Template 1: Initial Customer Contact [Attachments Needed: Indow Brochure, 2 case studies, and Questionnaire] Next steps with Scenario 1 No reply: Contact customer again with template 2 in 2-3 business days to ensure they got your message Replies with date/time for phone: Follow Indow’s Sales Guide and use consumer sales presentation online if client is in front of a computer. Email template 4 AFTER phone conversation. Sends questionnaire back: Proceed with template 3 if you have all the information you need in order to make a proper assessment.   Hi NAME,   Thank you for your interest in Indow! My name is [Name] and I am with [Company], your [Service Area] Indow dealer. [Can also provide a 1-2 sentence summary of your company here] I am happy to hear more about your window problem and provide a professional recommendation of how we can help. We do need to know a few key details about your windows, and then I can walk you through how the product works and what the next steps will be going forward. Do you have time for a call at one of the following times? I can quickly get the information I need and provide you with an estimate over the phone if you happen to have your window’s width and height dimensions. Ideally you can be in front of a computer at this time so we may look at a couple items together. [Insert 2-3 possible dates and times for a call. Can also use a web application such as TimeTrade to give them access to your calendar] If you would rather communicate via email, please complete the attached questionnaire and email it back to me so that I can better understand your situation. Template 3: Providing an Estimate Post-Phone Call Hello [Customer Name],  Thank you for speaking with me today! I think Indow will be a great fit for your home in providing additional comfort.   Attached is the estimate that we discussed on the phone. Please let me know if there are any changes you would like to make in the grade type or color of the tubing. The process from here is very simple. We come out to your home for a laser measurement appointment on [DATE/TIME] and will need approximately [XX MIN/HOURS (# OF WINDOWS X 15 MIN)] to take laser measurements your windows. A 50% deposit will also be collected at this time. There will need to be a minimum of a 5/8 inch interior frame depth in order for the Indows to be effectively installed, so please check for this prior to the appointment.  Please also ensure that all window blinds, curtains, hardware, and any obstructions within 2 feet of the windows have been removed prior to our arrival.  After the measurement, it is 4-6 weeks for manufacturing and shipping. Once your order is ready we will call you for the pickup and it is less than 10 minutes a window to install! We also have a white glove delivery and installation service if you would like our assistance. Please send me your written confirmation of this message, and let me know if you have any questions or concerns. Thank you for being our customer and we look forward to the next steps. Template 4: Providing an Estimate Emailed from Questionnaire [Attachments Needed: Estimate package, and customer handout (either comfort ROI, laser tailoring sheet, another case study, or a link to a blog post depending on customer’s needs)] Next steps with template 4 No response: Follow up with client after 2-3 business days, preferably by phone Replies with confirmation: Template 5 Replies with decline: Work through sales guide to try and understand objections and see if they can be overcome   Hello [Customer Name],  Thank you for [speaking with me today/sending in your information]! I think Indow will be a great fit for your home in providing additional comfort. I have attached an estimate based on the dimensions you provided. This estimate is based on the [standard grade] option. If you would like to change to a different treatment option, like [acoustic or museum grade], please let me know and I will send you an updated estimate. **Please note that there will need to be a minimum of a 5/8 inch interior frame depth in order for the Indows to be effectively installed. Please notify us if blinds, window hardware, or other possible obstructions are within 1-3 inches of the existing window glazing. The process from here is very simple. We will need to come out to your home for a laser measurement appointment so that an exact image of your window opening may be created. We will collect a 50% deposit at this time. From there it is 4-6 weeks for manufacturing and shipping. Once your order is ready we will call you for the pickup and it is less than 5 minutes a window to install! We also have a white glove delivery and installation service if you would like our assistance. If picking up, schedule a time and go over the transportation requirements dependent on their order size. To prepare your home: • Take down blinds, curtains or obstructions • Move furniture, plants or anything else in front of windows • Clean windows & frames If you run into any issues during the install, do not hesitate to give us a call.
