AIAA Aerospace Sciences Group TC Presentation AIAA SciTech 2014 National Harbor, MD 13-17 January 2014

AIAA Topic: Conference Attendance Overall attendance was down for all AIAA conferences  Conference attendance was down ~ 20% to 30% for all conferences held in FY13 (very few exceptions)  Vended events were canceled or are not being held by AIAA – MDA canceled by the Missile Defense Agency – FAA chose not to use AIAA as event organizer because of government restrictions on conference organization  See Slide 3 Negative impact to AIAA finances  Below budget by $ 2.2 million for FY13 (Oct 1 to Sep 30) 2

AIAA Topic: Conference Attendance 4 NOTE: AIAA always starts the year out at zero and attempts to create a budget that gets us to zero at the end of the FY. The vast majority of our events occur in the summer, and that is where we make up much of the negative difference. Any money that is above the line goes into the portfolio. Any shortfall is made up by dollars that are in the portfolio. The FY12 shortfall that started in July was due to the beginning of the government travel restrictions. The Board authorized passage of an unbalanced budget with the intent that cuts would be made during FY13 to make up for the shortfall.

AIAA Topic: Impacts to AIAA Ended FY2012 (0.471M) and FY2013 (2.2M) with a negative operating balance Major Factors:  Decrease (average) in conference attendance in FY2013  Cancellation/delay of vended events Mandated a balanced budget for FY2014 AIAA Staff  Some resigns, retires, layoffs  Overall downsizing 5

TAC Topic: New Event Model (NEM) The dates and locations for the 2015 forums (most) have been finalized.  AIAA Science and Technology Forum and Exposition 5-9 January 2015 Gaylord Palms and Convention Center Kissimmee, Florida  AIAA Aviation and Aeronautics Forum and Exposition 22-26 June 2015 Hilton Anatole Dallas, Texas  AIAA Propulsion and Energy Forum and Exposition 27-29 July 2015 Hilton Orlando Orlando, Florida  AIAA Space and Astronautics Forum and Exposition 18-20 August 2015 Pasadena Convention Center Pasadena CA  The AIAA Defense and Security Forum and Exposition is still in development. 6

TAC Topic: Science & Technology Forum (SciTech) 7 Executive Steering Committee Forum Technical Chair Forum Organizing Committee Led by Forum General Chair Representatives from TCs/PCs Representatives from co-located symposia, workshops Integration Chair Public Policy Chair Education Chair International Chair Member Engagement Chair Etc. Technical Program Committee Led by Forum Technical Chairs (formerly Conference General Chair)  Forum Technical Chairs from AS, ADS, and IS Groups  Chairs sit on Forum Organizing Committee Representatives from other societies (ASCE, ASME, etc.) 4-6 high-level representatives from industry, gov’t, academia Expanded Organizational Structure

TAC Topic: Science & Technology Forum (SciTech) SciTech 2014 Forum  ASG Forum Technical Chair Lawrence “Robbie” Robertson Selected ASG Forum Technical Chair for SciTech 2015  Brett Ridgley from GNC TC  Need Associate ASG Technical Chair from AFM (by end of January)  All TCs need to appoint Discipline Chairs (AFM, ATM still needed) Need to appoint Discpline Chairs sooner (18 months prior to Forum) 8

TAC Topic: Aviation and Aeronautics (AVIATION) Fluid Dynamics Conference (including Flow Control and Computational Fluid Dynamics) Thermophysics Conference Plasmadynamics and Lasers Conference Applied Aerodynamics Conference Aerodynamic Measurement Technology Conference Ground Testing Conference Atmospheric Flight Mechanics Conference Atmospheric and Space Environments Conference Aeroacoustics Conference Aviation 20XX Conference Aviation Technology, Integration, and Operations Conference Multidisciplinary Analysis and Optimization Conference Aerodynamic Decelerator Systems*/Balloons/Lighter-Than Air Conferences Flight Testing Conference Complex Aerospace Systems Exchange * 9

TAC Topic: Aviation & Aeronautics (AVIATION) ASG will use similar rotation established for Fluids Conference to select ASG Forum Technical Chair  Defined role of Associate AS Chair for one year  ASG Forum Technical Chair the following year ASG 2014 representatives are  ASG Forum Technical Chair: Andy Broeren (ASE)  AS Associate Chair: Greg Naterer (TP) – Will be AVIATION ASG Forum Technical Chair in 2015 Would like to assign chairs 18 months prior to conference  Need 2015 Associate Chair in January 2014 from Fluids TC 10

Reduction in number AIAA conference locations Fewer opportunities to train/expose TC members to conference planning & organization TC Chairs/Vice Chairs have agreed to ASG Forum Chair rotation (upcoming slide) Work load has increased for January meeting  ASM is now SciTech  Includes “old” GNC Conference (GNC, MST, AFM) plus ASM conference 11 TAC Topic: New Event Model (NEM)

12 ASG Chair Rotation Assignment and Schedule for SciTech & AVIATION TAC Topic: New Event Model (NEM)

TAC Topic: Forum Organization - Integration 13 Executive Steering Committee Forum Technical Chair Forum Organizing Committee Led by Forum General Chair Representatives from TCs/PCs Representatives from co-located symposia, workshops Integration Chair Public Policy Chair Education Chair International Chair Member Engagement Chair Etc. Technical Program Committee Led by Forum Technical Chairs (formerly Conference General Chair)  Forum Technical Chairs from AS, ADS, and IS Groups  Chairs sit on Forum Organizing Committee Representatives from other societies (ASCE, ASME, etc.) 4-6 high-level representatives from industry, gov’t, academia Expanded Organizational Structure

TAC Topic: What is the “Integration Tier”? Content: Operational topics System integration Technical program management topics Cross-disciplinary topics Emerging Technologies Test, Verification, Reliability, Safety, Quality issues Policy and regulation topics Workforce and professional development issues Supply chain discussions Topics related to the intersection of government/industry/academia 14

TAC Topic: What is the Integration Tier? Format  Not envisioned as traditional technical paper sessions but as sessions to allow dialogue and provide information that participants can apply at work  Includes various format types including but not limited to: –Panel discussions focused on lessons learned, best practices, and case studies –Tutorials, seminars, workshops –Joint sessions typical at current conferences when multiple committees have an interest in the same topic 15

16 ASG Topic: TC Funds No TAC Group Directors given annual funding for FY14  Hopefully will be restored in FY15  AIAA finances are problematic after last FY
