3 01 Signing into WebEx

4 To log into WebEx go to cspace.webex.com
To change the image, delete the existing images and click on the icon in the centre of the placeholder to browse to the image you want to use. Click on OPEN to insert a new image. If the images have moved and you want to make sure they are aligned, go to Home>Slides>Reset. To log into WebEx go to cspace.webex.com Click on “Log In” in the upper right hand corner. WebEx “knows” your login and will sign into the same account that you’ve logged onto your computer with.

5 When you log into WebEx you will first enter the Meeting Center.
The Meeting Center is where you can schedule, start, and join a WebEx meeting.

6 02 Scheduling a Meeting

7 To schedule a meeting click on “Schedule a Meeting”
To schedule a meeting click on “Schedule a Meeting”. This will take you to the meeting scheduler where you can set the time and dates for your meeting. If you would like to meet now you also have the option of entering your personal room or clicking on “Meet Now”.

8 The meeting scheduler allows you to set the topic, password for meeting participants, and the date and time of the meeting. You can also invite meeting Attendees through the scheduler. Attendees can be invited after scheduling the meeting.

9 You can also schedule meetings using Outlook and the WebEx Productivity tools.
This tool does need to be installed by Support. If you would like to have it installed please submit a ticket at Once installed it can be found in your Outlook calendar when you schedule a new meeting.

10 To create a WebEx invite using the productivity tool you will first create a new meeting invite on your Outlook Calendar. You will then click on the productivity tool icon and set your meeting password and audio settings. WebEx will then auto-fill your invite with the WebEx details when you send it out.

11 03 Joining a WebEx Meeting Example –
Sky’s customer closeness sessions, where different types of TV viewers met each other along with Sky executives, led to a breakthrough insight. Listening to Sky+ customers enthusiastically extoll its virtues to Freeview users, Sky executives came to realise the solution to converting Freeview users to Sky+ was ‘to tell, not sell’. This insight formed the basis of an advertising campaign in which famous faces, like Michael Parkinson, talked about the strengths of Sky+. The campaign helped Sky to produce its strongest Q4 net additions in five years – attracting 321,000 new customers.

12 There are two ways to join a WebEx meeting as a participant
There are two ways to join a WebEx meeting as a participant. If you’ve been sent the invite for the meeting there is a link that will allow you to connect to the meeting. You can also go to cspace.webex.com and enter in the meeting number. This number can be viewed in your scheduled meetings and is displayed when you host a meeting.

13 If you are not already logged into WebEx it will ask for your name and address before you enter the room. This will be displayed to those in the meeting.

14 When you first enter the room you will need to select how to connect your audio.
Select “Call Me” to have the meeting call you. Select “I Will Call In” and follow the instructions shown. “Call using Computer” to use a headset plugged into your computer.

15 Once your audio is connected it will show a phone icon next to your name. This icon will light up when you are talking. You can also use this icon to tell when other participants are talking. To mute your microphone click on the microphone icon to the right of your name. This will be red when you are muted.

16 If you would like to turn on your video you can click on “Start My Video” or the camera icon next to your name in the participants list. To stop your video click on the same icon.

17 04 Hosting a Meeting

18 To start a scheduled meeting click on “My Meetings” and click start on the meeting.

19 When you start hosting a meeting you will be prompted to join your audio and video, this can be connected the same way you would if you were a participant.

20 To share your entire screen click on “Share Screen”
To share your entire screen click on “Share Screen”. This will show everything that you are looking at on your screen. If you are working with multiple monitors you’ll be prompted to pick the monitor you would like to use. You can also share your screen by clicking on “Share” and then “My Screen” in the options at the top.

21 You can also choose to share just one application on your computer.
To share an application click on the “More” button underneath “Share Screen” and then select the application that you would like to share. Sharing one application allows you to have more control over what everyone is seeing during the presentation.

22 While sharing your screen or an application WebEx will be minimized to a bar at the top of your screen. You can use this bar to control the WebEx meeting while sharing your screen or an application.

23 The final way to share in WebEx is by uploading a file or video.
This is recommended as the best way to share videos in WebEx. To upload a file or video click on the “More” button underneath “Share Screen” and then select “Share File (Including Video). You will then select the file that you would like to load.

24 As the Host of the meeting you have control over participant’s audio and can mute and unmute them as needed. These settings can be found by clicking on “Participant” at the top of the WebEx window. In here you can also turn off Entry/Exit tones and set if everyone should be muted on entry.

25 WebEx also allows you to Record your meetings
WebEx also allows you to Record your meetings. To start a recording just click on “Record” on the WebEx screen. All recordings are saved to the main WebEx site under “My Recorded Meetings” and can be downloaded for you to share.

26 05 Creating a Conference Call

27 WebEx allows you to set up to 3 Personal Conference Numbers.
These options can be found by clicking on “My WebEx” at the top of the WebEx Screen and then clicking “Preferences”. Click on “Set up” next to Audio to start setting up a conference number.

28 You first need to set an Audio PIN number
You first need to set an Audio PIN number. This number will be 4 digits and can not contain sequential numbers (e.g. 1234) or repeat a digit 4 times. (e.g. 1111). This number is personal and is used only by you when calling into your personal conference line.

29 To generate a host code and access code click on the link for “Generate Account” and then click on “Generate”. This creates a host code and attendee code that people can use to join your meeting. You can have up to 3 different conference lines.

30 To join a meeting using your conference code you will call the Personal Conference number shown under audio. You will then enter your Host Code and Audio PIN when prompted. Attendees can join by calling the Personal Conference number and entering the Attendee access code.
