Unit 1 – Improving Productivity Taylor Doran Instructions ~ 100 words per box

1.1Why did you use a computer? What other systems / resources could you have used? I have used a computer because it’s easier and quicker it’s easier because you can delete the word if you make a mistake rather than start all over again and I can type faster than write. Also you can email it to all the parents and schools so you don’t have to hand deliver them or phone every parent or do an assembly at every school. Also you can hyperlink pages to your presentation. This makes it easier for the pupils to visit the websites. These websites might give you information about the school/teachers. You could have used your phone and sent a text message to all the schools. This might be a problem because you might use text slang and the pupils/ teachers might not understand it.

1.2What skills did you need to learn in order to use PowerPoint? You need to be able to know how to use PowerPoint and also be able to use a computer. You need to be able to know how to change the font and move boxes around to make it look more neater and more professional. You need these skills if you open a business or do a presentation to get a job these skill make you look good for the job and smart. These skills might be simple but they can change your life for the better and get you a good job which pays good money. Another skill you need to use PowerPoint is to know how to use a keyboard and mouse because if you don’t know how to use a keyboard and mouse properly you wont get any work complete.

1.2What resources did you need to make the presentation successful? The resources that was needed to make my presentation were electricity, a computer, PowerPoint, the internet, videos, images and information. You need a computer because you won’t be able to make your presentation and use pen and paper which I have said will take too long. You also need the internet because you wouldn’t be able to send your presentation or get images for it. You will need electricity because you won’t have any power to do your presentation or send it to the person you need to send it to. You need a computer with PowerPoint so you can type up your work and make it into a presentation for the schools/companies. Images and videos are needed to make the presentation more interesting so youngsters won’t get bored of sitting and reading for half an hour.

1.4What factors might have affected how well you completed the presentation? (e.g. time / attendance / knowledge of software) The things that could have affected my working were that I could not access it from home so then I didn’t have enough time so if I didn’t get enough done in class I couldn’t not catch up from my computer at home. People I sit next to could have also distracted me from my work by talking to them. Also games could have distracted me from working because I would have played games instead of doing my work. Computers not working properly could have stopped me from working because it might not save the computer might not load quickly which can cost valuable time on my presentation because it might take some time to load fully also the computer might crash or log you out. You might not save it so all your work will be lost and you will have to do it all again when you could be on a different slide/presentation.

1.6Why did you use PowerPoint to make your presentation? What other software was available? Why did you choose not to use them? In PowerPoint you can put videos in your presentation so the year 6s don’t get bored just listening to their teacher read a long letter. Also it will make your work a lot easier because if you make mistake on paper you need to start again and on PowerPoint you can just delete the word you spelt wrong or put in the wrong place. This also make it look neater because you wont want crossed out words/scribbles on a letter people might not be able to read it. One more thing is you might not have the neatest handwriting so the people might not be able to read your writing and on PowerPoint your work is nice and neat and easy to read.

1.7Were there any legal constraints or local constraints that changed the way you created your presentation? (e.g. copyright, file sizes, AUP) Copyright is a legal right of ownership that enables the creator of a written, artistic or published work, to control how it is used. In general terms, this legal right starts as soon as the work is created in a material form, for example written down, recorded or photographed. This didn’t affect me because I used the photos from RM Shared. Every file on a computer uses a certain amount of resources when sent over the internet or stored. Keeping mind of your kilobytes (kB) and megabytes (MB) can prevent problems and produce a smoother online experience. This Green Net guide is here to help you tell the whales from the minnows.

2.2Which tools within PowerPoint made it appropriate for your presentation? A tool would be a slide transition this can make your presentation more interesting for children to look at also it make them not get bored as quickly. Another tool is videos and layout these two things can make your presentation more interesting and a lot more exiting for the children and they will be wanting to go to smiths wood sports college as a school as they will think it will be an interesting and fun school to go to. Other tools such as sound effects will also make the presentation more interesting for the children as they can listen to sounds and music so they don’t get bored.

2.4What improvements do you think you could do to your presentation? The improvements I could have done in my presentation is use more images and more information also more videos. I should make these improvements because it will make the presentation more interesting for the year 6s so they won’t get bored. This is also to ensure that they will choose smiths wood sports college as their first choice as school. I also need to make my presentation longer and make it look more exciting so the year 6s think smiths wood sports college would be an exciting school to go to. Another improvement I could have used is keyboard shortcuts this will help speed up your rate. Keyboard shortcuts make things quicker because you just click two buttons instead of using a mouse which might not work properly or even be broken.

3.2What improvements do you think you could have done to improve your work rate? (keyboard shortcuts, file names & locations, backups, work after school, templates, planning) Keyboard shortcuts helped me improve my work because it is a lot quicker to do and its easier for me instead of using the mouse. Also if you don’t have a mouse you can use your keyboard to copy and paste and re-do and un-do. This makes it quicker to do things like copying and pasting it gives you more time also to get your work completed. I can name my files with a clear name that I will recognise so I don’t have to try and find it which could cost valuable time. In the time it takes you to find you file you might have finished 1 or 2 slides. It is important to plan your work before you start it because it is like a guideline it helps you know what you are going to be writing about and what information needs to go into it. Plans are also useful because if you get stuck you can refer back to it for some help. All of these things can help you speed up your work rate and quality of your work.
