Setting up/Managing Bank Personnel Intuit Financial Services University Business Financial Solutions Certification

Page 2 Business Financial Solutions: Setting Up Bank Personnel Intuit Proprietary and Confidential Section Objectives By the end of this section, you will know how to set up Bank Personnel. Specifically you will learn how to:  Set up new Bank Customers  Add new Bank Users  Manage existing Bank Users  Assign Bank User permissions

Page 3 Business Financial Solutions: Setting Up Bank Personnel Intuit Proprietary and Confidential Bank Personnel – Bank Customers Bank Users use the Bank Customers service to add, change, delete, and display Bank Customer information for a Lead Bank. A Bank Customer is an internal department at the financial institution to which Bank Users belong. A Lead Bank can have multiple Bank Customers. Setting up Bank Customers allows the Lead Bank to group/organize Bank Users. TIP: Set up as many Bank Customers as needed for division of duties and for easier auditing as the Audit Report only allows reporting on specific Bank Customer(s), as opposed to a specific Bank User. To add a Bank Customer: Step 1: Enter a Code and Name for the Bank Customer and click Add. NOTE: The Code is the Customer ID and is shared by all Bank Users (that belong to this Bank Customer). The code is also used as the first part in the 4-part login process.

Page 4 Business Financial Solutions: Setting Up Bank Personnel Intuit Proprietary and Confidential Bank Personnel – Bank Customers Step 2: Enter the information needed to add the Bank Customer to the system and click Add. Customer Password - Shared by all Bank Users (that belong to this Bank Customer) and is used as the second part in the 4-part login process. If the financial institution has opted to disable the Customer Password, then these Customer Password fields will not display here. Contact Name - The name of the primary contact person for this Bank Customer Setting a Contact here does not set up the contact as a Bank User. Affiliate Bank – The bank to which this Bank Customer is associated. The Bulletins service posts bulletins to certain users based on the Affiliate Bank to which they are associated. Enable Date – The date when any Bank User (within this Bank Customer) can access the system (default is today’s date). DI Challenge - Click Yes to enable DI Challenge (a security feature that requires users to answer their security questions whenever they log in from an unrecognized computer) for the Bank Customer. Enable Date – The date that all Bank Users (that belong to this Bank Customer) must enroll in DI Challenge (default is today’s date). NOTE: If DI Challenge has not been enabled for the Lead Bank, the DI Challenge option will not display here. Customer Number - An identifier for this Bank Customer (such as a department number).

Page 5 Business Financial Solutions: Setting Up Bank Personnel Intuit Proprietary and Confidential Bank Personnel – Bank Users To add a Bank User: Step 1: Click Find/Refresh to display a list of Bank Customers. Bank Users use the Bank Users service to add, change, delete, and display Bank User information for a Bank Customer. Bank Users are employees at the financial institution who have access to BFS. Step 2: Select the Bank Customer to which the Bank User belongs. Step 3: Enter a Code and click Add. NOTE: The Code is the Bank User’s User ID and is used as the third part in the 4-part login process.

Page 6 Business Financial Solutions: Setting Up Bank Personnel Intuit Proprietary and Confidential Bank Personnel – Bank Users Step 4: Enter the information needed to add the user to the system and click Add. User Password - Used as the fourth part in the 4-part login process. Enable Date – The date when the Bank User can access BFS (default is today’s date). NOTE: If a date, that is earlier than the date that was set on the Bank Customer level, is entered here, the Bank User will not be able to login until the Enablement Date set on the Bank Customer level has been reached. Administrator – At this time, this does setting not do anything. All Bank Users permissions are set via Bank Personnel  Bank User Permissions. EXCEPTION: Only Bank Administrators have access to the Security Center  Password Report. DI Challenge - Click Yes to enable DI Challenge (a security feature that requires users to answer their security questions whenever they log in from an unrecognized computer) for the Bank User. Enable Date – The date that this Bank User must enroll in DI Challenge (default is today’s date). (Again, if a date, that is earlier than the date that was set on the Bank Customer level, is entered here, this Bank User will not be able to enroll for DI Challenge until the Enablement Date that was set on the Bank Customer level has been reached.) NOTE: If DI Challenge has not been enabled for the Bank Customer, the DI Challenge option will not display here.

Page 7 Business Financial Solutions: Setting Up Bank Personnel Intuit Proprietary and Confidential To maintain an existing Bank User: Bank Personnel – Bank Users Step 1: Click Find/Refresh to display a list of Bank Customers. Step 2: Select the Bank Customer to which the Bank User belongs. Step 3: Select the appropriate Bank User to be modified and click Change.

Page 8 Business Financial Solutions: Setting Up Bank Personnel Intuit Proprietary and Confidential Bank Personnel – Bank Users Step 4: Enter the information needed to modify the existing Bank User and click Change. Login Status - The current status of the Bank User. Unlocked – The Bank User can log in to BFS. Locked – The Bank User cannot log in to BFS. Bank Users can be become “locked” either because their status was changed by another Bank User or the Bank User exceeded the number of attempts that the financial institution has set to enter their password incorrectly during login. In either case, the Bank User can be changed back to “unlocked” and the Bank User will be able to attempt to login with their correct password again. NOTE: If the Bank User cannot remember their password a new temporary password would need to be entered here on this screen and communicated to the Bank User. Clear Security Questions - When checked, clears the security questions and answers that the Bank User had originally established. The system will prompt the Bank User to select a new set of questions and answers to be used on future logins. NOTE: If DI Challenge has not been enabled for the Bank Customer, the Clear Security Questions option will not display. The Bank User can be placed in a “Unlocked” or “Locked” status.

Page 9 Business Financial Solutions: Setting Up Bank Personnel Intuit Proprietary and Confidential Bank Personnel – Bank User Permissions Bank Users use the Bank User Permissions service to permit services to Bank Users or remove services from Bank Users. Step 1: Click the Find button to display a list of Bank Customers. Step 2: Select the appropriate Bank Customer from the Customers box. Step 3: The system will display all Bank Users for that Bank Customer in the Users box. Select the appropriate Bank User. Step 4: The services that the financial institution has contracted for display in the Permissions list. Use the arrow buttons between the Inactive Services list and Active Services list to move the selected services from list to another. NOTE: A Bank User must have permission to a service in order to permit that service to another Bank or Corporate User.

Page 10 Business Financial Solutions: Setting Up Bank Personnel Intuit Proprietary and Confidential Point to Consider If the financial institution has Challenge Manager and wants it to apply to Bank Personnel, a Bank User will need to set up the following services for each Bank User: Security Center  Set Auth Mode - indicates which Challenge Manager Authentication System a user will use: One Time Passcode or a token vendor (Radius or SecurID). Security Center  Challenge Manager –allows challenge points to be added or removed for selected services, customers, and/or users. Both of these services are covered in detail in the Setting Up Corporate Customers and Users section.

Page 11 Business Financial Solutions: Setting Up Bank Personnel Intuit Proprietary and Confidential Practical Applications 1.How is the Code used when setting up Bank Customers and Bank Users? a)It is an unique identifier used internally by the financial institution’s BFS system. b)It is used as the Customer ID or User ID during the login process. c)Both of the above. d)None of the above. 2.True or False: A Bank User must be an Administrator in order to have access to the Bank Customers and Bank Users services. 3.True or False: A Bank User must have permission to a service in order to be able to permit that service to another Bank User or Corporate Customer.
