Preparing Your Troop for Cookie Sale Are you registered and registered as TCM? Are you background checked? (contact Membercare@GSCM.org if needed) Has your troop completed the T3?(ACH form) GSCM.org, VTK, Financial, T3) Have you completed the T10- Troop Cookie Manager Agreement? (GSCM.org, VTK) No troops will be able to order cookies via SmartCookies® if electronic forms requirements are not met . Are your girls registered? Have your parents/legal guardian signed G-1 permission slip.

Important Deadline Dates Action 9/13 Initial Orders begin Cookie Booth Lottery (note time and place) Secured booth sites that SU has obtained 10/5 Initial order and recognitions are due by 11:59 pm Opt out of Girl Recognitions (Junior and above) Verify Troop contacts and banking information is correct in Smart Cookies® 10/25 thru 10/30 Cookie Depot-Initial Order and pick up. Sign up for pick up times 10/25 SmartCookies® Booth Sale Sites open/Direct Sales begin 10/30 Cupboards open locations and schedule will be emailed 11/7 11/21 ACH Withdrawal 12/13 Troop Final Report and Main Recognitions due in SmartCookies® by 11:59PM. All troops need to submit Recognitions 12/17 Last ACH withdrawal for all remaining cookie packages in troop inventory

Cookie Sale Basics Cookies: $4 a box for the 8 varieties. Gluten Free Caramel Chocolate Chip $5 a bag. Troops are not permitted to set prices higher or lower!

Cookie Sale Basics Financial Responsibility: Cookies = Money TCM responsible for all cookies received by troop. Parent signs for cookies then they are responsible. Signature, signature, signature!!

How Do You Get Cookies? Cookies are ordered through Initial Order Planned orders with Cookie Cupboard Troop to troop transfer

Initial Order: Depot Day Pick up date is (enter date here) Pick-up Location (enter location) Safety First – No tagalongs! TCMs will need their T1 Cookie Passport to be able to pick up cookies at Depot. If sending someone else other than TCM, that person must bring T1 and T12 Cookie Depot ID Card. Sort and count your cookies before loading car or signing documents. See SUCM for time slots. Be patient and flexible.

Cookie Cupboard Procedures Open from 10/30 to 12/13 for troops to order cookies. Multiple locations throughout GSCM. * Reserve cookies via SmartCookies® by Sunday 11:59 pm for pick up that week. planned order - CASES ONLY * Verify location of cupboard. * Arrive at assigned time, and location. * Bring signed T1 cookie passport. * Also bring T-5/T-12 if someone other than TCM is picking up cookies. *No returns! No Walk-ins!

Troop to Troop Troops can swap cookies one for one, no paperwork is needed. Troops can transfer their cookies out of inventory to another troop. Check Cookie Passport before giving any cookies to another troop. *T4 form is filled out Entered into SmartCookies® in a timely manner by the giving troop. Troop is financially responsible until entered into SmartCookies®. Single Boxes are OK

Giving Cookies from Troop to Girl Throughout the sale, cookies sold by girls should be transferred from troop to girl. This is done through SmartCookies® system. Cookie booth sales should be transferred to girl via Booth Divider in SmartCookies® system. If cookies are not transferred to girl, she will not receive incentives and patches.

Recognition Choices for Girls All troops need to submit an early order and main recognition order. Troops opting- out will need to submit a main recognition order for patches. Girls will have the choice of 2 items at most levels OR $ Adventure Bucks* may be chosen and can ‘purchase’ Camp discounts, travel opportunities and fun stuff. (Adventure Bucks must be redeemed no later than March 1, 2020 via Survey Monkey link sent to parent from GSCM) Cookiesx2 Girls that sold 100 boxes of cookies in 2018-19 sale and double their sales this year will be awarded a Movie Night at Camp .

Profit for troop Profit levels are determined by total troop sales Profit for troop Profit levels are determined by total troop sales. TCMs need to regularly update sales data to empower girls in reaching their goals. Main Recognition Order submitted by 11:59 pm on December 13.

Tips for Success Make frequent deposits Tips for Success Make frequent deposits. Use SmartCookies® to ensure correct ACH amounts to avoid overdrafts. Frequently review the status of the cookie order during the sale and update girl’s sales. TCMs are financially responsible for all cookies in the troop’s possession. Get parent signatures on all cookie transactions. This will protect you and your troop from delinquencies. Report delinquencies to the Troop Leader and Service Unit Cookie Manager.

Why have a booth sale? With a cookie booth, girls are learning the power of marketing. Girls are learning teamwork. Girls are improving communication skills. Girls run a small business.

Daisys Can Sell Too! Girl Scout Daisies may participate in product sales, but must do so under the direct supervision of an adult. Booth participation should be based on: attention span and physical abilities of the girls one-on-one supervision when handling money (the adult should hold all money)

Marketing Develop a Marketing Plan to Support Girls’ Goals. Advertise your goal. People will donate or buy cookies to support the girls. Use Cookie Share to reach your troop goal.

