SmartMove Taxi Dispatching System Base Operator Training (Part 1) May 2017

SmartMove is different Both systems have good points This presentation focuses on bookings This presentation is the first of a series for base operators (agents). It provides an overview then concentrates on the booking form.

How SmartMove works Biggest single difference is the use of the mobile phone network instead of radio. No intrastructure costs – uses commercially available technology. Choice of suppliers Taxi gets its position from GPS satellite; sends that to the computer at least once a minute. Computer always knows where very car is and will give work to a car as soon as it can. Process: Caller makes a call Operator uses booking system to record details Jobs held in a database accessible from the internet. Automatic dispatching system matches jobs to taxis Taxi is offered job. Uses GPRS data links over cellular network.

SmartMove users This map shows sites currently using SmartMove. The green telephone icons show call centres that handle more than one fleet. The call centres can easily handle remote fleets.

Main Components In-vehicle equipment Booking and dispatching Mapping Fleet management website Docket Killer Express Booker Apps The main components of the system are shown here. Have several apps. One for passengers to book, one for drivers, and one for bookings at fixed locations.

Operator Booking Screen No distinctions between operators Can use one to three screens Everything is recorded A small fleet can be managed with one operator. Normally a two screen computer is used – the map is on one screen and the booking software is run on the other. This image shows three screens in use. Information about bookings, vehicles, events and locations is held indefinitely. Reports are discussed later.

Mapping Mapping shows position and status of each vehicle in near real-time. Mapping slows down until mouse is moved over map.

Starting the Booking Client Double-click the icon to start Enter username, password and handset number Select fleets (if required) Restart when changing shift Each operator should have own login. Must select the right handset to get screen pops.

Dispatching/Fleet Monitoring Complete history of bookings Status of vehicles and jobs displayed Bookings linked to phone recordings Job Queues Zone Status The dispatching screen shows the status of the fleet. The top left section shows the various job queues: waiting to be dispatched (job cover), pre-bookings (future dated), in progress, completed, etc. The top right section shows the number of cars in each zone. The bottom right section shows the status of each vehicle. Vacant, booked, engaged (meter on), … The bottom left shows the details for the selected job. Job Details Vehicle Status

Handling addresses in SmartMove Definitions Zone Area used for the allocation of work, e.g. WEST Street Name that requires a prefix, e.g. ANZAC HIGHWAY. Prefix: 4/3, RMB 1234, Lot 57, ... Place Name that must not have a prefix, e.g. SUBWAY, COLES Area Name used by a customer, e.g. Glenelg It’s important to understand the way addresses are written. Zone - is a geographic area used to carve up the operating area for the purposes of allocating work. The zone names have no meaning to a customer. Area - is the name that a customer might use when making the booking. Street - normally a street name, but may be anything that requires a prefix e.g. name of retirement village. Place - name that must not have a prefix. You need a convention for handling pickups on a street corner. 10

Taking a call – 1 Form normally appears when call answered Use ‘F2’ to get form, select fleet If Caller ID is available Get addresses previously used – type number Get other jobs (past and future) – type letter Booking form appears when phone is answered. If callerID is available information about that caller will be displayed. Caller notes Common addresses Model bookings Past bookings

Who is booking? Select Model if this booking is to be saved as a model for future use. Phone number normally set automatically. Can set e-mail address if notification to be sent. Requires fleet option. 12

Payment details (optional) Payment details can be entered if they are know. Typically applies to repeat bookings. 13

Addresses Can have multiple pickup and multiple drop-off addresses. 14

Time and options Specify ASAP or time of pick-up. For pre-bookings can specify when the job is released. Allow enough time for travel. High priority means jobs get dispatched ahead of other jobs in that zone. Auto dispatch means the system will handle dispatching. Clear tick if the job is not to be released. No Location Check means job will be given to any car, wherever it is. Often leads to complaints. Odometer required should be set if driver is required to record odometer readings. 15

Vehicle Setting the number of passengers is important if more than four. Can specify which driver and/or which vehicle. Use with car with pre-bookings as the driver/vehicle may not be operating at the required time. Select whatever attributes are required. 16

Driver Info Can book the return trip at the same time. Results in two separate bookings being created. Can book a vehicle for a period of time. Rarely used. 17

Fixed fares + fare estimation Enter fare if you have given the passenger an estimate. Tick the “fixed price” box if the fare is fixed. Normally applies with contracted rates. The driver is given the fare and whether it is an estimate or fixed. For fixed price fares the driver can start the job without using the meter. Use the Calc button to get an estimate of the fare. You can “drag” the route. 18

Multiple Pickup and Destination plus fare calculation Use F2 to enter more than one pickup address and F3 to enter more destination addresses The Calc button at the bottom of the screen is used to estimate the fare. Flag fall, rate per km, minimum fare and rounding are all set on the website. Tooltip on Fare field shows values used in calculation Can use Google Maps to get the distance for an alternative route. e.g. if a detour is planned. – Double click Map, drag route, enter distance manually Coming Soon – Allow km Rate / Flag Fall / Minimum Fare to be overridden by Account 19

Function keys Have a number of function keys listed at the bottom of the screen. 20

Messages to drivers Can send to one or more drivers Can get reply You can send a message to one or more drivers and get a reply if necessary. Can send to one or more drivers Can get reply Can be held until next logon 21

Voice Requests and Panic Drivers can request a voice call. Drivers request a voice call 22

Voice Requests and Panic Request appears on screen Double click to open window A notification appears at the bottom of the screen if a driver requests a call. You need to initiate the call or clear the request. Select request and Call/Clear Recorded messages come as e-mails 23
