David Roth | Evansdale Library, West Virginia University 13/75 Learning Objectives for this lesson To provide the fundamentals of retrieving un-shelved items from throughout the stacks

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 14/75 After experiencing this lesson, you will… Know how to traverse the floors in an orderly manner with a book cart Retrieve any library items that are laying on shelves, tables, etc. Bring them back to the Access Services Area for processing

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 15/75 Sections of Lesson 06 This lesson has two (2) sections: §6.1 What is a stacks retrieval and why do it? §6.2 How do I do it? Ok, let’s begin …

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 16/75 Before you continue with this lesson, let your direct supervisor know that you are now doing this lesson. The supervisor will try to schedule you to do a retrieval with an experienced student after you conclude this lesson and responses. This depends upon how much time you have remaining today and whether an experienced student is available.

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 17/75 § 6.1 What is a stacks retrieval and why do it?

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 18/75 What do we mean by “retrieving” stacks items? Retrieving is our main means for finding items that have been browsed by library users and then left in the library environment in an un-shelved manner A oft-used synonym for a stacks retrieval is a “pick up” The objective is to search in an organized way for all items that have been left out of place by library users

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 19/75 Why do retrievals? A regular retrieval or pick up is an effective means of ensuring the integrity of our physical collections This task supports the first of our two primary objectives of Access Services: To maintain the integrity of and access to the various library collections

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 20/75 Why do retrievals (2/2) Regular retrievals assist us in managing the physical order of research materials in a variety of formats (paper, CD, DVD, audiotape, etc.) Done as a regular and organized activity, retrievals promote effective access to our physical collections by library users

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 21/75 § 6.2 How is a retrieval done?

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 22/75 Retrieval Process The first step in a retrieval or “pickup” procedure is to sign out on the Daily Tasks Completed log sheet, which will look something like the image to the right Print your name, print the time you leave the Access Services area, and check the appropriate task box (“Pick- up”) for that hour

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 23/75 Retrieval Process (2/38) Let’s take a closer look at an entry for doing a pick-up In this example, “Dorothy” signs out on May 23 to do a “pick up” on all floors at 8:30 p.m. She checks the cell under the Pick-up column, so that others will know that she is on a pick- up When she returns, she will write the number of items retrieved next to the check mark

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 24/75 Retrieval Process (3/38) Now take one of the empty book carts located behind the Service Desk Select a cart that has no signs on it indicating a designated function Use this cart during your rounds to place retrieved books upon

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 25/75 Retrieval Process (4/38) You can start with either the second floor or ground floor, but have the main floor be your last floor so that you don’t have to push a heavy cart that far In this example, we start with the second floor Take the elevator to the second floor The first place to check will be in the deposit table near the elevator elevator

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 26/75 Retrieval Process (5/38) Now take your cart—in this example one of the older, flat shelf carts—and make a clockwise or counter- clockwise “lap” of the floor as you push the cart along the perimeter of the ranges Walk up and down each row between each range throughout the whole floor, looking for un-shelved books Let’s look at a schematic of how you will look for items

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 27/75 Go down every aisle, check every table and room And so forth…

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 28/75 Retrieval Process (7/38) There are many study rooms that line both the upper and lower floors It is important to check these rooms as well Users may have left library items on the tables or on the floor

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 29/75 Retrieval Process (8/38) Students, faculty, and others are free to study or research anywhere in the library This allows them maximum comfort while learning However, it also means that during retrievals every part of the library must be checked Books have a tendency to “hide” anywhere

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 30/75 Retrieval Process (9/38) They could be laying on a shelf …

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 31/75 Retrieval Process (10/38) They could be out in the open on tables…

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 32/75 Retrieval Process (11/38)

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 33/75 Retrieval Process (12/38) In the study carrels…

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 34/75 Retrieval Process (13/38) And books even “hide” among other books The book on the end may look correct But it is probably out of order, and therefore needs to be retrieved so we can keep track of the item Any books lying down or behind the bookend should be retrieved

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 35/75 Retrieval Process (14/38) As you fill your cart with retrieved items, try to keep them in call number order The reason we start on the second floor first, then check the ground floor, and finally the main floor… is that many books tend to be found on the main floor You wouldn’t want to be pushing a full cart from the main floor to the other floors, which is why we do it the other way around

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 36/75 Retrieval Process (15/38) When you have completed the walkthrough of the second floor, take the elevator to the ground floor BE CAREFUL !! when you push your book cart on or off the elevator Sometimes the cart is heavy and could tip upon entering the elevator You need to take it slow in getting a cart onto and off of the elevator Position the cart perpendicular to the door groove first, before you push it on or off

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 37/75 Retrieval Process (16/38) As you bring the cart on to or off of the elevator, attend to how the groove of the elevator shaft runs along the opening of the elevator door You might need to lift the front of the book cart over this groove Be careful that the cart wheels don’t get stuck in the groove

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 38/75 Retrieval Process (17/38) In any event, push or pull the cart slowly on to or off of the elevator Exercise care in moving the cart throughout the library

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 39/75 Retrieval Process (18/38) Now go to the ground floor The first place on the ground floor to be checked is the drop table near the elevator There are also study rooms on this floor, and they will need to be checked for library items as well

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 40/75 Retrieval Process (19/38) Now take your cart and make a clockwise or counter-clockwise “lap” of the floor as you push the cart along the perimeter of the ranges Walk up and down each row throughout the whole floor, looking for un-shelved books Let’s look at a schematic of how you will look for items on the ground floor

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 41/75 Go down every aisle, check every table and room And so forth…

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 42/75 Retrieval Process (21/38) One common type of item found on the ground floor, but the other floors as well, is the oversized book These books may look out of order, but really are just too large to be shelved Therefore, we lay them on the bottom shelf below They do not need to be brought back to the desk for discharging

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 43/75 Retrieval Process (22/38) As we suggested, the main floor should be checked for books last Let’s look at a schematic of the main floor

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 44/75 Look on sofas and computer rounds, check every table and room, including Snackroom and Classroom And so forth…

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 45/75 Retrieval Process (24/38) Check on top of the sofas in the middle of the floor

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 46/75 Retrieval Process (25/38) Glance at the printer table near the Digital Senders, where library users can scan books and articles to their accounts

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 47/75 Retrieval Process (26/38) Look on top of the wooden shelving units

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 48/75 Retrieval Process (27/38) Check the Snack Room Library users taking a break may leave library items

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 49/75 Retrieval Process (28/38) Often, plays are left on top of the Playscripts shelving

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 50/75 Retrieval Process (29/38) Check the area around the copier-scanners Library users sometimes leave books on the copiers, on the floor near them, or on nearby cabinets and tables Also, be attentive for course reserve folders or personal items such as wallets or keys, that are sometimes left at a copier

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 51/75 Retrieval Process (30/38) Leaving the Snack Room, check the Current Periodicals and Reference ranges thoroughly

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 56/75 Retrieval Process (35/38) When you are done, bring the book cart back behind the Service Desk Count the total number of items (books, journals, etc.) that you found We want to keep track of library usage and the amount of physical materials picked up during the retrieval processes of the day

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 57/75 Retrieval Process (36/38) Sign back in on the “Daily Tasks Completed” sheet Write the time you came back to the Service Desk area In this example, it is 9 p.m. Indicate how many total items you found In this example, you found 37 items on all floors

Revised FR :15 EST Created WE Lesson 06. Retrieving Stacks Items / Bringing Learners and Library Skills Together Copyright © by A.
