 6 Months Out: Secure Parent Involvement As judges As help for judges’ lounge As donors or sponsors Rehearsal and Set Design

 6 Months Out: Secure School Support Make sure administration is on board Talk to your maintenance staff or address the faculty with the situation. Rehearsal and Set Design

 2 Months Out: Create Invitation List your events Directions to your location Lunch info Awards info Submit to KHSSL and/or Tabroom and/or directly to coaches. Rehearsal and Set Design

 2 Months Out: Create a Schedule To flight or not to flight? Lunch time = Catch up time Awards – approx. 2 hours after finals start Rehearsal and Set Design

 2 Months Out: Create Documents Maps Letter to coaches and competitors Ballots Estimate # Rehearsal and Set Design

 One Month Out: Make sure you have… Ordered the awards Secured keys or a person who will have them Recruited a tab room staff Made arrangements for cash boxes Told teachers and administrators what to expect Rehearsal and Set Design

 One Month Out: Make sure you have… Created and set up your tournament on Tabroom.com if you are using it. Organized your team with assignments for what they will be doing. Rehearsal and Set Design

 One WEEK Out: Finish Documents Copy ballots as needed for all rounds Print out hard copies of tab sheets – just in case Print out judge cards and schematics Rehearsal and Set Design

 One WEEK Out: Finish School Prep Make signage for directions and lunch sales, etc. Pick up the trophies Check with parents on judges’ lounge prep Review team assignments with them. Rehearsal and Set Design

 Managing People Team: Meet with them early – 6:30 AM or so Make sure they are in place, easily identifiable as a member of your team and know what to do. Organize them and delegate authority wisely SHOWTIME

 Managing People Parents Helps to have 1-2 lead parents for managing the judges’ lounge Be available to assist with early morning set up and then try to leave it to them. SHOWTIME

 Managing People Tab Staff Have computers or tab sheets ready for use Get ballots organized for distribution through the day Have containers (large envelopes, e.g) for coded ballot return Plenty of pens, markers, etc. Extra schematics, judge assignment lists and other documents. SHOWTIME

 Managing People Coaches & Competitors Organize registration with a place to report drops first, then payment. Send competitors and coaches to either a large commons area or to classrooms to get organized. Have an announcement time before rounds if needed / possible SHOWTIME

 Managing the Rounds: Start on time What to do about extemp? Make sure team members report missing judges within 10 minutes of start of round Have extra judges on standby to deal with late/missing

SHOWTIME  Managing the Rounds: Stay on Time Be alert to wandering judges Keep an eye on ballot distribution and drop off Stay on top of any tabbing issues. Resolve problems quickly.

SHOWTIME  Managing the Rounds: Start Awards on Time Pre-slate finals judges if at all possible Pre-assign rooms for finals Break finals as soon as tabulation allows. Set up trophies during finals round.

SHOWTIME  Managing Awards: Thank You’s Probably the most important thing you’ll do at awards if you want to host again the following year. One Clap Rule Student Announcing of awards? My advice would be avoid it. Have team participate in another way.

 Deal with the Aftermath Check all rooms for issues. Touch base with anyone affected by problems ASAP Lost & Found Clean as much as possible Lock up if that’s part of your duties. Striking the Set

 Deal with Team and Helpers Thank profusely – they will have worked almost as hard as you. Reward if possible Send them home! Later, team will want to write thank-you’s to all who assisted with tournament in any way. Striking the Set

 Deal with the Proceeds The fun part. Count your money… Plan how to spend it. Striking the Set
