Training Presentation E-Learning Test Request

Objective Provide Test Center staff members with information about the e-learning test request process so they can assist students and staff

E-Learning Test Requests Some students are taking online classes at our college, but are unable to test at our Test Center and need our assistance to have tests and administration information sent to an alternate testing location With the growing number of online classes offered, the number of students needing this testing service will increase Our mission is to make the e-Learning test request process easy for our students and faculty. We hope to act as a bridge from student to faculty to alternate testing location

Partnership with e-Learning Division The Test Center will work closely with the e-learning division to ensure that all online faculty are aware of the policies and procedures As online testing evolves, we will continue to support one another to make sure testing services are available for all students

Issues with Old Procedure No centralized site for correspondence Relied on paper forms Information about the process not clear Faculty not provided with needed information Miscommunication with faculty, Test Center staff, students, and alternate testing locations Did not allow for flexibility Relied heavily on single Test Center staff member and faculty No way to accurately track tests sent

Improving the Process IssuesImprovements No centralized site for correspondence Relied on paper forms Information about the process not clear Faculty not provided with needed information Miscommunication with faculty, Test Center staff, students, and alternate testing locations Did not allow for flexibility Relied heavily on single Test Center staff member and faculty No way to accurately track tests sent specifically dedicated to e-learning test requests Online forms for both students and faculty Quick guide created to help students and faculty; webpages dedicated solely to e-learning test requests created for both students and faculty Faculty will be provided alternate testing facilities contact information, so they can contact the site directly if necessary Correspondence checks with students to inform them of the status of their requests; correspondence with faculty by Test Center and e- Learning division Faculty have the ability to contact alternate testing facility directly without having to contact the Test Center staff if there are any changes Select Test Center staff members will be trained to monitor and coordinate e-learning test requests; partnership with faculty and e-Learning division will improve services offered All correspondence with student, faculty, and alternate testing facilities are housed in a centralized location on the internet

E-Learning Test Request Policies and Procedures

Students Students are responsible for locating and obtaining contact information for a Test Center at a community college, university, library or military base Once students have located a testing location, they are to obtain the following information: Proctor name, Test Center name, Test Center address, address for the proctor or Test Center, hours of operation, Test Center phone and fax numbers Students are required to contact his/her professor(s)

Students (continued) If the student’s professor prefers to send their test(s) directly to the alternate testing location, the student is to pass on the information obtained to his/her professor If the student’s professor prefers to have the Test Center send the test(s) to the alternate testing location, the student must fill out an online e-Learning request form All information on the form is required and the professor will be cc’d when the information is submitted The student will need to submit a form for each course requiring testing services, but they will only need to do it once for an entire semester (not for each test)

Students (continued) Students are to ask the professor to approve their request online Once the Test Center receives the student e-Learning request form and professor approval, we will send the student an confirming all information was received and reminding them they must contact the Test Center ONE WEEK before testing with the following information: test title, test range, and the date and time the student plans to test at the alternate testing location When the test is sent, the student will then receive an from us confirming that his/her exam(s) have been sent

Important Information for Students 1. Only need to fill out an e-Learning test request form for each course requiring testing services ONCE per semester NOT for each test 2. Test Center staff will not process any test request until we have received the completed e-Learning test request form and professor’s approval. If the student has not received a confirmation from us- s/he is to assume there are issues and contact us immediately 3. If the Test Center is not contacted ONE WEEK in advance with the information requested, we cannot guarantee the test(s) will be delivered in time for the scheduled appointment time 4. Students are responsible for any fees charged by the alternate testing location for proctoring services

Faculty Students are to contact his/her professor to request permission to test at an alternate testing location If a professor prefers to send tests directly to the alternate testing location, he/she should request the information collected by the student If the professor would like the Test Center to send tests, they must submit an online approval and administration form

E-Learning Approval and Administration Form This form provides the Test Center staff the information to coordinate e-Learning test requests safely and effectively Professors have the option of submitting all test information forms and tests at one time, or can submit individual test information Professors have the option of approving several students to test for his/her class at one time

Important for Faculty 1. The Test Center will not send any test without approval from the professor 2. The Test Center will confirm that the alternate testing location adheres to rules and regulations that are similar to the ones applied at our Test Center 3. The professor will be receive a copy of the student’s request form, as well as, be cc’d on any correspondence with the alternate testing location 4. Professors are responsible for contacting the alternate testing location if there are any changes to the test, administration instructions, testing dates, etc. 5. If the Test Center does not receive the e-learning approval and administration form at least ONE WEEK prior to the first date of administration, we cannot guarantee the test will be delivered on time for the student’s scheduled appointment

Test Center Staff Expectations All Staff MembersSpecialized Staff Members Must be familiar with the policies and procedures related to e-Learning test requests Must be familiar with resources to assist faculty and students Quick guide available at the Test Center E-learning websites for faculty and students National College Testing Association CCTC Need to check the e-Learning test request account daily Must correspond with students, faculty and alternate testing locations Confirmation when student and faculty approval received Confirmation when tests are sent Use of templates Placing all correspondence (sent and received messages) in student online folder Scheduling reminders on calendar feature Must have specialized training to ensure the e-Learning process is seamless
