Student Compass Welcome to Student Compass of the Maryland Online IEP System Instructional Series.

3 Understanding Student Compass
During this PD Activity, you will gain an overview and understanding of the functionality surrounding Student Compass. Consider Student Compass as the management system for the IEP. Within Student Compass, information may be presented at the caseload level or at an individual student level. Each component located within Student Compass has a unique feature but also has some important commonalities. Notifications, Monitoring, and Meetings are three sections that exist at the caseload and student level.

4 Student Compass Caseload - Notifications
The caseload Notifications page is the default page after logging into the Maryland Online IEP System for Teachers and School-Based administrators. If the Teacher or School-Based Administrator has more than 200 cases, then the Search page will be displayed. For the County Level/Data Managers and other users, the Search page is the default page after logging in. Notifications will be sorted and listed in date order. Notifications include: Upcoming meetings, Annual review, and Reevaluations. If there are multiple notifications for a date, then the second sort within that date will be last name and then first name.  Clicking the calendar icon to the left of the meeting will take you to the Notification page at the Student level. For School-Based Administrators, the filter “cases that include me as a team member” can be checked to narrow the list of students to only the ones of which they are a team member. From this page, you can navigate anywhere in the system.

5 Student Compass: Case Matrix
To view your current caseload click on the Case Matrix section to the right of the Notifications page. To view the Caseload click on the Cases tab. For a teacher, this will be a list of students assigned to their caseload. For any other type of user, this will be a list of every student in their school or county. When you enter the Cases page it will default to active cases. If you want to see any other type of status, you can go to the search tab and select the appropriate filters. Examples may include exited, inactive, or not eligible.

6 Student Compass: Cases and Search Tabs
Depending on your level of access, you will see a varying number of students on the cases list. For a teacher, this will be a list of students assigned to their caseload. For a School-Based Administrator, this will be a list of every student in their school with an active record. To view other student cases - for example, exited IEP records; check the appropriate filter boxes at the top of the screen and then click refresh. To view a list of all students assigned to a teacher you can click on the filter “Cases that include me as a team member”. The Search tab allows you to search for a specific student. On the Search page, the user will select filters and enter criteria for the search.  The results page will list all students who match the criteria for the filters selected. The user cannot add additional filters to the already defined list.  However, they can remove/uncheck a filter and click the apply button. Filters can be applied to the search criteria including “Cases that include me as a team member”. The Cases and Search pages will allow a county level/data manager to access these pages and use the filters.

7 Student Compass: Add a Case
In the Student Section, another subsection labeled “Add New Case” is available in the existing Notification and Student Matrix sections.  It is located on the far right, next to Student Matrix. The functionality works exactly as it did in v9 where the user enters the search criteria for the student and searches the IEP database.  A list of students matching the search criteria will be displayed.  On this page, the user can select to add the student, if they are a School-Based Administrator or County Level/Data Manager.  Also, if the user is a County Level/Data Manager, they will be able to update the demographics or have the Create a Child button displayed.  This allows the user to create a student if it was not in the nightly feed.  Again, please remember that the same functionality from v9 will be used in v10.

8 Monitoring: Caseload Goals and Current Progress
This page aggregates the goals and also displays the current progress based on the last progress code selected. Goals are categorized by type: Academic, Behavioral, Health and Physical. Goals are then listed by category, then area. For IEPs created in version 10 or higher, there are two progress codes, and each goal will be displayed graphically. The graph is based on prior goal progress updates. If there are multiple IEP goals for a category, then they will be listed under the category and then stacked under the area.  For a goal to be included in the count, it needs to have one progress code update.

9 Monitoring: Caseload Graphic Display of Progress
The progress for each goal will be displayed graphically based on prior goal progress updates. You can expand the category in each area. You can see each count by category to see each area. When you click on the student name, the student level monitoring page will be displayed. The goal can be quickly updated by clicking the Track Progress button for the goal.

