Licensing Updates NEW! Pre-Approval Process Pre-Approval Applicants have: met all requirements, no outstanding deficiencies and are eligible to test. A new pre-approval process has been implemented to better serve or customers and relieve congestion on our testing centers. All applicants need to be pre-approved or be conditionally approved to sign up for an exam. This eliminates people that may not qualify for a license from taking a seat for an exam from someone who qualifies. Non-Qualifying examples would be Criminal History or Lack of Experience.

Pre-Approval Process and Conditionally Approved Status Conditional Approval* For those who are missing only one required course (and have no other deficiencies) and intend to take an exam immediately after completing that required course, at a location where TCEQ is proctoring the exams. TCEQ letter looks like a deficiency letter. *Upload course registration confirmation is required with TCEQ application Conditionally Approved Status is for applicants who are missing only one required course and have no other deficiencies. This step allows applicants to take an exam immediately after completing the required course at a location where TCEQ is proctoring the exams. The applicant must upload a course registration confirmation to qualify for the conditional approval.

5 Registering for an Exam at a Regional School
Licensing Updates Registering for an Exam at a Regional School Get approved or conditionally approved Applicant will receive their letter via (check your SPAM) Register for exam at a specific Regional School Applicant will be given a website to register An applicant that is missing one class and intends to take that class at a regional school and then sit for the exam afterwards, would: Register for the regional school Apply for the TCEQ license online and attach the regional school registration at least 6-8 weeks before the event. Take your conditionally approved letter with you to regional school. (received via – check your spam) Register for the exam at the specific school. Present your conditional approval letter. You will be given a website to register.

Licensing Updates NEW! Pre-Approval Process Step 1. Check requirements to be sure you qualify: experience, education, training, criminal history. Step 2. Prepare before starting e-Application. Download and complete criminal history form-required for all licenses whether you have a history or not. Download and complete any required supplemental form It is important to check the requirements for specific licenses before you being the pre-approval process. Download and complete the required criminal history form as well as any additional supplement forms required before starting the e-Application.

Step 3. Go to ePay Enter your name and . On the next screen, select OTHER under “Option 3” Select the license you wish to obtain. Fill in the required customer information and click OK. Then Select Check Out and enter your payment information. Success is a voucher number & a confirmation . You will need the number for the eApplication system. Access the ePay portal and follow these steps Enter name & Select other under “option 3” Select the correct license Fill in the required customer information Select Check out & enter payment information A voucher number will be issued. This number is required as part of the eApplication process. A confirmation will also be sent when the process is successfully completed.

4. Go to eApp and fill out an application. Check training record on TCEQ website & enter only the training missing & relating to the license. At Supporting Documentation tab- Click Add and select one of the forms you already completed in Step 1, and repeat for other forms and click Next. On the Fee tab, enter in the voucher number from Step 3 and click Next. Then check the box, type in your name, and submit the application. Applicants are now ready to access and complete the eApp. It’s important to check your training record on the TCEQ website and enter information about missing training related to the application.

12 What is an e-Application?
Licensing Updates What is an e-Application? Online, electronic version of the paper application Must be submitted and approved by TCEQ prior to the applicant registering for an exam. Before, only license/registration renewals could be done on line. As of September 2016, we have a web based electronic application for new applications. Please remember that your application needs to be approved prior to registering for the exam.

13 Use of the e-App Sept-Feb 2016
Use of e-App statistics in a bar chart show the paper application submission versus the e-application submission from the program inception in September of 2016 through February of In September 2016, paper applications submitted were approximately 600 while e-applications were approximately By February of 2017, paper applications submitted were approximately 150 while e-applications were approximately 675.

14 Licensing Updates E-App
Occupational licensing web page got a full revamp. Main improvements include: Image icons make information easier to find. Includes the new e-app link on the sub-navigation page under the New Licenses or Registrations image icon. Reworked exam registration web pages to standardize access for all the regions and to verify that applicants have been preapproved. Now they need to provide CN number.

