1 1 of 6 Parts of Your Notebook Below is a graphic overview of the different parts of a OneNote 2007 notebook. Microsoft ® OneNote ® 2007 notebooks are digital notebooks patterned after paper notebooks. OneNote 2007 is a great collaboration tool. It can be used for taking notes in a meeting, sharing a notebook when collaborating with others or for assigning tasks on a project. OneNote is also good for supporting research work. With OneNote 2007, you can gather, organize, and search information. Topics in this guide include: Organize Your Notebooks Use OneNote-Outlook Integration Share a Notebook Take Notes with Others Insert Screen Clippings Notebooks Pages Sections Organize Your Notebooks When collaborating with others on projects or in meetings, you can easily find content within your notebooks. It is easy to organize your page, sections or entire notebooks by dragging. This is true whether you’re reordering pages and sections within their current locations or moving them to different sections or other notebooks. Reorder Pages, Sections, or Notebooks  Drag the page tab up or down, or drag the section tab left or right. A small triangle indicates the drop location.  Drag the section tab right or left. A small triangle indicates the drop location.  For notebooks, drag the notebook icon on the Notebook navigation bar up or down. A horizontal bar indicates the drop location. Move a Page to a Different Section  Drag the page tab and let the pointer rest on the destination section until the section opens, and then drop the page in the desired location within the pages in the new section. 2 2 of 6 Use OneNote-Outlook Integration With the integration of OneNote 2007 and Outlook 2007, you can link meeting notes to an Outlook ® 2007 appointment, create new appointments from OneNote 2007, and create and manage tasks in OneNote 2007 that are also synchronized in Outlook 2007. Take Notes from an Outlook Appointment Launch OneNote 2007 from Outlook 2007 and meeting details (time, place, attendees, and subject) are automatically inserted in your notes. This is helpful when you start your meeting notes from the Outlook 2007 appointment. OneNote 2007 opens an Unfiled Notes page that includes the meeting details and a link back to the Outlook 2007 appointment. Note If any file attachments are in your Outlook 2007 appointment, those files are attached to your OneNote 2007 page. Create Outlook Tasks in OneNote Create Outlook 2007 tasks using OneNote 2007, and then view and manage the tasks using Outlook 2007. Changes you make to tasks in Outlook 2007 are synchronized with the tasks in OneNote 2007. The flagged task now appears in Outlook 2007 on the task list and the To-Do Bar task list. All rights reserved. 1 On the OneNote 2007 page, click in the Notes section to start taking notes. 3 2 Open your Outlook 2007 appointment. In the OneNote group, click Meeting Notes. In OneNote 2007, click the note to which you would like to add a task. On the toolbar, click the arrow to the right of the Task button, and then click a flag. 1 2 To open the task in Outlook 2007, right-click the flag, and then click Open Task in Outlook. In the Outlook 2007 task window, update the task details, and then click Save & Close. 3 4

3 3 of 6 Share a Notebook Share notebooks on your computer or on a shared network location so multiple users can contribute notes simultaneously and on an on-going basis. All authorized users can edit notes in a shared notebook at any time—OneNote 2007 automatically synchronizes all users’ changes to the shared notebook. Create and Share a New Notebook Note If you share the notebook locally on your hard drive or a network share, you need to set the share permissions. See Windows help for assistance on how to share folders. Share Your Existing Notes Save your OneNote 2007 notes to a convenient location where your team or others can view them. Note To protect your shared notebook, on the File menu, click Password Protect this Section. On the Password Protection pane, under Current Section, click Set Password. In the Password Protection dialog box, in the Enter Password box, type your password. In the Confirm Password box, type your password again, and then click OK. On the OneNote 2007 toolbar, click the arrow for the New button, and then click Notebook. In the New Notebook wizard, in the Name box, type a name for the notebook, and then click Next. 1 2 On the Who will use this notebook page, click Multiple people will share the notebook, and then click the appropriate option for where you want to share the notebook (on a network share or on your computer). Click Next. 3 On the Confirm notebook location page, click Browse, browse to the location where you want to place the shared notebook, and then click Select. Select the Create an e-mail check box, and then click Create. 4 5 Open the notebook you want to share. On the File menu, click Save as, and then browse to the location where you want to publish your notes. Click the option for what you want to share: Selected Pages, Current Section, or Current Notebook, and then type a name in the File name box. 1 2 On the Save as type list, choose the type of file you want to use, and then click Save. 3

