Membership Inventory Activity Reflection Who were the critical agencies, organizations, people you wanted to participate? Did your strategies for inviting new members work? What were barriers to their involvement? What progress has your team made regarding membership? What agencies, organizations and people are still missing? UPDATE YOUR INVENTORY!

Organizational Structure Beginning thinking about where your CTT needs work… 1.CTT Name 2.By-Laws 3.Officers 4.Roles at initial meetings 5.Ground Rules 6.Agendas & Minutes 7.Committees 8.When & Where To Meet 9.Team Member Responsibilities Individually reflect on the roles & responsibilities activity form you completed at our last meeting.

Revisiting Your CTT Organizational Structure Do we have / do we need… 1. Does our name still reflect who we are / our purpose? 2. Formal or Informal by-laws? - meeting frequency & place - membership description - leadership roles (officers, etc.) - plans & activities (i.e., agenda, minutes) - finances (i.e., budgets, expenditures) - communication b/t meetings Cover these basic pts.

3. Officers / Executive Committee Responsible for: team framework, notifying members of meetings, developing agendas, taking/distributing minutes, maintaining finances, facilitating team meetings, (other tasks??) Recommendation for Officers: - At least 2 (Chair/President & Secretary/Treasurer) - Change officers every 2-3 years - Outline the duties of officers in by-laws or other document. Revisiting Your CTT Organizational Structure Do we have / do we need…

4. Roles for CTT meetings for a “smooth” meeting Facilitator, Recorder, Time-keeper, & Spokesperson 5. Establish Ground Rules - Stay until the end - Use active listening - Keep group notes in team binder - Acknowledge everyone’s contribution - Be respectful of other people’s points of view - Start on time - If you can’t be on time, let someone know SAMPLE Revisiting Your CTT Organizational Structure Do we have / do we need…

6.Agendas & Minutes Formal Agenda: 1.Approval of minutes 2.Treasurer’s report 3.Old Business 4.New Business 5.Announcements Basic Agenda: 1.Topic A to discuss 2.Topic B to discuss 3.Topic C to discuss

7. Committees - Standing, Changing, Ad Hoc 8. Where & How Often to Meet 9.Shared Responsibilities - Decide on mission to meet transition services needs. - Provide leadership to develop services across agencies - Solve problems & eliminate barriers - Establish policies & procedures for service coordination

Make changes around the topics reviewed that will help make your CTT a stronger organization. As a team discuss what topics need the most work Use the weighting method (5,3,1) – if you need to. Determine which topic (1-9) need to be worked on first & DO IT! Pattie Noonan,
