Single Sign On + Context Management + Smooth Roaming = Time saved! 7 What Can These Tools Do For You?

SSO capability reduces time spent entering passwords and contacting the help desk to reset forgotten or expired passwords. CM capability facilitates going back and forth between applications by loading the same patient information between AHLTA and CHCS so users do not have to redo search functions for the same patient. Smooth roaming allows users to travel from workstation to workstation without interruption of their work sessions. 8 How Do These Tools Save You Time?

2.2: Single Sign On (SSO) 13

14 SSO and Its Benefits SSO is a tool that simplifies application login by storing the username and password for AHLTA and CHCS so users do not have to perform separate login procedures for each application. SSO registers and stores your credentials so you do not have to remember them or remember to change them before they expire. SSO reduces time spent re-entering passwords.

15 Initial Citrix Single Sign On Setup for AHLTA 1. Single click on the AHLTA icon in the CareFx Toolbar. 2. An AHLTA Security Banner will appear. Click Acknowledge. 3. Once the Citrix SSO pop-up appears, click Yes.

18 Entering CHCS Credentials 1. Single click on the CHCS icon in the CareFxToolbar. 2. Click yes when the Citrix SSO pop-up appears. 3. The New Logon screen for CHCS should pop up with your information already populated. Click finish. 4. Press the enter button twice and wait for the main menu screen to appear.

When an application requires a password update, Citrix Single Sign On guides the user through the change process with the Password Change Wizard. 1. When the Password Change Wizard screen appears, click Next. 19 Password Updates – Auto Prompt

2.3: Context Management (CM) 21

CM is a computer process that allows you to select a patient in one application, such as AHLTA, and have that patient’s information follow to other participating clinical applications, such as CHCS, once they are launched. As you open an additional CM participating clinical application, the applications will synchronize and display the new patient. CM is credential- and privilege-driven. 22 What is CM?

26 ON (Linked) = This icon is displayed when an application is in context with other applications (sharing context for the selected patient). OFF (Broken) = This icon is displayed when an application is NOT in context with the CareFx toolbar. NOTE: If a clinical link is OFF, different patients within an application can be loaded without loading the CareFx toolbar. CHANGING = Clinical link is changing/updating patient for “this application” (current application). What are the Different CM Icons?

2.4: Smooth Roaming 46

Smooth Roaming provides the ability to easily move from one workstation to another while maintaining your server applications and session state. You can view your patient’s file in your office and pick up where you left off in the exam room (and vice versa). 47 Smooth Roaming and How It Benefits You

1. Remove your CAC card from the reader (this will lock your workstation). 2. Move down one workstation to the left. Wait 30 seconds. 3. Insert your CAC card into the new workstation. 4. Enter your PIN. 5. Click OK. 48 Smooth Roaming Step-by-Step Guide

2.5: Time-outs and Terminations 50

A session is idle if the user does not have any keystrokes or move their mouse for 30 consecutive minutes. Once the idle timeout is reached, the session will be put into a disconnected state. Once the disconnected timeout is reached, the session will be terminated. The disconnect timeout for AVHE is set to 1 hour. 51 Time Outs and Terminations

3.1: Citrix Single Sign On 54

55 Citrix Single Sign On Icon  Click on the up arrow in the system tray to locate the Citrix Single Sign On icon.  Right click the blue key to view the menu.

56 Citrix Single Sign On Shortcut Menu Logon Manager: Displays stored credentials Pause: Temporarily turns off Citrix SSO; Citrix SSO will not prompt to store new credentials, submit stored credentials, or recognize password changes while it is paused Refresh: Refreshes the list of applications shown Help: Displays the online help system for Citrix SSO About: Displays the version information for Citrix SSO Exit: Shuts down Citrix SSO until another Citrix session is initiated Submit Credentials: If SSO does not automatically launch, you can use this option to submit your credentials to open the application.

3.2: Logon Manager 57

58 Logon Manager  Double click on the icon for access to the Logon Manager.  Logon Manager allows the user to view all applications participating in SSO and the status of each application’s logon credentials.

59 Logon Manager From the Logon Manager, you can: Delete credentials Add credentials To delete stored credential(s): 1. Highlight AHLTA. 2. Right-click and select the Delete key (or open the File Menu and select Delete).

To manually add credential(s): 1. Select file  New Logon. 2. Verify that Windows is selected as the program type. 3. Select the program in the drop-down menu: AHLTA. 4. To log off the Citrix Session: 1. Right click the Citrix Receiver 2. Select Online Sessions > Connection Center 65 Citrix Receiver – Logging Off

3. From Connection Center, you can click the folder that your session is running under and click the Log Off button if your application in your session is hung or experiencing an error that you cannot recover from. 66 Citrix Receiver – Logging Off

3.5: Warnings 67

When a user enters data into the patient record in the leading application, and then moves to the patient record in a following application and changes patients without suspending context, there is potential to lose unsaved data in the original application. AHLTA will quickly auto save data so users should not risk losing data unless under unusual circumstances if auto save is disabled or slow. 68 Saving Your Data

Break: Suspends context and allows the second patient’s data to load without losing data Cancel: Cancels the attempt to change patients and return to save data OK: The new patient data loads in the following application and unsaved data is lost 69 Saving Your Data (cont.)

A patient’s information is displayed in the leading application, but not found in the following application. If this happens the following application will show a message or display a blank screen. There are two main reasons this may occur: 1. The patient does not have a record in the following application. 2. There may be conflicting or duplicate patient identifiers associated with the patient and the application cannot determine the correct record to display. As a protective measure for patient safety, the CM-enabled applications will NOT make assumptions or select a patient record when there is a data conflict. 70 Where Is My Patient?

Exercise 1 72 With AHLTA opened, load a test patient’s record and:  Order a medication in CHCS for the same patient  Check lab results in CHCS for the same patient  Check Rad result in CHCS for the same patient  Return to AHLTA

Exercise 2 73 Launch CHCS, go to Order Entry, select a different test patient than what is loaded in your CareFx toolbar and:  Confirm that AHLTA has loaded with the new patient  Return to Order Entry in CHCS

Exercise 3 74 With a test patient loaded in AHLTA:  Check a lab result on a different patient in CHCS  Return to AHLTA  Check a lab result on the same patient in CHCS

Exercise 4 75 With a test patient loaded in AHLTA:  Create a walk-in appt in AHLTA for a test patient then:  Open the encounter and document a sentence in the S/O module  Without saving the text, launch CHCS  Load a different patient in CHCS without suspending context  Return to AHLTA, find your original patient open your note and see if your data was saved