Credit Cards to Boost Sales Consider accepting credit cards to boost sales. Credit cards readers should be linked directly to your troop, not an individual. NO PAY PAL NO APPLE PAY Here are some examples of companies with credit card readers: Some banks also offer credit card readers.

Credit Cards to Boost Sales Use Visa, MasterCard, Discover, and Debit Cards for cookie sales! Beware: American Express and Diners Club have additional fees associated with acceptance. Do research before signing up for account. The troop is responsible for any and all transaction fees, service fees and/or mobile charges incurred Your troop number is business name. You will need GSCM tax ID. The account stays active until you discontinue service.

Know your product Read nutritional and health information on product description sheets provided on the ABC Cookies® Web sites. Girls should be able to discuss serving size, nutritional values, and fat and allergy information.

How Many Cookies to order for a Booth? IMPORTANT:  Don't run out of Thin Mints and Caramel Delights!    People will stop if they see Thin Mints or Caramel Delights. Promote with posters. Peanut Butter Patties was 3rd in sales. The Lemonades, Shortbreads, and S’Mores, tied for 4th place in sales.

Cookie Booth Supplies Need permission slips from parents for booth sales. Booth Sale Tally BS-4 form.

Cookie Booth Supplies A container to collect Cookie Share donations. Due to the potential for theft, do not use a money box. Start up change. Approximately $50 (20-$1, 2-$5, 2-$10) . Be mindful of counterfeit money. Troops are responsible for all accepted counterfeit money. Theives have been targeting cookie booths.

Cookie Booth Supplies Pocketed tie-on aprons for adults and older girls who take money and give change. Don’t let too much cash build up in these aprons. A heavy-duty, zippered money bag for the larger bills during the sale and for all the money after the sale.

Cookie Booth Supplies Cookie recipes. Bags for customers A Plexiglas sign holders/ posters to note: cookie price, your troop’s goals, and information for extra cookies(Direct Online) Cookie recipes. Bags for customers Several pens, a calculator, a receipt pad.

Cookie Booth Supplies After the sale is over, the adult on site of booth sale makes sure all the money is in the money bag and packs everything away.  Complete Booth Sale Tally form. Count the money the night of the booth sale and replenish the starting change in the money bag.  

Booth Location Reminders Troops should not secure booths on their own. All booths must be secured by the BSC. Troops should be following all special instructions listed by the booth sale coordinator in SmartCookies®.

Booth Sale Location Reminders A troop MUST release booths in SmartCookies® when they are not using a booth. Customers are using the Booth locater and they are not happy to drive to a location to not find cookies or a troop setup. Your troop or your parents are NOT allowed to just setup a booth sale at a location on their own. They must contact their Service Unit Booth Coordinators for all booth locations and permission to sell.

Cookie Booth Etiquette A minimum of 2 girls and a maximum of 4 girls should be at the booth at all times. Review Leadership Essentials for girl-adult ratio. At least one adult should be at the booth at all times and more if it is busy.

Cookie Booth Etiquette Know your girls attention span for sales. Younger girls (Daisy, Brownie) may be scheduled for an hour. Be mindful of the adult/girl ratio.

Cookie Booth Etiquette Wear your uniform, your vest or sash with pin, special T shirt, or at least your pin to the sale.  Dress appropriately for the weather, since the booth sale is OUTSIDE.

Don’t Forget Cookies Direct Online The potential customer has no cash? With SmartCookies® Direct Ship consumers can have cookies shipped directly. Using SmartCookies® Online Marketing - Girls can send an e-card that includes a secure link to SmartCookies® Direct Ship.

Don’t Forget Cookies Direct Online Have you run out of their favorite cookie? Make business cards with the cookie direct link to share. Business card template is on GSUSA

Cookie Share Use Cookie Share: Sponsor a group: ask for donations of cookies for a group. Often this will ramp up your cookie sale number. It is a good way to use your unsold cookies at end of sale.

Cookie Share Virtual donation is a council based program “Cookies from the Heart”. Troop will not receive cookies; but will receive the profit. GSCM will deliver cookies to local hometown heroes. Donation can be done at initial order and also during the sale through Smart Cookies® by selecting “re-order ” tab under cookies)

Cookie Share Girls who have 8 or more boxes donated virtually through “Cookies from the Heart” will receive a cookie share patch.

Cookie Share Troops can also pick their group to sponsor and deliver cookies to that group. (i.e.police, fire, military service members, teachers, soup kitchens) December 16th-20th: Troops can help Council in delivery.

Important Dates Oct 25th Booth sales open Open booth locations are available for troops sign up in SMARTCOOKIES®. Oct 30th Cookie Cupboards open. Don’t forget your planned orders. Orders by case only. See cookie manual for order deadlines

Important Dates November 7th First ACH withdrawal Troops scheduling their first booth after November 7th should order booth sale cookies after November 7th. so the additional cookies will not be included in the first draw. Troops with first booth sale prior to November 7th may order booth sale cookies with their initial order.
