Kentucky State Parks Pre-bid Conference Property Management System Point-of-Sale System

17 Resort Parks with 890 lodge rooms and 304 cottages. (PMS) 17 restaurants and 3 cafeterias (POS). 16 golf courses (POS). 29 campgrounds with nearly 2,400 campsites (PMS). 80 meeting rooms (PMS/SAC). 20 gift shops and kiosks (POS). Other retail outlets (POS).

KSP implemented VisualOne PMS for lodge/cottage reservations and group sales in KSP implemented ReserveAmerica for campground reservations in KSP implemented Micros POS at resort park restaurants in KSP currently does not have POS systems for golf, gift shops, and other retail outlets.

Current PMS is not a “multi-property” PMS. Current PMS is not interfaced with credit card systems. Current PMS is not interfaced with POS systems. Current PMS has very limited marketing functionality. Current PMS has very limited online reservations functionality. POS is currently implemented only in our restaurants.

A cloud-based (vendor hosted) Enterprise-level Multi-Property PMS to manage lodge rooms, cottages, and campgrounds. Ability to manage and report on properties as a whole. PMS interfaced with other automated systems: credit cards, POS, electronic locks, etc. PMS with strong marketing functionality. PMS with strong online reservations functionality. PMS must include full-featured Sales and Catering system. POS to manage restaurants, cafeterias, golf pro shops, gift shops and other retail outlets. Onsite installation and training for PMS & POS. STRONG ongoing 24X7 technical support options for PMS & POS.

Pay-as-we-go: Vendor will collect a percentage of sales each month for PMS & POS systems. Vendor may collect a higher percentage of sales during year 1 to cover overhead (installation, training, etc.).

KSP prefers to issue a single RFP for both PMS and POS systems. Vendors may sub-contract for services if necessary. We would like to hear your thoughts on this.

KSP plans to offer a “benefits-based” RFP. This will include a funding model that pays a percentage of sales each month for PMS and POS systems. We would like to hear your thoughts on this.
