Project Sponsor Project Sponsor - Mr. Virgil Reed, Vice President of marketing, RPC Hotels address : Telephone : (281)

RPC Hotels RPC Hotels currently has one location located in Houston, Texas. RPC Hotels has 65 guest rooms, and a breakfast area. RPC’s current clientele are primarily tourists but RPC would like to attract more business people and will soon add a conference room. Other future plans include wireless Internet access for all customers and expansion to a second location. RPC management feels it has outgrown its current information system.

Current System RPC Hotels currently uses two separate systems to support customer and business needs. One system, a basic static web site offers marketing and contact information over the Internet to customers. Another system, based on Microsoft Access, and located at RPC Hotels offers business management features such as reservation, housekeeping control, inventory management and reporting.

Business Needs RPC Hotels would like to add interactive features to the current web site that allow customers to reserve rooms, complete online transactions, and allow enhanced marketing features such as areas for entering requests for information. RPC Hotels would also like their current in-house management system to be connected to the new customer web site in order to streamline the business process. Security measures are needed to protect the information system.

Business Requirements Current web site would be enhanced by redevelopment into ASP.NET Customers will be able to create accounts to keep track of their reservations These same accounts will enable customers to return to special features/member only pages  check room availability  special discounts  frequent visitor programs

Business Requirements Areas for development  Online transactions such as reservations would be possible through web forms and custom programming  A connection to a third party payment service would be set up to support credit card payments via the web site  Additional features such as forms for information requests, a calendar list of events for the hotel, an area to reserve the new conference room.

Business Requirements RPC Hotels’ web site will be connected to a third party payment service, but room reservations will stored in the in-house database. A central database management system would be created. Migration from Microsoft Access to SQL Expansion of the database by integrating with the current schema

Business Requirements The current management system will be changed to a.NET client front end and transition of the RPC Hotels current database to Microsoft SQL Server will better enable management and reporting features. Management and staff will use new.NET clients located on RPC business PC’s.

Business Requirements A New security model should be implemented and include a firewall to prevent unauthorized access from the Internet. Security measures will address  Authorization  Authentication A future need will include a Virtual Private Network (VPN). A VPN will allow for remote office connectivity and ease business expansion.

Business Requirements Description of System Processes.  The current management database would expanded to support online transactions.  The login portal will enable employees to login to the database remotely  Logins at the front office of all the departments will update the respective tables real time  Generation of new reports like Returning Customer report, Customer Satisfaction Report, Weekly Sales  Ease of saving the reports in different formats  Generation of automated reports for sales by the end of the day

Business Value RPC considers this new information system a vital part of their future and will finance this expansion. Software development costs will be $200K. This new system will support future expansion through the client/server model and wide area networking.

Business Value We expect the website and enhanced management system will enable RPC Hotels to better manage its business and attract more repeat customers. Estimates of tangible value : - $100K annual sales increase - $45K cost savings by reductions in staff/management overhead Intangible Benefits -Improved customer service -Increased brand recognition -Reduction in scope of errors

Issues and Constraints Existing employees will need to be trained on the new system. System backups will grow in volume. A disaster recovery plan should be implemented. Time constraints System to be operational by December 2009.
