Guide to Scheduling & Preparing for a Gathering Junior Consultant Training Boot camp Series

Tips to Getting a Tasting Booked During the Gathering! Pay attention during the Tasting, did anyone say how much fun this was, ask about host gifts, mention hosting etc.?. – IF so follow up and ask them at check out one on one – Try to get it scheduled during check out – If not, then follow back up with them after they receive and taste their products. Remind at the end of the Gathering all the Free gifts Hostess gets and what they receive if parties are booked Ask the current host to explain why she booked? Mention to the guests how easy it is to prepare for a tasting. Outside of a Gathering! Mention on Facebook all the free gifts the hostess received from her tasting to entice others that attended to book. When following up with a potential Hostess to book a tasting don’t ask open-ended questions. Instead ask: – What days of the week work best for you? – Then, take those days of the week and check against your calendar. Respond back with: Here are the dates I have open, which one works best for you! – We have a promo going on X month, everyone is loving it, I wouldn’t want you to miss out! Here are the dates I have left, which one would you like.

How the Tasting Kits work? Each Gathering ID must have a separate Tasting Kit ordered It is the responsibility of the Consultant to order & pay for the tasting kit in enough time for his/her Gathering. Order at least 7 days prior to Gathering. – If Tasting Kit order happens within 7 days of the Gathering contact HQ to see if able to meet date. Tasting kit requests are ordered via the Gathering ID /Tasting Kit web form. There are two types of Tasting Kits: – Coffee/ Tea Only – Contains 2 coffees and 1-2 teas – Combo Kit –Contains 2 coffees (1 Single Origin, 1 Flavor) 1 Tea & 3 Wines You may order kits /by party or order 2-3 at a time. – Keep in mind the shelf life of tea and wine is long, however the coffee shelf life is not and coffee needs to be used within the same month as ordered in the kit. – If your party gets postponed and you do not have another gathering you can use the kit for in its place, you may order (and pay for at your cost) additional coffee samples if the shelf life expires) Cost of Kits: – You always pay upfront for the coffee/tea samples and the shipping of the entire kit Coffee/tea samples are $1.50 each – For the Wine portion of the kit, you may use any balance you have in your Wine certificate account. If you do not have a balance, you will be charged $42 for the wine kit. How to earn a Tasting Kit Certificate? – Meet the Gathering Sales Volume (GSV) requirement of $150.00 GSV & 4 unique orders and earn a certificate for your next Wine Tasting Kit. Gathering Sales may not be combined. Your Gathering must hit the minimum GSV requirements in order to have your Tasting Kit certificate replenished, or you will be charged for any balance on your kit.

How to get a Gathering ID & Tasting Kit You need /tasting A Booking ID & Order a Tasting Kit A booking ID is what links your party, hostess rewards, any forward bookings and tasting kit cost. Tasting kit is the 2 samples of coffee, 1 sample of 2 and 3 wines you would receive for a Combo Party – If Just coffee/tea party, you receive 2 samples of coffee and 1 sample of tea – How to receive these items? Gathering ID- Submit the Consultant Order form and fill out the ‘Order Gathering Tasting Kits’ Section. – Don’t have a Gathering ID yet (new booking) ie: when you book a party outside of a gathering. – Have a Gathering ID when you submit a Gathering Order, there is a place to notate bookings from that Gathering. At that time you will receive a Gathering ID) – Tasting Kit – Submit request via the Gathering Id/Tasting Kit web form. All tasting kits are shipped. – Responsibility of Consultant to submit this in ample time for tasting (at least week prior if outside Ohio) – Hint: Ordering 2 kits at once is more cost effective, as the consultant pays the shipping fee. – Use tab ‘TastingKitOptions’ to select your tasting kit and then select name of kit under ‘Kit Type’. Fill out like below image. Tips: The coffee, will not stay fresh past 4 weeks from ordering your kit, so do not order too far in advance! Inquire from your Host & guests what they would like to sample prior to ordering your kit.

Invites Use our invite template for all tastings which can be on our document repository. – Adjust to specific tasting details Provide your host several options, print out, email and Facebook. – Encourage them to use FB and print out as most people do not check FB daily and will miss the event. However, FB allows you to post teasers pre party to encourage people to attend. Provide teasers once to twice a week if there is a FB invite – Ask your host if you have mainly coffee, tea, wine, sweet, dry, flavor, dark roasts etc, so you know what teasers to send them. – Taking things from website: Who are we? About our Products? Pictures of our products? – Ask your guests what types of coffees, teas and wines they want to sample so you can be sure to bring ones they will like. Examples: Do you like dark roasts or medium roasts coffees. Decaf or the strong stuff? Dry or Sweet wines. Any flavor coffee lovers ? We have Snickerdoodle, Cinnamon Hazelnut etc. Send your Host his/her hostess packet via mail, hand delivery or email and ask them to review ahead of time. – If Wine party, the Host will need to have the form signed ahead of time and the consultant needs to bring that back and keep a copy for future reference. Remind your Host to gather any outside orders, customers can view website and email you or the host their orders and you can get them a total. – Encourage the Host to do this by sending them ahead of their party (at same time as you provide invites) their Rewards. – Follow back up with Host a week before party “SO what fun things did you decide you want for Free”?? (this reminds them to look at their reward sheets) ***Next pages are teasers I have used before.

Teaser Examples to FB Invites New to American Serenade? Take snipits from our home page and About us and About our Products pages Have you met Grace? – Picture of Grace and excerpt from the website. Because life is complicated, indulge yourself…. Post individual products with image on your event page. Our Wine List (Photo) Host Rewards to entice others to host

Follow ups Post Gathering During the Gathering I always ask everyone with smart phone to like our Facebook Page After gathering if there was a Facebook invite, I post our FB page and our website encouraging anyone that could not attend to submit an order and how they can, and by what date. I reach out to Host giving them date to close party, come up with their gifts and also asking what they need to gather any additional outside orders. Post on my Facebook page When handing out purchased items, I put my business card, a flyer about monthly clubs etc The month after they received their items… I always follow up with an email or facebook message to individuals that ordered to see if they want a replenishment or to join our clubs. Even Host a Gathering. Submit all bookings to HQ with Gathering/Tasting Orders, as this will track future bookings and host rewards.

Host Rewards 1.Must hit $200 for host to receive any of dollar host rewards off her purchase. 2.Host still pays shipping 3. The host only receives free bag of either coffee or tea if: a. Their specific party hits $200 b. The host attends new booked party. c. That party Gathering Sales hits $200.
