Account Management

New Account Registration (slide 1 of 6) Select Register from the login screen.

New Account Registration (slide 2 of 6) Select a district from the Your School District drop-down menu. Enter personal information to find your profile; there are two options Register using the last four digits of SSN, first name, and last name (returning users) Register using full SSN and first name (first-time users). Select Submit to proceed with registration.

New Account Registration (slide 3 of 6) Create a Personal Login Code and enter it twice. Select Save Changes to proceed with registration.

New Account Registration (slide 4 of 6) Create a Password and enter it twice. Select Save Changes to proceed with registration.

New Account Registration (slide 5 of 6) Select two security questions and provide answers to each. Select Submit to proceed with registration.

New Account Registration (slide 6 of 6) Enter email address twice (optional). Select Submit to proceed with registration. Registration is completed; select Continue to login. For those of you out there that need to register your account, we will stop right here and give time to complete the registration process and take any questions.

All Users: Goal Setting

Goal Setting: Student Learning Targets The Compass Information System form offers the opportunity to describe the students, their academic area, and the identified target set for them to achieve when setting goals. Adding New Student Learning Targets   After logging in to Compass Information System, select Set from the SLT Tab. Select Add to generate a new student learning target form. Select available fields of the student learning target to describe the group of students targeted: Course Category – the subject area/course in which the students will display academic progress (if applicable) Grade – the grade level of the students (if applicable) Number of Students – the number of students included in the target group for this goal Interval of Instruction – the length of the course the students are taking (if applicable) This is the time of year we set new SLTs. The next few slides show the process with guidelines and screen shots .

Goal Setting: Student Learning Targets

Goal Setting: Student Learning Targets Complete the available fields of the student learning target to describe the student learning target expect to achieve. Additional guidance is available under the Planning: Goal Setting Process section of the Compass Library. Define the Achievement Ranges that will correspond to the ultimate score. Select Save. Complete all required fields before attempting to save the SLT. Select Submit or Save to edit at a later time. Editing Saved Student Learning Targets   After logging in to Compass Information System, select Set from the SLT Tab. Use the drop-down to select an Existing Student Learning Target to update. Edit the existing student learning target.

Viewing and Printing Student Learning Targets Educators (teachers, school leaders, librarians, and counselors), evaluators, supervisors, and administrators may view submitted student learning targets at any stage; however, no edits can be made from the View screen.   After logging in to Compass Information System, select the employee from the View Employee list on the Employee Tab. Select View from the SLT Tab. Use the drop-down to select a Submitted Student Learning Target to view. Printing Student Learning Targets Educators (teachers, school leaders, librarians, and counselors), evaluators, supervisors, and administrators may print submitted student learning targets at any stage. After logging in to Compass Information System, select Print from the SLT Tab. Select Generate Report to download a pdf summary of all submitted student learning targets. Print the student learning target report or rename the file to save.

All Users: Accessing Data in CIS

Viewing Data from Previous Years Use View Only check-box to access data that is not editable. Select the year to view. On all subsequent tabs, toggle to the year to view data. This year will be used to display data for all subsequent screens. Edits can not be made. LEA Administrator After selecting the appropriate year, LEA, School, choose the Employee Name. Next, select the data to view from the following: VAM Professional Growth Plan Student Learning Target Observation Evaluation Supervisor Evaluator (Requires Certification) Employee 21

Conducting Observations LEA Administrator Supervisor Evaluator (Requires Certification) After logging in to Compass Information System, select the employee you to complete the evaluation from the View Employee list on the Employee tab. Select Conduct from the Observation tab. Select Add to generate a new observation form. Employee 21

Conducting Observations Complete the required fields of the observation to describe the circumstances of the visit. In order to save the observation, all required fields must be completed. a. Observation Title – the title of the observation b. Observation Begin/End Date – the begin/end date of the observation-If the observation took place on a single day please enter the same date for begin/end c. Full Period – checkbox to indicate whether the observation was a full period Complete the optional fields of the observation to describe the circumstances of the visit. a. Pre-Observation Conference Date/Time – date and time of the pre-observation conference (if applicable) b. Post-Observation Conference Date/Time – date and time of the post-observation conference (if applicable) c. Class Description – further description of the class d. Student Count – number of students observed e. Course Category – subject of the lesson observed f. Grade- grade level of lesson observed

Conducting Observations If a Compass Rubric is used, enter the component-level information (if applicable). a. Component Level Feedback – content-specific feedback to the educator based on the component observed b. Component Level Rating – a rating of ineffective to highly effective to measure the educator’s performance by component Enter the observation-level information: a. Observation Notes – any general notes to the educator about the observation b. Areas of Strength – areas where the educator excelled in the observation c. Areas for Improvement – areas where the educator should focus on as improvement d. Next Steps – specific and actionable next steps for the educator/evaluator to undertake before the next observation

Conducting Observations Determine a method of Scoring the observation: a. Average Components’ Ratings – If individual components were scored, score the observation by taking a straight average of the rated components; components scored No Rating will not be included in average. b. Assign Overall Observation Rating – To enter a rating that is not an average of the scored components, select assign overall observation rating; this will allow a weighted average or a holistic rating of the observation. c. Not Scored – To save the observation without assigning a rating, simply select this option; this option is particularly applicable for walkthroughs. Select Save to save the changes. If prompted, via red text, complete any required fields that were left blank. All required fields must be completed before attempting to save the observation. When all changes are complete, select Submit to submit the observation for the educator to view.

Select Conduct from the Observation tab. Use the drop-down to select an Existing Observation to update. Edits can be made to the existing observation.

Viewing and Printing Evaluations View Evaluations Educators (teachers, school leaders, librarians, and counselors), evaluators, supervisors, and administrators may view and print submitted evaluations; however, no edits can be made from the View screen. Only assigned evaluators may edit evaluations and to do so, the evaluator must request that the appropriate evaluation be unlocked by the District Administrator. View After logging in to CIS, select the employee from the View Employee list on the Employee tab. Select View from the Evaluation tab. Use the drop-down to select a Submitted Evaluation to view. Print After logging in to CIS, select the employee to complete the evaluation for from the View Employee List on the Employee tab. Select Print from the Evaluation tab. Select Generate Report to download a pdf summary of the submitted evaluation. Print or rename the evaluation report. LEA Administrator Supervisor Employee 21

Review Summary and Complete Evaluation Review the Professional Practice Rating and Score. Review the Student Growth Rating and Score. Select Calculate to calculate the Compass Evaluation Rating. All educators (teachers, school leaders, librarians, and counselors) rated Ineffective overall should receive an Intensive Assistance Plan (IAP). If the educator requires an Intensive Assistance Plan (IAP), check the box. Evaluators will enter Comments and Feedback about the overall evaluation. Comments and feedback are required. Select Save to save changes. When all changes are completed, select Submit to submit the final evaluation for the educator or Save the changes to edit at a later time.   Editing Saved Evaluations After logging in to CIS, select the employee to complete the evaluation for from the View Employee list on the Employee tab Select Complete from the Evaluation tab. Send questions to Compass@la.gov Next Steps Action Key Dates Monitor 2016 Evaluation Completion Progress 1/1/2017-End of the School Year Access Transitional Student Growth Data Spring 2017 Upload final evaluations Summer-8/15/2017 Update rosters after the first semester for those employees leaving the school/district. It is important to update rosters periodically. Rosters can not be altered after the school year rolls over to the next year. Once the SPS scores are released, the upload function will be available in CIS. According the LDOE Weekly Newsletter posted 10/18/2016, final report cards and practice performance profiles will be released prior to Thanksgiving. Send questions to Compass@la.gov
