STEP BY STEP APPLICATION TO YOUR HOST INSTITUTION Host Institution Application Deadlines: – University of Florida ( ) – University of Pepperdine ( ) – Babson College ( ) – EM Lyon ( ) – ESCP Europe ( ) – National University of Singapore NUS ( ) No application info from the host institution? Get in contact with IRO at least 1 week prior to your application deadline! Once you receive the application info from your host institution, complete your application on time, share this with and make sure to inform IRO once you complete your Please pay extra attention to the way your host institution would like to receive your application: – Scanned copies: Simply scan all your application documents, send your host institution via and do not forget to cc to this – Hard copies: Complete all your application documents and come to room 1162 in this building to send them via DHL. – Or they may ask for both ways!

If you complete your application by sending the scanned copies of your documents or online, please make sure to the person in charge at your host institution and ask for confirmation, that they have received your documents! OTHER “TO DO’S” WITH YOUR HOST INSTITUTION DORM/ACCOMMODATION APPLICATION: Make sure to complete your accomodation application on time! Otherwise, your host institution will not be able to offer you any options for accommodation! ORIENTATION WEEK/SESSION: Your host institution might organize an orientation session right before the start of your semester. Please pay attention to that and organize your trip according to those dates! REGISTER FOR THE COURSES: Please complete your Learning Agreement on time!

PASAPORT HARÇ MUAFIYET (only for Turkish citizens!) “Pasaport Harç Muafiyet” document will allow you to renew your passport up to 1 year for free! DOCUMENTS TO RENEW YOUR PASSPORT:

VISA APPLICATION Do not forget to double check with your host institution on what type of a visa you will need to attend the program (Student Visa or Tourist Visa) If you try to enter the country with the wrong type of the visa, they won’t allow you to enter the country and will send you back! Please visit the website of the General Consulate of the country of your host institution for the visa application documents. Make sure to complete all the necessary documents and apply for your visa on time! We have prepared Exchange Student Consulate Letters for you, those will help you to obtain your visa. You have to make your visa application personally! Make sure that your health insurance covers the dates of your flight.

LEARNING AGREEMENT Learning agreement provides academic accreditation and guaranties grade/credit transfer for Exchange Programs. Learning Agreement brings the approval of 3 parties together; student, home institution & host institution and all 3 parties MUST sign it in order for learning agreement to be complete! Learning Agreement is flexible; it allows you to add drop your registered and approved courses! Learning Agreement is the most important document for your grade/credit transfer! ECTS = European Credit Transfer System, which is the common credit system used within Europe.

STEP BY STEP COMPLETING YOUR LEARNING AGREEMENT REVIEW THE COURSES AT YOUR HOST INSTITON – Review the website of your host institution – Read the s, those you receive from your host institution carefully! – If you can’t find any information on the courses and their credits, please contact the international/exchange office of your host institution. – Review the course, those are taken by post-exchange students at – If you still can’t find any information, please contact IRO by sending an to COMPLETE YOUR LA VIA ONLINE LEARNING AGREEMENT SYSTEM – Please read carefully “Learning Agreement 1st Page Manual “ at before you start completing your Learning Agreement! And simply follow the steps on the manual! – The online learning agreement system will be open 11 March 2013 – 15 April Please complete your Learning Agreement on time! – Once you complete your learning agreement via online system, simply print it, sign it and hand in to IRO.

STEP BY STEP COMPLETING YOUR LEARNING AGREEMENT AFTER YOU HAND IN YOUR LEARNING AGREEMENT TO IRO – Deadline to submit your to IRO is 15 April – Iro gets the signatures of SU Institutional Coordinator & SU Departmental Coordinator – Once the home institution (sending institution) signatures are ready, we send them to your host institution for the signatures. – Once all the signatures are complete on the first page, we send them to your faculty for the “faculty recognition” – At the end, we share with you the duly signed and sealed copies of your learning agreements by and inform you about the second page of the learning agreement, which is the add drop page.

IMPORTANT NOTES FOR LEARNING AGREEMENT The credits of the courses you will be taking during your exchange term must be integer or.5. Credits such as 3.2 or 2.7 are not accredidated. Please do not forget to write down the codes of your courses! LEARNING AGREEMENT = EXCHANGE SEMESTER COURSE REGISTRATION Do not miss the deadline! Otherwise your learning agreement will not be accepted. Please make sure that, all your exchange semester courses have an ECTS credit. If not, make sure to obtain letter grades for those courses! Do not take pass/fail courses during your exchange semester and if you do, please get in contact with the faculty of this specific course and ask them to find it’s equivalent in terms of ECTS credits or letter grades.

EXCHANGE SEMESTER TRANSCRIPT Before your departure from your host institution, get in contact with the exchange/international office of your host institution and ask them to send your transcript to the following address: Çiçek Dereli Sabancı University International Relations Office Orhanlı / Tuzla Istanbul/Turkey Tel: Do not forget: In order to transfer your credits/grades to your Sabancı University transcript, we must receive the original hard copy of your exchange semester transcripts. It is your responsibility to make sure your transcript arrives on time to our office.
