Users This list will display the top 5 users who have the most outstanding items in their To Do List; if you would like to view additional users, click Load More at the bottom of this tab. The bar chart is only indicative of the total number of items in that user’s inbox excluding messages; to see a summary of the items in the users inbox broken down, hover your cursor over the bar graph; if you would like you can click Run Report - this will run an inbox summary report for this user only.  Groups This list will display the top 5 groups who have the most outstanding items in their To Do List (summed) if you would like to view additional groups, click Load More at the bottom of this tab. Each group will be represented by their name, with group members listed under it. The bar chart is indicative of the sum of the items in their inbox excluding direct assignments, messages and courses. To see a summary of the items in the group's inbox broken down, hover your cursor over the bar graph; if you would like you can click Run Report - this will run an inbox summary report all members of this group. Documents This list will display the top 5 documents with the most outstanding signatures. The bar chart is indicative of the number of signatures collected and the total number of signatures needed. Hovering over the bar will show how many signatures have been collected and how many are still needed; selecting Run Report will run a Signatures Needed report for that particular document.

Users Groups Documents Workflows Training Assessments  Workflows This list will display the top 5 workflows (based on “staleness”: the number of days on current step descending) that you are either a participant of OR all workflows if you are the Master Administrator; both document and training related workflows may appear on this tab. The bar chart is indicative of the steps of the workflow. Steps which have been completed appear in green, active step is blue and inactive steps are gray. Hovering over the bar will show who completed the previous step and who is the workflow waiting on next. If comments have been provided, there will be a link under the document name indicating the number of comments- click on the comments to view them.  Training This list will display the top 5 certificates, courses or test ordered by percentage that is incomplete, excluding test that are attached to a document. The bar graph is indicative of the status of the represented item. Assessments This list will display the top 5 assessments listed by due date. The list will show each role and its progress. It also displays the last item that role was working on. The bar chart is indicative of the completed percentage of each standard by status

After clicking Save, you can explore the rest of the tabs which, depending on your feature sets, may include: the user’s group Membership; Documents the user has signed and is required to sign; Certificates the user has earned and is required to earn; Courses the user is enrolled in and has completed in the past; Tests and Surveys the user has taken and is required to take; Standards assessment tasks the user has completed and is required to complete; Workflows the user has participated in and is required to participate in; any Files associated with the user; and Security privileges granted both to and over the user

16 Creating Groups The Distribution & Security tab allows you to set security and privileges for the group in regards to: privileges (give the group administrative privileges, create and messaging rights) documents - quickly give users the right to electronically sign a document, view (search), audit or edit a document standards manuals standards assessments courses surveys tests certificates users other groups (Groups sub-tab) users and groups who have security rights over the current group (This Group sub-tab) users and groups who have security rights over members of the current group (This Group’s Members ). This means those users and groups with security rights will be able to view, audit, or edit the user records of the members of the group you’re currently in

Locations Users Job Titles Phone Types Contact Information Doc Types Documents Course Types Courses Certificate Types Certificates Fee Types Course Fees Code Tables refer to the information appearing in the customizable drop-down menus found throughout your PowerDMS site. Code tables are categories for the various types of information that is unique to your organization, and will help you more easily sort, locate, and manage users, documents, courses, and more. You'll want to make sure you've added information to your code tables before using some areas of PowerDMS. Code Tables are available by hovering over your name in the top-right corner and opening the Administration Menu.

19 Code Tables In order to link your job title to a group, follow these steps: Navigate to the Administration Menu. Select Code Tables. Choose Locations or Job Titles. Locate the Job Title or Location you wish to link, and under the Linked Group column, select Link a Group. Use the radio button to choose whether you would like to create a new group (if your group doesn’t already exist), or if you would like to link to an existing group. If you are creating a new group, name the group as needed. If you are linking to an existing group, choose the desired group from the drop-down menu.​ Once you’ve selected or created your group, select Create Linked Group or Link Existing Group, respectively. [!] Warning- If linking a location or job title to an existing group, all current members without that location or job title will be removed.

21 User Security The Privileges sub-tab will be selected by default. This tab displays the user's privileges, and indicates whether each privilege was given directly to the user or inherited via a group membership.

The This User sub-tab defines any users and groups that have the right to View the user's profile, as well as whether they can Edit and/or Audit the user's record.

23 Group Security In the example above, the Sample Group now has View and Audit privileges to all of the policies in the system by filtering by document type, checking off the items using the cascade feature and selecting Save to commit changes. 

24 Group Security This was just updated in June 2016 and added the “Cascading Order feature”. If you're working under the Security Over This Group tab, you are defining who has access to the group itself.

25 Group Security In this example, we are under the Security Over This Group tab for the "Squad A - Supervisors" group. You can see by the selected checkboxes that: "Supervisors" have cascading View and Audit rights over the group "Melissa Dixon" has non-cascading View, Audit, and Edit rights over the group What this means is that: Members of the "Supervisors" group can View and Audit (AKA run reports on) the group, as well as the group's members.  The user "Melissa Dixon" can View, Audit, and Edit the group. Since she created the group, she also has full rights to edit the group's membership.

26 Group Security What's This "Cascading" Thing All About?
Cascading basically means that the permission you give to the user/group will also apply to the members of the group. In the previous example, we needed to give members of "Supervisors" group rights to audit the "Squad A - Supervisors" group - which requires Audit privileges - but also allow them to have Audit access to the individual user accounts for the members of the "Squad A - Supervisors" group. This privilege can now be granted easily by selecting the Cascading option. What this means is that: Members of the "Supervisors" group can View and Audit (AKA run reports on) the group, as well as the group's members.  The user "Melissa Dixon" can View, Audit, and Edit the group. Since she created the group, she also has full rights to edit the group's membership.
