CALPADS-101 Brian Sousa Administrator II-Student Data and Achievement Student Programs and Services Division
What is CALPADS Longitudinal data system Successor to CBEDS reporting Data is no longer a static snapshot
Why is it Important Directly impacts LCFF Data about your district is made public Drives SBAC/CAASPP testing State grants often use CALPADS
How is CALPADS Reported Every district has a CALPADS LEA Admin There are six reporting cycles at three windows per year Data comes from the SIS
The Reporting Windows Fall 1 – October – January Fall 2 – October – March End of Year – May to July
Fall 1 Consists of enrollment, information and program files Enrollment data, program participation figures, graduate/dropout, and LCFF counts are part of Fall 1
Fall 2 Consists of staff data, course data, masters schedule data Staff demographic data, job assignments/FTE, classroom services, highly qualified status, CTE, and student course enrollment collected
End of Year Consists of discipline, course completion, and CTE data Suspension/expulsion, student credit completion, CTE concentration/capstone data
Gone the way of the Dodo SNOR (Student National Origin Report) R30 (Language Census Report) CBEDS OPUS (Now called ORA and much more minimal) Pre-IDs for the old CSTs Separate direct certification process
Transitioning to CALPADS Perkins E1/E2 reporting CASEMIS Part C (Disproportionality)
Living Data? Three defined windows Data is updated outside of those windows Official submissions can be amended
Navigation Login window Menu structure Breadcrumb trail Help features
Security LEA has a security account No such thing as ‘read only’ No real tools to bulk inactivate at year’s end
Feedback from the County
Understanding Snapshots During certification windows, CALPADS creates nightly snapshot When errors are resolved, a snapshot is certified A separate database called the ODS stays unfrozen when data is certified
Understanding Anomalies Concurrent Enrollments (CCEs) Exit Reason Discrepancies (ERDs) Multiple Identifiers (MIDs)
Role of the County Certify students on your behalf for those referred to our programs Have access to do county-wide lookup for Foster Youth
Understanding Reports Two main categories: ODS/Snapshot ODS are live reports Snapshots are refreshed nightly until certified Report options follow reporting windows (Fall 1, Fall 2, EOY)
Understanding Reports (Cont) Most aggregate reports followed by details Reports can be exported to PDF, Excel, CSV, and other formats Fall 1 reports can be for enrollment, LCFF, and graduate/dropout data
Understanding “State View” DataQuest data may not match certified data Anomalies are compiled for official numbers Exercise caution if attempting to figure out your four-year cohort
Running Reports Overview of navigation/available reports Filters Exports Using the data
CALPADS Assessment Options Suspense/CELDT Run extracts of results Run reports of assessment history No CAASPP results in CALPADS yet
CAASPP Information CALPADS/TOMS relationship Relevance of Fall 1 updated data (SENR/SPRG) Very important to update enrollments regularly during CAASPP Time-lag for integrated systems
TOMS Data Pull Schedule for TOMS data pulls:
TOMS Data Pull (Continued) The TOMS Online Reporting System (ORS) will provide more timely feedback (New to this year) Most current enrollment will be used in cases of concurrent enrollments (CCEs) California Technical Assistance Center Monday through Friday, 7 a.m. to 5 p.m. PT
