MANAGING A TOASTMASTERS CLUB Breakout Session for Vice President – Membership Treasurer Sergeant At Arms

Vice-President Membership - Goals Every Club to add one new member each month If your club has fewer than 20 members, its goal is to have a minimum of 20 members by year-end.

Strategies for Membership Growth Promote growth benefits to current members Promote Toastmasters benefits to others Hold at least two Contests each year Offer recognition to winners

Transform Guests Into Members Personally welcome guests and introduce them to other members Explain Toastmaster benefits Encourage guests to join club Process application Welcome new members into the Club

Guarantee Member Satisfaction Be in contact with current and especially absent members Work with Executive Committee to make meetings interesting and FUN Get continual feedback – distribute and collect evaluation forms

TI Membership Building Awards “Find Your Voice, Serve Your World” pin – sponsor 5 new members each month from Jul Jun 2006 Gold Star pin – sponsor 10 new members each month from Jul 2005 – Jun 2006 TM necktie or scarf – sponsor 15 or more members each month from Jul 2005 to Jun 2006 Smedley Award – add 5 members from 1 Aug to 30 Sep 2005 Talk up Toastmasters – add 5 members from 1 Feb to 31 Mar 2006 Beat the Clock – from 1 May to 30 Jun 2006

 Keep clear and accurate financial records  Ensure club remains financially stable  Work with the rest of Executive Committee to develop a budget for coming club year  Monitor actual income and expenses with that of budget  Manage member dues and fund-raising activities

Treasurer Standards at the Club meeting 1.Receive completed new-member applications and dues. 2.Announce when dues are due and explain dues structure. 3.Greet members and guests 4.Collect meeting fees, if any

Treasurer Outside of the Club meeting 1.Prepare a budget 2.Provide the bank with a new signature card 3.Prepare and send dues statements 4.Collect and send dues to World Headquarters 5.Submit new member applications and dues to World Headquarters 6.Pay bills as they become due.

Treasurer Outside of the Club Meeting (cont’d) 7.Keep records of all financial transactions 8.Present verbal and written financial reports quarterly 9.Attend Club Executive Committee meetings 10.Attend District-sponsored Club Officers Training 11.Arrange for a replacement if unable to attend meeting 12.Prepare successor for next term

Toastmasters’ policy on fund-raising Revenue/profits must accrue to the club and not individual members and be used to: Offset costs for educational sessions Further the purpose of Toastmasters International

Proposed Fee Increase by TI Subject to TI Board approval: Increase semi annual dues from US$3 to US$4.50 * Increase new member fee from US$16 to US$20 Collection of semi-annual dues Notify members by:15 Aug 15 Feb Collection of dues by:15 Sep15 Mar Submission to TI by:30 Sep31 Mar

Sergeant-At-Arms – Standards Outside of Meetings Schedule meeting venue Maintain equipment and supplies Arrange for replacement and/or assistance Prepare successor for next term
