Mobile Connectivity With Sage - connecting employees to business wherever they are - Mobile productivity systems deliver incredible returns to your business. 4 Example of a typical Mobile Productivity system The following slides are an example of the “Mobile Intranet” service hosted and maintained by MP. The demonstration includes the following activities: A mobile user starting the application and receiving an SMS The business administrator sending out a group SMS A mobile user viewing a list of upcoming tasks The administrator uploading a tasks list from an Excel spreadsheet A mobile user downloading a task sheet and viewing it while offline A mobile user downloading a document and then viewing it while offline A mobile user entering time and mileage for a particular job while offline and then uploading the data A mobile user entering an order while offline and then uploading the data The following slides are simply an example of the sort of functionality that can be achieved with a mobile productivity system. Its flexibility means that specific user interfaces and functionality can be incorporated to meet the exact requirements of a particular customer. Two typical system additions are; the incorporation of signature capture for proof of delivery and bar code scanning for asset registration and tracking.

5 Mobile User Experience – Switching On The mobile user can quickly get to the application and start using it: Turning the device on brings up the “Today” screen Clicking on “Start” pulls up the programs menu Tapping the “i” icon opens the Mobile Productivity Application Since the device is also a mobile phone, it can receive messages from the business administrator In this example, the administrator has sent out a message to a particular group of staff

6 Administrator – Sending a Groups SMS The administrator back at the office uses the web based management system for: User access rights Intranet content Database synchronisation rules with customer’s servers Database synchronisation rules with customer’s mobile users Group outbound text and messaging Viewing inbound text messages The screen to the right is an example of how the administrator would send an outbound group message

7 Mobile User Experience – Going Online The Mobile user may want to view what jobs he has to do over the next few days By tapping “Login” the user can go online and browse the mobile intranet They can browse the new job sheets that the administrator uploaded Tapping “Seven Day Tasks” brings up the jobs they have to do Selecting a particular date pulls back all of the jobs to be done on that date If there is a contact number associated with a job then clicking on the number makes the call

8 Administrator – Uploading a database The administrator back at the office can get data into the system by: Excel upload XML web services Direct server – server synchronisation The screen to the right is an example of how the administrator would upload the seven day task spreadsheet from the previous example

9 Mobile User Experience – Browsing Offline Instead of having to go online to view information each time they need it, they can chose to store it on their handset By tapping “Download” the data associated with that particular mobile user is downloaded (this approach saves considerable time and mobile data costs) By tapping “Dataview” the user can then view the data offline whenever they want The screen displays the list of databases that the user has previously downloaded. The user selects to view “Task Sheet” and selects the date. The two jobs on that day can then be viewed. Tapping “Back” takes the user back to do another search

10 Mobile User Experience – Browsing Offline The mobile user remembers that the administrator sent out a message stating that the procedure document TR34 had been updated The user decides that he will download that document. By going to the “Online” tab and tapping “Resume” the user goes back online and into the intranet. The screen displays the intranet home page and the user navigates by clicking on “Procedure Documents” to the TR34 download section Once the document is downloaded, it is viewable offline in the “QMS” section

11 Mobile User Experience – Offline Timesheet The mobile user has just completed a job and so needs to enter the resources used for that job into the company management system The mobile clicks on the timesheet tab, selects the vehicle used on the job, and clicks “Add” He select the job number that he is booking to and enters the mileage and time on that job Once the timesheet is completed, the information is safely stored on the device waiting for an appropriate moment to be uploaded By going to the “Online” tab and tapping “Upload” any timesheets that mobile user has entered is automatically uploaded to the MP system

12 Administrator – Using the timesheet data All of the timesheets submitted by the mobile employees are collected into a secure database on the MP Server system: The timesheet data can be regularly collected by your existing business system using XML web services Alternatively, with the click of one button, the administrator can download all of the timesheet records submitted by all of the employees as an Excel spreadsheet

13 Mobile User Experience – Offline Order Entry The mobile user has just made a sale and so needs to enter the order details into the company management system The mobile clicks on the orders tab, selects the customer and their reference and clicks “Add” He select the product being ordered, enters the quantity, the discount and clicks “Add” All the orders entered are safely stored on the device waiting for an appropriate moment to be uploaded By going to the “Online” tab and tapping “Upload” any orders that mobile user has entered are automatically uploaded to the MP system
