North Kitsap High School ASB TRAINING

It is an Associated Student Body (ASB) Fund event or fundraiser if: BASIC THINGS TO KNOW It is an Associated Student Body (ASB) Fund event or fundraiser if: Students are involved. The School district or School name is used. It is conducted on or off school property. It is done with the approval of the school board or their designees and/or school administration.   When all of the above are in place, the funds raised are public monies and must be deposited to the ASB Fund.

ASB EXPENDITURES C - Cultural A – Athletic R – Recreational S – Social There are four legal expenditures of ASB funds. C - Cultural A – Athletic R – Recreational S – Social which are non-graded, optional and extracurricular

$ MONEY $ DO NOT ACCEPT MONEY ALL MONEY MUST GO THROUGH THE ASB WINDOW or Athletic Office ALL MONEY MOVEMENT IS CONSIDERED FUNDRAISING -Example: Sweatshirt orders, club dues

Procedures Fill out a Fundraiser Form if ANY money will be collected Submit NKHS Requisition for Purchase and submit it to Vicki Wright Wait for Student Approval Get Credit Card Order Merchandise/Items Submit invoice/receipts/packing slips to ASB office Finish Fundraiser Reconciliation Form if money was brought in.

Students and ASB All Students involved in extra-curricular activities need to purchase an ASB card Please check your student rosters and make sure that students who are involved in extra-curricular activities have a current ASB card Club officers must have an ASB card in order for the club to receive any ASB funds

FUNDRAISING Checklist Prior Approval-New NKHS Form Parent Permission Inventory Control Invoices and Packing Slips Contracts Conflict of Interest (No Family)

Reconciliation To be completed within one month of the completion of the fundraiser. Schedule a meeting with the Bookkeeper (Vicki Wright) to finalize the fundraiser.

Meeting Minutes Document student involvement Please assign a secretary to electronically document your minutes May be referenced in the case of an audit. These would be vital in showing student authorized spending.

PURCHASING PROCESS Wait for Student Approval Fill out a Fundraiser Form if needed Verify that the ASB account has enough $ Submit NKHS Requisition for Purchase to Vicki Wright Wait for Student Approval Get Credit Card– WE DON’T HAVE OPEN PO’s ANYMORE. Order Merchandise/Items Submit invoice/receipt to ASB Office Finish Fundraiser Reconciliation Form

Bring ALL proof of receipt to Receiving Goods Bring ALL proof of receipt to ASB OFFICE Packing Slip Original Invoice/Receipts

CONTRACT FOR SERVICES ALL PAPERWORK (W4, I9, OR CONSULTANT CONTRACT) MUST BE ON FILE AT DISTRICT OFFICE PRIOR TO STARTING WORK.

BOOSTER CLUBS Parent Support Groups Separate entity not connected to school Privately students are still able to raise money as members of other organizations (scouting, church, etc.) but this activity cannot be done by an ASB Group or with school approval or district supervision on school time. Students may not use a school team or club name nor suggest representation verbally nor wear a school uniform during personal or private fundraising. (WAC 391-138-015) Boosters can donate to ASB, however, ASB can not donate to Boosters
