Week In Cities [WIC] Roadmap

What is the purpose of the WIC Roadmap? BLUF: This guide outlines the Who, What and When in planning a WIC trip. Developed by the Fuqua Career Management Center, Corporate and Alumni Relations, the Office of Student Life as well as the MBAA, this guide will: Maximize students’ experience and networking while planning and partaking in a WIC trip Connect student coordinators with the appropriate administrative leads to ensure –Fuqua protocols as it pertains to corporate outreach are adhered to; –external relationships; i.e., alumni and companies, are stewarded properly, and –synergistic opportunities are identified and maximized Make the planning process as easy as possible for student coordinators thereby minimizing efforts and confusion, and maximizing returns 2

Administrative Leads You Must Connect With Each club or other group planning a WIC trip must connect with the following administrators BEFORE reaching out to ANY external contacts: Sector Director Teri de Leon 1.The Career Management Center – students planners should specifically connect with the Sector Director that oversees the industry your WIC is focused on. You may also connect with Teri de Leon who is the CMC lead focused on WIC trips. They will help you with company visit requests. Nicole Kempton 2. Alumni Relations – student planners should specifically connect with Nicole Kempton. She can provide alumni contacts as well as facilitate the planning of an alumni happy hour. Ruth Tolman 3.Student Life Office – student planners should specifically connect with Ruth Tolman. She will provide you with the required liability waiver [for travel] and will be able to answer any other risk questions. WIC student planners can connect with all of the above administrators by sending one to 3

Time Line & Associated Action Items This timeline applies to all trips planned regardless of trip timing. The specific timing outlined below is critical for successful trips over Fall break, some adjustments may be made for trips taking place later in the year. In Spring Term 2In Spring Term 2 rising SYs must connect with the administrative leads noted on the previous page to initiate discussions about your club’s WIC trip to include (as much information is available): –When do you plan to travel? NOTE: dates of travel CANNOT conflict with classes or final exams! –Where do you plan to travel? –What companies would you like to visit? –Would you like to have a happy hour with alums during this trip? –How many students are planning to attend? During the summer months and once back on campusDuring the summer months and once back on campus rising SYs should stay connected to the administrative leads for updates and to work on trip details as needed At the start of Fall Term 1At the start of Fall Term 1 –SYs need to introduce and connect new FY student coordinators with administrative leads; and –FYs or SYs need to confirm WIC trip details with the MBAA WIC coordinator which is a member of the MBAA Career Cabinet A few weeks prior to the actual WIC tripA few weeks prior to the actual WIC trip, –SY club members will host an info session for FYs during which trip expectations, and potential consequences, will be clearly outlined and communicated –Student planners will pick up all event materials from Nicole Kempton in Alumni Relations A week before the WIC tripA week before the WIC trip all liability waivers for each trip must be signed and submitted to Ruth Tolman [in aggregate] 4

BLUF: Check List of WIC Action Items  Send to to confirm interest in planning a WIC trip for the next academic year [Spring  See Slide number 3, include as much information as you have at the time  Stay connected to Fuqua leads and work on trip details as needed [Summer months]  SYs should connect FY student trip planners to administrative leads [early Fall 1]  Student trip planners should confirm WIC trip details with MBAA WIC coordinator [early Fall 1]  A few weeks prior to the actual WIC trip:  SYs to host info session for FYs >>> Set expectations!  Student planners should pick up all event materials from Nicole in Alumni Relations  Collect and submit all signed liability waivers for each trip to Ruth in Student Life [in aggregate] 5
