1 ASB Budget Building

2 ASB Budgets Used to fund student activities, cannot be used for building expenses/Curriculum (books, staff etc) Must be used for Cultural, Athletic, Recreational, or Social purposes. (C.A.R.S) Student Money: Students must be involved in all facets of the budget building process Expenses can only be approved by the agreement of the Advisor, the students, and the fiscal officer Any use of Roosevelt (facilities, logos, equipment) teams or students ties the fundraiser to the school and the money must be deposited into the ASB account.

3 Terms to Remember! ASB: Associated Student Body.
ASB Budget: Overall student body activities budget ASR: Associated Students of Roosevelt, name that the Roosevelt ASB chooses to use. Budget Capacity: Your “ability to spend”. It does not represent real dollars in the bank. Just as you budget and plan to save for a trip, you cannot pay for the trip until you have real dollars in the bank. There are no credit cards in ASB!! Line Item: A line in the budget that designates a specific projected cost. (ex: uniforms) Carryover: unused dollars from the previous budget cycle

4 Budget Planning One of the best ways to think of budget planning is to think of all of the activities that you would like to do with your club or sport throughout the year (like wish list). Once you have your wish list, think about the following questions: What is the cost of those items? How do you plan to raise the money?

9 Event Forms (formally known as fundraising forms)
In addition to your budget, you will need to fill out BOX A of an Event Form for each activity or event your club/sport will participate in throughout the year. These events/activities can include, but not be limited to: Fundraisers Going out to dinner Parties End of Season Banquet Conventions Tournaments I know that you can’t plan for everything. If you do not know what your specific fundraiser or activity will be, you can always fill out the Event Form during the upcoming school year. Remember: these fundraisers and events must still be a line items, just keep your line items description broad – for example: Fundraisers, Parties, Events

11 Commonly asked Questions
Question: “We want to change the budget and use those dollars for something else, can we do that?” Answer: Yes. You can fund a lesser similar project but not change the overall budget or add dollars. Question: “We had a great fundraiser and raised a lot money. We want to use it now for a big party at the end of the season. Can we do that? Answer: Yes, as long as you have a line item in your budget for the party. So, if you think you might make some extra money, add in the line item! Question: Are we committed to everything that we list on our budget? Answer: No, you don’t have to do everything on your budget, you just can’t do something that is NOT on the budget. Question: What happens to leftover funds? Answer: Any leftover funds will be carried over to the next year. Any others?

13 Deadlines All Budgets Due: Friday, May 5th But......
If all of your forms/signatures are submitted by the following dates your club or sport will receive a cash incentive: Friday, April 28th: $75.00 Monday, May 1st: $ 50.00 Wednesday, May 3rd: $25.00 Incentive Criteria Electronic copy of budget uploaded and approved by Plesha or Katinas Electronic copy of events forms uploaded for each event in your budget Electronic copy of your revised constitution Signed copy of your approved budget (to Plesha’s or Katinas’ Box) Signed event forms for all line items on your budget Signed hard copy or meeting minutes from the club meeting in which you approved your budget
