Attendance Monitoring System System Training

2 We know… …one of the key indicators of likely student success is good student engagement.

3 What have we done so far? Over the past three years, the University has: Piloted a new approach to attendance monitoring. Put in place an early warning processes to alert students that we may be concerned about so we can meet with them to discuss any challenges that they are facing. Put in place mechanisms to support the process - Student Engagement Officers, who liaise with personal tutors, and Student Experience Support Tutors, who meet with the students to discuss engagement issues. Developed a student engagement policy. Introduced a student engagement monitoring dashboard to provide personal tutors with information about students’ engagement.

11 Student Registration – 2 ways
1. Touch card readers Student registers attendance using ID card Readers in place in rooms of 30 capacity or over Placed up to 2m inside rooms wherever possible and compliant with DDA 2. Online register Tutor registers students using the new Presto online register To be used in rooms with a capacity of 29 or less or for field trips Can be accessed from any computer or tablet

12 1. Login Go to: https://staffregisters.mmu.ac.uk
Log in with your normal network log in / credentials.

13 2. Select an activity On the main screen, an overview of your timetable will appear. Select or double click any session to enter the online register.

15 3. Find an activity 3. ... OR find an activity using the filter
The sessions which Timetabling are aware you are teaching will appear in the calendar view. Please note, if there are multiple tutors attached to a session, only the first tutor alphabetically will appear. If the activity does not appear on your timetable or you are covering for another member of staff, you can find an activity using the filters on the left hand side. OR find an activity using the filter 1. Select Observe > Timetables 2. Search by activity... Find an activity either by using the address bar on the left hand menu to search for: ‘Activities’ by staff ID number, surname or first name The session room number under ‘Locations’ e.g. BS 3.28 Please note, locations must be written as they appear in the timeable e.g. BS 3.28 or 3.28 (not 328). You can also find sessions by searching through the folders under each section in the left hand menu.

17 Browse by activity To browse by activity, use the search box for the folder marked ‘Activities’ in the left hand menu. Type your staff ID number or name and press enter or select the magnifying glass. Pressing enter or selecting the magnifying glass again will cycle through all names that match your search. Select your name and select the apply button at the bottom. Select apply If you are covering for another member of staff, search for the activity using their name or staff ID number. You can also search by location (room number).

18 Browse by location To browse by location, or room number, use the search box for the folder marked ‘Locations’ in the left hand menu. Type the room number (e.g. BS G.36) press enter or select the magnifying glass. Pressing enter or selecting the magnifying glass again will cycle through all rooms that match your search. Please note, you will need to type the full room number, including any full stops (e.g. BS G.36 or G.36 not G36). The search is not case sensitive. So you do not need to use capital letters. Select apply Select the correct room and select the apply button at the bottom.

19 4. Register a class Once you select or double click a session in the calendar, you will enter the online register. Select “Start observation” to begin the register. The register is now “live” and you are ready to start.

20 5. Mark students as present or absent
To mark a student as present or absent, click on the student icon or picture. One click will mark the student as present. A second click will mark them as absent. You can click as many times as you like until the mark is correct. We recommend that you have the register open even if you are in a room with a reader so that you can ensure the attendance is correct and or add any notes etc. Student marked as present Student marked as absent

21 6. Mark all students as present or absent
These icons appear at the top of the register. Select the icon with 4 green ticks to mark all students as present. This is useful if most students are in the activity. You can then “deselect” students who are absent. Select the icon with 4 red crosses to mark all students as absent. This is useful if most students are not in the activity. You can then mark only the students who are present. This icon will undo all registrations and return the online register to the start.

22 7. Add a note or mark as late
The new system also allows you to add a note or mark a student as late. This is for your personal use, or to communicate to administration staff and Student Engagaement Officers (SEOs) Mark a student as either late arrival or early departure Add a note Select the “clock” icon to mark a student as late. Select either late or early departure in minutes and add a note. Select save before going back to the main register. A “clock” icon will appear on the student. Select the “pencil” icon to add a note. Type remarks and press save before going back to the main register. A “pencil” icon will appear on the student.

23 A green triangle (with tick mark) shows that a student has registered using the card reader.
8. Card registrations Online registers can also be used in activities where a card reader is in place to check or alter registrations. The online reigster will always override card registrations. You can manually enter a note or late minutes to any card reader registration, or mark a student of the class as not expected. A red triangle (with cross mark) shows that a student was absent or did not regsiter their attendance. If a student does not have their card, you can manually register their attendance. In this case, the student will have a red triangle to show they did not register using the card reader but a green outline and tick mark. A “clock” icon on the student indicates that registration was late. N.B. Students can register for a session up to 10 minutes before the start of the session and 10 minutes after the start of the session. After this, students can still register up to 10 minutes before the end of a session but a “late” mark will appear on their record.
