Complex Documents Complex documents can also be described as documents produced by a company to be used :  Internally (within the company)  Externally (sent outside the company, eg. for the clients of the company) There are many types of complex documents  Reports  User manuals  Employee handbook  Minutes of meeting  …and more

Writing Complex Documents - Considerations When writing complex documents, a few things should be considered:  How to style/ format the document  Correct grammar should be used  Correct words  Correct phrases  Correct sentences  …and more

Writing Complex Documents – Style Guide Since many complex documents are written by the employees of a company everyday, it is important that these documents follow a certain guide or set of rules, and this is done by a Style Guide.

Style Guide - Definition A style guide is a document which is created as a guide to help employees better understand how to format and style their documents. A style guide does not tell you what to write, but explains how you should write formal company documents

Style Guide – Why It Is Important A style guide is important in a company :  To ensure that all documents of the company look professional  To ensure that all similar documents have the same format/ style  So the employees understand what can and cannot be done in a company document  So the employees have a good guide so they know how to write different types of formal documents  So the employees don’t have to waste time creating new styles for every document they write  So every document of the company looks consistent

Style Guide – What Is Included A style guide includes information on how to style:  Company letters, faxes, reports and other documents  Where the logo should be placed  How the pages should be numbered  How the title page should look like  What font type and size the headings of every document should have  The page layout for a letter  Proper margins to use  Table of contents  …and more

Style Guide - Conclusion Once a style guide is completed, employees can use it as a guide to create documents like company letters, faxes, s, reports, and more. Go to the class blog to see more samples of style guides.

Grammar When writing complex documents, you must always ensure that your grammar is correct. This is because, every document that goes out of your company, reflects your company’s image and professionalism. Here are some common key grammatical errors that should be avoided:  Capitalisation  Punctuation  Spelling  Using the right word (eg. When to use “its” and when to use “it’s”)
