3 Club President Before club meetings At the meeting
Ask VPE if any members are to receive special recognition Ask VPM if any new members are to be inducted At the meeting Greet guests and members Call meeting to order Briefly explain meeting’s events for guests Share any club business with club members.

4 Club President Outside the club meeting
Chair club executive committee meetings Attend Area Council meetings Attend or assign proxy to District Council meeting Attend or assign proxy to a member or the D13 Director attending International Convention Meet / Coach Club Officers Manage problems in a timely manner Built a team

5 Vice President Education (VPE)
Before club meetings Notify club president if any members are scheduled to earn their education awards Confirm members understand their roles. At the meeting Greet guests Present education awards After club meetings Assist members with verifying the completion of their projects

6 Vice President Education (VPE)
Outside the club meeting Plan, organize, and direct a club program to meet the educational needs of members Explain Toastmasters education program to members Submit members’ awards Ensure meeting roles are properly fulfilled Plan speech contests Manage mentor program

7 Vice President Membership (VPM)
Before club meetings Give president a list of members who have joined since the last meeting Prepare guest packets See document library At the meeting Greet guests and members Provide guests with guest packets Meet with guests to answer questions and explain the benefits of Toastmasters

8 Vice President Membership (VPM)
After the meeting Assist guests with completing application Coordinate dues payment with Treasurer Conduct membership contests: Smedley Award (August & September) Talk Up Toastmasters! (February & March) Beat the Clock (May & June)

9 Vice President Public Relations (VPPR)
Before club meetings Prepare communications Advertise the meeting Verify the club’s meeting time and location are current on both the D13 and club websites At the meeting Greet guests and members

10 Vice President Public Relations (VPPR)
Outside of the meeting Distribute promotional materials to members for distribution at their workplace, etc. Promote and advertise member activities to the club membership. D13 PR Mgr. Max Lieberth, CC Write and distribute news releases, flyers, etc. about club activities and member achievements. Publish Club activities and individual achievements on D13 Toastmasters public relations page.

Post the minutes of the previous meeting online Prepare for the president a list of actions to be taken during the business meeting At the meeting Circulate attendance sheet / guest book (SAA) During club meetings Read the minutes of the previous meeting

Schedule club executive meetings Maintain: club member contact information minutes of club and executive committee meetings. executive committee meeting’s action items. record of voting (executive meetings and member induction) Input newly elected officer roster online

Prepare a financial report as necessary At the meeting Greet members and guests Share budget / bank account information. After club meetings Reconcile deposits, expenditures and cash on hand each month Collect membership dues (fees if applicable) Submit dues to Toastmasters International

14 Sergeant-at-Arms (SAA)
Before club meetings Confirm meeting room reservations Arrive early to organize room / set-out supplies During club meetings Greet members and guests Assist with electronic presentation needs  Set up projector Adjust lighting for speakers Sit near the door to welcome late arrivals Manage any issues

15 Sergeant-at-Arms (SAA)
After club meetings Return the room to its original configuration Take responsibility for the club’s supplies Banner Gavel Lectern Lectern banner Name tags LCD projector / clicker CC / CL forms Etc.

16 Immediate Past Club President
Provides advice and guidance as requested by the Club President to the Club Executive Team Chairs the club nominating committee / officer election process

17 Area Director Visits each clubs at least twice
Liaison between the District and the clubs
