2 CECE – Cross Entity Cross Enrollment OVERVIEW The purpose of Cross Entity Enrollment (CECE) is to allow students from multiple campuses to be enrolled into a single class section. Teachers have one gradebook and one attendance roster for each course/class section regardless of the students’ home campus. HOME COURSES, AWAY COURSES & CECE Class Sections HOME COURSES – are the courses that are offered at a campus and made available for students enrolled at any campus but that can come to take the course/class. AWAY COURSES- these are linked to the HOME COURSES and are in the course master of the campus the student is enrolled in. CECE CLASS SECTIONS – Sections from the HOME COURSES that coded as “Allow Cross- Entity Enrollment” to be able to enrolled students from another campus

3 THINGS TO CONSIDER Student Entry/Withdraw records remain at their home campuses HOME COURSES should be setup first and needs to be coded as HOME course. After the HOME Course is setup at the “host” campus, is time to add the AWAY courses. When trying to link AWAY courses with HOME Courses – the course length must match with the home course, otherwise the home course won't be recognized. Home Course Sections need to be coded as “Allow Cross Entity” in order for those class sections to appear at the AWAY entity course. We prefer for the Bell Schedule/Number of periods to be the same at the entities where HOME and AWAY Courses will be linked. It is possible to have one campus in a regular bell schedule and another in a block bell schedule but the process will be more complicated. Course Key at the AWAY campus –might be different to easily identify courses and do the proper setup – curriculum number must stay the same. Recommendation is to have all of the CECE setup prior to scheduling students at either entity if at all possible

4 CECE DISTRICT CONFIGURATION Turn on CECE at District level under the student configuration PATH: PS\CA\DS\CF\ST PRODUCT SETUP|SKYWARD CONTACT ACCESS|DISTRICT SETUP|CONFIGURATION|STUDENT CONFIGURATION

5 CECE ENTITY CONFIGURATION Verify Entity configuration for each entity that will allow cross enrollment PATH: WS\OF\CS\PS\CF\SE OFFICE|CURRENT SCHEDULING|SETUP|CONFIGURATION|SCHEDULING ENTITY YEAR SETUP Expand appropriate school year, expand the ENTITY YEAR OPTIONS area. Click on EDIT ENTITY YEAR OPTIONS Select the “Allow Cross Entity Course Enrollment” checkbox and click SAVE

6 SCHEDULING CONFIGURATION OPTIONS *Options can be changed at one entity but it would take effect district wide Would you like to Limit the number of students enrolling from the AWAY campus at the HOME Courses? Would you like for the Class meets records of the HOME COURSES to automatically be created at the AWAY campus? These two options are located under: WS\OF\CS\PS\CF\SC OFFICE|CURRENT SCHEDULING|SETUP|CONFIGURATION|SCHEDULING CONFIGURATION OPTIONS NOTE: If campuses are in a different bell schedule, we recommend for the “Automatically Create Class Meet records on Cross Entity Away Courses” to be turned off. That way the away campus can edit the class period if necessary.

7 Setting up HOME COURSES From the course master at the HOME (host) campus: WS\OF\CS\BC\CM\CM Office|CurrentScheduling|BuildCourseMaster|CourseMaster Select the course that will be coded as HOME Course EDIT the course Under the Cross-Entity Course Enrollment Information area, click on drop down arrow and select “ Cross-Entity HOME Course ” and SAVE

8 Setting up HOME COURSES Class Sections From the course master at the HOME (host) campus: WS\OF\CS\BC\CM\CM Office|CurrentScheduling|BuildCourseMaster|CourseMaster Expand the course the HOME Course and go into the SECTION DETAILS area EDIT the class section you would like to share with the AWAY campus(es) Mark the “Allow Cross-Entity Enrollment” checkbox and click SAVE NOTE: If sections were created before making a course a HOME course, you will manually EDIT each of the sections you want to share with another campus. **For any new class sections that are created in a HOME course, the “Allow Cross-Entity Enrollment” checkbox will be automatically checked.

9 Setting up AWAY COURSES From the course master at the campus where the student is enrolled: WS\OF\CS\BC\CM\CM Office|CurrentScheduling|BuildCourseMaster|CourseMaster Select or create the course that will be coded as AWAY Course Under the Cross-Entity Course Enrollment Information area, click on drop down arrow and select “ Cross-Entity AWAY Course ” Click on the DETAILS link to indicate the HOME ENTITY CODE and the HOME COURSE NUMBER Click SAVE to complete the “link”!

10 Setting up AWAY COURSES Class Sections From the course master at the campus where the student is enrolled: WS\OF\CS\BC\CM\CM Office|CurrentScheduling|BuildCourseMaster|CourseMaster Expand the AWAY Course and go into the SECTION DETAILS area Away campuses will NOT have the capability to add any class sections, therefore; HOME Class Sections will automatically be created at the AWAY course If you choose for the HOME class meet to be automatically created at the AWAY campus, all class meet information will be created (class period, teacher, meeting pattern, etc). If you choose for the HOME class meet NOT to be automatically created at the AWAY campus, you will be able to ADD the CLASS MEET and all the information should pre-populate for you and changes can ONLY be made to class period.
