working groups that can chat to one another before rejoining the larger group meeting. Whiteboarding allows you to capture notes and action items during the meeting, which can later be distributed as meeting minutes. Self-serve replay allows you to capture and record the entire meeting, including audio, for future viewing. The meeting is saved on the Net Conferencing server. This is great for participants who were not able to attend the live session and as a general reference. Full-screen option allows participants to view your presentation on their full PC screen. This can greatly enhance their viewing experience. 128 bit SSL encryption helps secure your Instant Net Conference session using industry standards.

Instant Net Conference powered by Cisco-WebEx Meeting Center Features WebEx Meeting Center helps convey your message more effectively with the following features: File transfer Reports WebEx MediaTone Network Video through WebCam Enhanced polling Floating power panels Enhanced annotation Note taking/close captioning Meeting Center Features The WebEx Meeting Center has features to help you manage your meetings. You can enable the “File Transfer” function that allows participants to download files. For example, if your team has created a presentation during the meeting, the entire team can download a copy of that presentation to their PC. A number of “Leader-level” reports are also available from the WebEx Meeting Center homepage. The WebEx Mediatone Network is a dedicated technology platform designed to enhance the performance and reliability of your meeting session, worldwide. Meeting Center also integrates with most web cameras to enhance your meeting by allowing participants to view you while you conduct your meeting session. The WebEx Meeting Center “Enhanced” Polling feature allows you to create true/false or multiple choice questions. Participants are even allowed to select multiple answers. During full screen mode, “Floating Panels” allow you to see questions from participants. You and your participants can select the color, shape, and size of any screen annotations. A special panel also allows a select participant to take notes or translate for hearing impaired participants. Polling

Instant Net Conference powered by Cisco-WebEx Logging Into Manage My Meetings Log into Manage My Meetings Logging Into Manage My Meetings To start an Instant Net Conference session, simply go to the Verizon Conferencing e-Meetings website located at http://verizonbusiness.com/conferencing. The Verizon Conferencing e-Meetings website provides a wealth of information associated with the conferencing and collaboration solutions available through Verizon Conferencing, including the ability to set up and launch your Instant Net Conference meeting tool. Once there, click on the “Manage My Meetings” login link.

Instant Net Conference powered by Cisco-WebEx Logging Into Manage My Meetings (cont’d) When you select the “Manage My Meetings” login link from the e-Meetings homepage, you will navigate to the above “Leader Login” page. Enter your “Manage My Meetings” Login and Password, and click on the “Login” button. If you do not yet have a “Manage My Meetings” login & password, click on the “Need to Register” link and simply follow the instructions. You will need to provide your name, company name, a valid authorization code, phone number, and e-mail address. If you do not have this information in your possession, please contact your organization's Telecom, Accounts Payable, or Conferencing point-of-contact.

Instant Net Conference powered by Cisco-WebEx Manage My Meetings – Net Conferencing Tab The “Net Conferencing tab” in Manage My Meetings provides you with a visual look at the Verizon Net Conferencing tools that you or your company has selected. This could include all three Verizon Net Conferencing tools: Instant Net, Advanced Net Conference, as well as Customized Net. Verizon Instant Net Conference provides a world-class solution by supporting two of the largest web conferencing service provider solutions, Microsoft Live Meeting and WebEx Meeting Center. If your company has standardized on one or the other, you will only see that option. If your company has a Customized Net Conference site, it will appear at the bottom of the tab. The Customized Net Conference site here is for WebEx Meeting Center Pro, but other options are available, including WebEx Training Center and Support Center. To access your Instant Net Conference tool, simply click on the Instant Net Conference WebEx Meeting Center link. Invite participants Reports

Instant Net Conference powered by Cisco-WebEx WebEx Meeting Center Leader Console Tool Bar Power Panel Access Notes Access Video Access WebEx Meeting Center Leader Console When you join your meeting as its “Leader,” you will see the console illustrated above. The WebEx Meeting Center leader console is a clear and easy interface that uses the familiar Microsoft Windows menus to make controlling a meeting very intuitive. Clearly labeled toolbars and tabs make navigation simple. Leaders can select to have only those windows that are most important to them open during the meeting, showing them participants, chat, notes, or video. Simple tabs make it easy to flip from presentation to presentation. This clean, simple interface makes web conferencing as natural as talking on the phone. Faster and easier to invite attendees and share content. Quick Start Get access to the functions most often used. The quick start page is displayed when presenters join a net conference giving them fast access to the functions they perform most. This redesigned page makes it even easier to share documents, applications, or your own desktop with participants. And if you need to send out a last minute invitation, you can.

This is a great function if someone inadvertently misplaced their previous invitation or if another attendee needs to join your meeting at the last minute. You may click to use your local e-mail application and the meeting information will populate into an e-mail template for easy distribution to your participants.

Instant Net Conference powered by Cisco-WebEx Quick-Start Invite by Phone Use the Quick-Start invite by phone to call out to a participant if they are to attend your Instant Net Conference.

These features work the same way as they do under the “Invite Participants” tab. Remind your meeting participants to attend via e-mail

Instant Net Conference powered by Cisco-WebEx Meeting Center Sharing Import a presentation or document, or share an application. Advance Slides Meeting Center Sharing In order for you to import a presentation or document to be shown, or share an application to be worked on during the meeting, simply select the “Share” drop down-menu and make the appropriate selection. When you select “Presentation or Document” or “Application,” you will be prompted to choose the presentation or application from your PC. Once you have imported your presentation, for example, you may advance to the next slide using the right & left arrows or select a specific slide listed in the drop-down box. This is highlighted above.

Instant Net Conference powered by Cisco-WebEx Telephony: Identify Active Speaker Icon shows who’s speaking or making noise Host can mute disruptive noise Not supported in Support Center Instant Net Conference – Telephony: Identify Active Speaker Our active speaker icon reacts to sounds during a live call, informing leader’s who is currently speaking even allowing them to mute callers who may have background noises that could be interrupting the flow of the call. This popular feature also lets leaders identify the party speaking, allowing them to address parties by name, even help take more detailed notes.
