European Computer Driving Licence Module 6 – Presentation Chapter 6.2 – Editing a Show

Opening an existing presentation Load PowerPoint Either click the filename of the presentation you want to open if it appears in the Task pane Or click File then Open Navigate to the folder where the presentation is saved to Click the filename to select it and click Open Make sure you are in Normal View by clicking the Normal View button at the bottom left of the screen

Starting a new slide Click the New Slide icon on the Standard toolbar PowerPoint will guess that you want a Title and Text layout. If you want to change it, select the required slide from the Slide Layout in the Task pane Enter the text, formatting it as necessary

Changing text size and line spacing To change the text size: Select the text and click the Increase Font Size icon to make the larger or the Decrease Font Size icon to make it smaller To change the line-spacing: Select the text and use the Increase Paragraph Spacing icon to spread the text out or the Decrease Paragraph Spacing icon to move it closer together

Checking spelling Click the Spelling icon or select Tools then Spelling PowerPoint will try to correct all words underlined in red. These may be words it thinks spelt incorrectly, or repeated words Click on the correct spelling in the Suggestions box and click Change Or type in the correct word and click Change to If the spell-check picks up a repeated word, click Change to delete it If the word is correct (e.g. a name) click Ignore Click OK when finished

Adding more slides Adding a slide using the Outline pane: In the Outline pane, make sure the Slides tab is selected and click a slide. Click the New Slide icon A new slide will appear below the selected slide In the example on the right, the first slide was clicked

Adding titles To add titles using the Outline pane: In the Outline pane, click the Outline tab and then click the new slide so that it appears in the main window Enter the text either on the slide, or if you just start typing while the new slide icon is selected you can type it straight into the Outline pane Pressing the Return key after entering a title automatically inserts another new slide Delete the unwanted slide by clicking it in the Outline pane and press the Delete key

Changing the order of slides Switch to Slide Sorter view Click the slide to be moved Hold down the left mouse button. A grey vertical line will appear Drag the slide until the grey line is in the required position Release the mouse button and the slide will be ‘dropped’ into position The example on the right shows slide 5 being moved immediately after slide 1

Promote and Demote text Use the Increase Indent (demote) button or Decrease Indent (promote) button to move bulleted text a little to the right or to the left Demote makes the text smaller and moves it a little to the right Promote makes the text larger and moves it a little to the left

Customising bullets You can change the style and colour of bullets to increase the impact of subset points Highlight the text of the bullet point(s) to be changed Select Format then Bullets and Numbering Click a bullet style and change the colour if necessary. Click OK

Moving text lines around To change the order of bullet point text lines: Click the Outline tab of the Outline pane Click to the left of the text line to be moved. The mouse pointer will change to a four-headed arrow Hold the mouse button down. A black line will appear Drag up or down until the black line is in the new position and release the mouse

Checking the presentation Display the presentation in Slide Sorter view Click the first slide Click the Slide Show icon Move through the slide show by clicking on the screen or pressing the Space Bar Press the Backspace key to move back to the previous slide Press the Esc key to exit the Slide show