10 Meetings: Caseload Level
The meetings section in the Maryland Online IEP System allows end users to schedule any type of IEP team meeting and view scheduled or past meetings. Clicking the Meetings Section at the top of Student Compass will display meetings at the caseload level. At the caseload level, all meetings for the entire caseload will be displayed. Meetings can be scheduled by clicking the Schedule an IEP Meeting button. Only the first 200 meetings will be displayed on the Meetings page at both the Caseload and Student Level.  If the user wants to look for a case then the search criteria must be used. At the caseload level, the meetings section allows you to see all meetings for your caseload, edit the meetings, and send notifications. If you click on the arrow to the left of the calendar icon, this will expand the meeting to show the essential information for that meeting. Clicking on the student name will take you to the actual meeting at the student level. The “Send Notifications” button allows the user to send out the purpose for the meeting along with any notes and decisions made at the meeting. The “Edit Meeting” button takes you to the details of the IEP meeting.

11 Student Compass: Reports
The reports function in Student Compass preserves existing reports and provides enhanced reporting on IEP goals. The benefit of this feature is that it allows for existing reports to remain while incorporating changes to support improved IEP goal reporting.

12 Administration The Administration section allows end users with access permissions to initiate Administrative functions such as adding a new user, assigning students to a teacher, adding a case, and rolling over to the next school year. County Level/Data Managers with Administrative permissions have additional functions available. Please keep in mind that users are able to navigate through the Maryland Online IEP System as determined by the user’s given tool access permissions.

13 Student Compass: Student Level
When a student’s case has been located through Cases or the Search tabs, the Notifications page will be displayed. Note: Now you are interacting at the student level of Student Compass

14 Notifications: Student Level
After you select a student from one of the Student Compass sections, the student level Notification page will be displayed. Student Compass is now at the student level. The second band of buttons, in blue, are: Notifications, Monitoring, Profile, IEP Summary, Meetings, and Forms and Logs. Selecting any of these buttons will navigate the user through the student level of Student Compass. All information will be for the specific student selected. You can select any of the student level options to view information, access an IEP, or create or view forms for this student.

15 Monitoring: Student Level
Monitoring displays progress against the IEP goals and allows the user to update progress on IEP goals. The page will now display the number of goals per category. The last progress code and date of progress report will be displayed. The track progress button will take you to the “Track Goal Progress” page of the goals section in the IEP. The graph will display a spark line of progress for each goal. This is available for IEPs created in V10 and beyond. Special note: For IEPs created in version 9, the last progress code and report date will be displayed. In order for there to be a spark line, the user must select a “with” that has values (“other” will not work) in order to create a formula.  There must be at least 2 progress codes in order for the spark line to appear.

16 Profile: Student Level
The Profile page provides the user access to pertinent case management information.  The profile section will display a combination of pertinent demographics and school information for the student. The student’s demographic information along with parent information is displayed.  If the user has the appropriate security, they can edit the student demographics via the View/Edit Demographics button or can update the demographics with the information currently in the SISDB via the Update Demographics from SIS button.

17 IEP Summary: Student Level
The IEP Summary displays key elements of the student’s IEP and provides access to the IEP Module.

18 Meetings: Student Level
Student Level: Clicking the Meeting section will display all meetings. In addition, the meeting can be edited and notifications can be sent by clicking the appropriate button for that meeting. A meeting can be scheduled by clicking the Schedule an IEP Meeting button. You can obtain further details on creating a meeting by going through the PD Activity Forms and Meetings.

19 Forms and Logs Forms are always associated with an individual student’s case, and therefore can only be accessed after searching for a student in the system. Once the student’s case has been accessed, the Forms button will be available. After choosing the Forms button, all of the forms and logs available to you will be listed. The list on the top portion of the screen is categorized as Process Forms and Supplemental Forms. The logs - Related Services Log, Parent Contact Log and Access Log, are located in a separate tabbed entry at the bottom of the screen. If forms have been completed for the student in the past, choosing the arrow to the left of the form’s name will reveal all completed forms for that title. Each form title contains this collapsible feature making it easier to view the form titles and only revealing the completed forms as needed. Pressing the arrow again will collapse the list of completed forms for that title. Additional functions on the Forms screen are located to the left of the form title. To complete a new form, select the Complete Form button. The form will open with all the fields, boxes and/or radio buttons necessary to complete the form. The last button to the right of the form title is the Print a Blank Form button. This will produce a printable form that may be useful when the form cannot be completed electronically or if the form is needed for review or professional development purposes.

20 Conclusion You should now feel comfortable in describing each of the major components in Student Compass within the MD Online IEP System with their functionality and benefits.
