Setting Up Your Mailbox Your mailbox number is the same as your 5 digit local There are 3 steps in setting up your mailbox but you’ll only be prompted to change your password & record your personal verification. STEP 1: Password & STEP 2: Personal Verification Log in – Lift handset & dial or press Message button. You will hear “Nortel Call Pilot....Mailbox”? Enter your 5 digit mailbox number followed by # Enter password - The FIRST time you log in, the temporary password is 27+ your 5 digit mailbox number. (ex. If your mailbox no is 75444, your temporary password will be ). The FIRST time you access your mailbox, Call Pilot will prompt you to change your password and record your name for personal verification. Once changed, you’ll hear “your mailbox is empty, to compose a message press 75.” Ignore this prompt and to step #3 to record your external greeting. STEP 3: Greeting – External (8 2 1) If you record an external greeting, it will play to both internal and external callers. If you record an internal greeting, external callers will hear an impersonal canned greeting. There is no need to record an internal recording. Once logged into your mailbox: Press 82 for greetings. Press 1 for external greeting. Press 5 to begin recording greeting. Press # to end recording. Press 2 to listen to the greeting. Press 76 to delete & re-record if necessary. (You may use your Temporary Absence Greeting (3) if you are away on holidays. If record a Temporary Absence greetings your caller cannot leave a message. The Temporary absence greeting over-rides your external greeting)
DIFFERENT WAYS TO LEAVE A MESSAGE Dialing the Telephone Extension If there is a voice mailbox and the call is not answered or the line is busy, caller will be prompted to leave a message. Express Messaging The Express Message feature is a quick and easy way to leave a message without logging into your mailbox or calling a local and waiting to be forwarded to the mailbox. The Timed Delivery option cannot be used. Dial the express message number for your site - Ext 3701 Enter the mailbox number of the recipient or press 11 to Dial by Name Press # Record your message Hang up Note:You may press # after you have finished recording your message. Or for messaging options (Private, Urgent), press 70. Composing (7 5) Creating Messages From Within Your Own Mailbox This requires logging into your own mailbox and recording a message, choosing the person(s) or distribution list that you would like to send your message to, editing the message if necessary, and then sending it to the appropriate party(s). This method of messaging allows you to send a message to one or more mailboxes at once and enables you to use all available messaging options. Log in Press 75 to compose Enter mailbox number(s) Press # (after each mailbox) Press # (end your list with an extra number sign) Press 5 Record your message Press # To end recording Press 2 Listen to your message (edit if necessary) Press 79 to send message Log out
To Play Your Messages ( 2 ) Log into your mailbox, you will hear how many new messages you have. Press 2 to play the first message. (If you wish to hear the “Message Envelope” press 72). While you are in your message list, you can go to any message and play it. o Press 2 to play the current message o Press 6 to go to the next message o Press 4 to go to the previous message o Press # to pause playback Press 83 to disconnect from the CallPilot voice mail system (log out) Message Commands Controlling Message Playback While listening the following playback commands can be used Deleting Messages Restoring Messages (7 6 ) To Delete Press 76 – to delete a message. The message is not deleted until you log out or hang up. To Restore (during same session) Press 4 to skip back to the previous message you deleted Press 2 to replay message. Press 76 again, while in the message, to restore the message. If you do not delete a message it will remain in your mailbox for 21 days then be automatically purged. You will receive a warning to delete messages when your mailbox is 85 % full.
Forward a Copy to Someone Else ( 7 3 ) After listening to message, press 73 to forward a copy. Enter the mailbox number followed by # key (or a list of mailboxes). End the list with an extra # key. Press 5 to record an introduction. Press # key to stop recording. Press 2 to listen to your introduction. (optional) Press 79 to send your introduction and the copied message. Press 76 to delete the original message (optional). Press to Reply to a Message (Internal Only) ( 7 1 ) After listening to message, press 71 to reply. Press 5 to record. Press # key to stop recording. Press 2 to listen to your reply. Press 79 to send the reply. Press 76 to delete the original message (optional). Personal Distribution Lists (85 5) A distribution list allows you to put a number of mailboxes under one address. Each user Can created up to 99 personal distribution lists with up to 200 entries per list. Once logged into your mailbox, press 85 5 Press 5 to create a list Enter the list No. (1 to 99) Enter a list of mailbox numbers separated by #. Enter an additional # at the end of the list to let Call Pilot know you are finished. Extras

( 8 4 ) Once logged into your mailbox: Press 84 for password change Enter your old password followed by the # key. Enter you new password (6 to 16 digits) followed by the # key. Enter you new password again followed by the # key. Personal Verification: You can change your personal verification at any time after initial setup. ( ) Once logged into your mailbox: Press 829 for Personal Verification. Press 5 to record (eg: “Mary Smith....extension 75444” Press # to end recording. Press 83 to log out or press 4 to use other messaging features. Your personal verification is used when sending an express message, dialing by name and remote notification announcements.

You have a caller that wishes to be transferred to someone’s mailbox: Press the transfer Key Enter Express Messaging DN You will hear “Express Messaging to mailbox?” Enter the mailbox number you want to transfer the call to.