15 The web based application does not store information, so you have to complete it in one session.
Make sure before you begin you have read all the requirements and have all your documents handy. You can find the link to the application on our main web page.

16 E-App Choose a License To Find Out Which Documents You Will Need To Upload in e-Application By picking the license type you are applying for, it will list all the documents you must upload. For instance, criminal history attestation form (for all licenses) and any of the supplemental forms or transcripts required for that particular license.

Type of license Personal information Contact information Qualifications Supporting documents Fees Affidavit The information you will need to provide are type of license, personal information, contact information, qualifications, supporting documents and fees. At the end you will need to sign an affidavit certifying your identity via an electronic signature and acknowledgment.

18 E-Application – Type of License
Users can apply for almost all occupational licenses using e-app. Radioactive materials licenses (handled in another division) and registrations for LPST corrective action specialist, water or wastewater operations companies, and UST contractors are not handled via e-app at this time. There are a couple of company registrations and one license the web-based electronic application is not available for: LPST Corrective action specialist Water and wastewater operations company registrations UST Contractor registration Radioactive material license-in another division Help is available

19 E-Application – Personal Information
Fields are clearly labeled when they are required. For your protection, all the sensitive information you enter is encrypted and it wont be stored in the interface. It is sent to our database once you submit it. If you don’t submit it, it gets deleted. All information you enter is encrypted.

20 E-Application – Contact Information If you live outside the United States, a free-form text box provides flexibility to enter foreign addresses. You enter your contact information here.

22 E-Application – Supporting Documents
A Criminal History Notification Form is required for all applicants. Some forms may be required, depending upon the license type. Here, you select the supporting documents you will be including. Remember, all applications require a criminal history attestation form. Those of you intending to take a class and test at a regional school must select a conditionally approved application and upload your regional school registration form. Applicants requesting a Conditionally Approved application will have the opportunity to upload their confirmation of registration

23 E-App Time to pay! You will be able to pay within the application. The application re-directs you to “e-pay”. If you are a veteran and have the fee waived you can skip this step by selecting the appropriate box. Keep in mind that after paying you must return to the application. Payment submittal does not submit your application. Get your voucher number from e-pay , you will need it to finish your application. Selecting the military veteran box, exempts them from having to pay for the license at this time.

Check the affidavit and electronic signature. Read and acknowledge the affidavit and sign the application form. Then hit the submit button.

The Occupational Licensing Section needs approximately 45 days to process applications if there are no deficiencies or concerns with criminal history. We are working on improving/reducing response times even more.

We receive an abundance of paper and electronic information and it is very difficult to match them together if submitted separately. If you did not submit all of the required documentation with your eApplication, this will delay the approval process but you can help by responding promptly to any deficiencies sent to you to prevent further delays in your application. Your eApplication has been received and will be logged into the queue for review. Your application will be processed in 6-8 weeks. Additional Licensing Information Licensing Requirements Check the Status of an Application Please Note: Your application must be approved before you are eligible to register for an exam. If your application is approved you will be sent an approval letter. Once your application has been approved you are eligible to register for an exam. At this time, there is no capability for you to print your application for your records. We are hoping to have this capability in the future.

27 Licensing Updates Once approved, fill out the exam registration form on our website. The required fields are marked with a red asterisk * Customer Number is required to register.  The Customer Number will appear on your Application Approval Letter. If you have not received an approval letter, please do not register to take an exam. Please include the letters CN as the first two characters in this field.

Licensing Updates Test Registration Form Continued… Select exam type and date. You must only register for one exam per type of license. Duplicate registrations for multiple dates will be deleted. If you fail the exam, you may register for another exam after you receive your failure analysis or immediately afterwards of testing at a CBT center.

29 Paper Applications Request a paper application by if you must submit: a paper check, money order, or ITV (Inter-agency Transfer Voucher - only available for state agencies) Paper applications approximately 6-8 weeks processing, if no deficiencies. your request to & include the following statement: "Please me an application for [license type] so I may submit my payment via paper check, money order or ITV."
