MD Online IEP System Instructional Series – PD Activity #2 Navigating in the MD Online IEP System Welcome to the Navigating the MD Online IEP System PD activity of our MD Online IEP System Instructional Series. This PowerPoint will represent the “Presentation” section of this PD activity. After going through these slides, you will understand the set-up and basic navigation in the MD Online IEP System. This document was developed and produced by the MSDE, Division of Special Education/Early Intervention Services, in collaboration with the Johns Hopkins University/Center for Technology in Education. Introduction The topics to be covered in this PD activity are as follows: Structure of the MD Online IEP System Navigation in the MD Online IEP System Student Compass module IEP module After completing this PD activity, you will know how to find information and complete your workflow in the MD Online IEP System During this PD activity, you will gain an overview and understanding of the overall navigation and finding information in the MD Online IEP System. The topics to be covered in this PD activity are: Structure of the MD Online IEP System Navigating in the MD Online IEP System Student Compass module IEP module After completing this PD activity, you will know how to find information and complete workflow in the MD Online IEP System.

Overall Structure The structure of the MD Online IEP System consists of two modules: Student Compass: Module that contains all information and functions supporting the IEP IEP: Module that allows a user to create or update an IEP or view past IEPs Student Compass can be at the caseload or student level. Notifications, Monitoring, and Meetings are at both the caseload and student levels. The structure of the MD Online IEP System can be understood as having two components or modules: Student Compass and IEP Modules. Student Compass can be at the caseload or student levels. It is important to note that Notifications, Monitoring and Meetings can be at both the caseload and student levels.

Logging in There are two ways to login to the MD Online IEP System. There is a traditional login page where you enter your MD Online IEP user name and password.

Logging in The Single Sign-On Portal is for users who have multiple MD Online IEP System accounts and access to IFSP and ECAS. The Single Sign-On Portal allows all MD Online IEP, IFSP and ECAS accounts to be linked to the Single Sign-On account.

Student Compass - Caseload After logging in, a Teacher or School-Based Admin will have the Notification page displayed. If you have access to more than 200 cases the Search page will be displayed. Let’s start with reviewing Student Compass at the caseload level. The top band of sections are: Students, Monitoring, Meetings, Reports, and Administration . When any of these sections are selected, all of the students you have access to will be displayed with the information for that specific section. When Students is selected, the Notification tab is displayed with all of the notifications for the entire caseload. Tip: When you are at the caseload level, the information in the left panel will have the user’s information and caseload information.

Student Compass - Caseload Here is a brief description of the caseload sections. This includes the type of information that is displayed and what you can do. Students Notifications: This will display all upcoming meetings, annual reviews and reevaluations for all students assigned to the user. Case Matrix: There are two tabs. Caseload will display all of the students that the user has access to. Search allows a user to search for a student. Monitoring – This will display an aggregated view of all the IEP goals for the caseload. The goals are categorized by IEP goal type. The user can see the number of the IEP goals by type and also the last progress code. This is a quick snapshot of their entire caseload. In addition, the user can also update progress on IEP goals. Meetings – This will display all meetings for their caseload. You can send edit a meeting or send notifications. Reports – The user can run various reports. Reports can be saved, exported to a CSV file, or printed. Administration – This contains administrative functions for Teachers and School-Based Administrators who have Admin rights, or for County Level/Data Managers.

Student Compass – Accessing a Student To access a student, you can select a student from several locations. You can select a student from the Notification, Case Matrix, Monitoring, or Meeting sections. If the student is selected from the Notification, Monitoring or Meetings section, the MD Online IEP System will display the same page, but at the student level. For example, if you select a student from Notifications, the Notification page will be displayed, and only that student’s notifications will be displayed. In addition, you can select a student from the caseload tab, or use the search function to find the student.

Student Compass – Student Level After you select the student from the Notification page, the student level Notification page will be displayed for this student. Student Compass is now at the student level. The second band of buttons in blue are: Notifications, Monitoring, Profile, IEP Summary, Meetings, and Forms and Logs. Selecting these buttons will navigate you through the student level of Student Compass. All information will be for the specific student selected. You can select any of the student level options to view information, create meetings, or view forms for this student. You can switch between the caseload and student level easily.

Student Compass – Student Level Here is a brief description of the student level buttons. This includes the type of information that is displayed and what you can do. Notifications – This will display all upcoming meetings, annual reviews and reevaluations. Monitoring – This will display all IEP Goals for the active IEP. It will include a graphic on the progress and the last progress code. This is a quick snapshot of the IEP Goals and where the student is in their progress. In addition, the user can also update progress on IEP goals. Profile – This will display a combination of pertinent demographics and school information for the student. IEP Summary – This will display a summary of the key information from the active IEP. Meetings – This will display all meetings for the student. In addition, the user can initiate scheduling a meeting. Forms and Logs – The user can view completed forms and/or logs. In addition, the user can initiate completing new forms and/or logs.

Student Compass – Left panel If you are at the caseload level, the left panel will display the user’s information and aggregate data for the caseload. If you are at the student level then the student’s information is displayed. If the student has had cases in IFSP and or ECAS, key information will be displayed when the arrow next to the system is selected.

Getting to the IEP There are a few ways to get to the IEP module. You can access the IEP module by clicking the Open IEP button underneath a student’s name on the Caseload tab. You can click on the Open IEP button on the IEP Summary page. You can also click on the Open IEP button in the left navigation panel. This will take you to the IEP module for that specific student.

IEP Overview After accessing the IEP module for a student, the IEP/Service Plan/Status Report Table of Contents is displayed. If there is an Active IEP for the student you will default to viewing it. Across the top of the page, you can select to view the Active IEP, create an Amendment, Next IEP, or view Past IEPs. If there isn’t an Active IEP or past IEPs then the only choice would be Next IEP. The IEP/Service Plan/Status Report Table of Contents directs you to starting and completing the IEP. To add progress to a goal in an active IEP, you would select Active, and then click 3. Goals. You would then enter all progress updates for the goal.

IEP Overview At the bottom of the IEP Table of Contents is Utilities. It is a list of auxiliary functions for the IEP. This allows you to copy from an Active IEP when creating a new IEP, Assign Team Members to the case, Print the IEP, Audit the IEP to ensure all compliance checks are passed, and Close the IEP to make it Active.

Getting to Student Compass To get back to the Student Compass, you can click the Student Compass link in the upper left corner. You will be taken to the Notification page at the student level. You can use the Lookup Student search bar at the top to search for another student and access the new case and view information in Student Compass.

Logging Out To logout of the MD Online IEP System, you click on your User name from the drop down list. The list will display options for the User Guide, Process Guide, Single Sign-on Portal and Logout. Click the Logout option to end the session in the MD Online IEP System.