Take Notes with Others Use collaboration features in OneNote 2007 to create notes cooperatively in live, shared note-taking sessions. Shared note-taking is real-time collaboration in which all participants can view and edit each other’s notes. Host a Shared Note-Taking Session Tip The whole selected section is shared. If you have information you don’t want to share with others in the section, move it to another section before starting your live shared session. In the Start Live Session task pane, if you want to restrict session access, type a password in the Session password box, and then click Start Live Sharing Session. Using a password is optional. In the Current Live Session task pane, click Invite Participants. Add your participants in the To box, and then click Send. Join a Shared Note-Taking Session With OneNote 2007, you can participate in collaborative note taking by joining a shared note taking session. You can join the session using the live sharing session e-mail message invitation.  In the You are invited to join a OneNote live sharing session e- mail invitation, double click the Live Sharing Session Invitation.one attachment. Note If the session host chose to use a password, contact the host and ask for the password. Record Audio and Video Supplement your notes with audio and video. Use either a built-in or external microphone. For video, you must have a camera (such as a Webcam) connected to your computer. Note Before recording, use the Tuning Wizard to ensure that your microphone and camera are working properly. Open the notebook and section you want to share with others. 1 On the Share menu, point to Live Sharing Session, and then click Start Sharing Current Section. 2 3 4 5 On the Tools menu, click Options. In the Options dialog box Category pane, click Audio and Video, and then click Tuning Wizard. 1 2

Send Notes to Others Using Outlook 2007 You can send copies of selected pages to others in an e-mail message. The notes are copied into the body of the e-mail message. Note E-mail recipients do not need to have OneNote 2007 installed because the page is inserted directly into the message window. For OneNote 2007 users, the page is also attached to the message. Insert Screen Clippings When doing research, you find images or content that you need to capture. Use OneNote 2007 to copy images from your computer screen or Web pages and insert them into your notes. These images are called screen clippings. Use screen clippings to add visual details to your notes. Complete the Tuning Wizard, and then click Finish. To begin recording, on the Insert menu, click Audio Recording or Video Recording. Click Stop on the recording control to finish recording. When you click Stop, the recorded audio or video file is placed on the OneNote page. To play the recording, double-click the Windows Media file icon. 3 4 5 6 Select the pages you want to send by holding down the CTRL key, and then click the page tabs. Click the E-mail button on the toolbar. 1 2 In OneNote 2007, on the Insert menu, click Screen Clipping. Drag the pointer to select the content you want to capture. The screen image is automatically inserted into your notes. Note Clippings from a Web site will include the Web address, screen clipping time, and date displayed at the bottom of the page. 1 2 Note To return back to the main OneNote 2007 window, click the E- mail button again. Add recipients, and then type a description in the Subject box. Click Send a Copy. 1 2

Use Note Tags Mark notes as important or for follow-up by attaching note tags to notes.  On the Insert menu, point to Tag, and then click the tag of your choice. To remove a note tag, right-click the tag, and then click Remove Tag. Note Because tags are often scattered throughout a notebook, the Tags Summary is useful for quick viewing of all tagged notes in one location. On the View menu, click All Tagged Notes. Use Side Notes A Side notes is a miniature OneNote 2007 window that you can quickly take quick notes with while you are working in other programs. To open a Side Note when OneNote 2007 is not running, click the OneNote 2007 icon in the notification area, at the far right of the taskbar. Notes Side Notes contain many basic notebook functions on a toolbar at the top of the window. Side Notes are stored in a section called Unfiled Notes near the bottom of the Navigation Bar in OneNote. To find the Unfiled Notes section, above the Notebooks on the left side of the window, click the Expand Navigation Bar button.
