MY ROTARY – MANAGE – CLUB ADMINISTRATION WHY IS THIS IMPORTANT FOR YOU? It is where you will find all the tools to administer your club! [click] Let’s go to the section Club Administration. [click]

CLUB ADMINISTRATION IN MY ROTARY In Club Administration, you will see a list of links to tools, information and reports. Before we go over them, please note that some clubs or districts are part of our database integration project which connects local databases with Rotary International. Via the link (CLICK) «add or remove vendor partner organization» you can see if this is the case. If your club or district is part of this database integration, you may have to update membership and club officer information only in your local database. Please contact your club or district database software provider with any questions about this. (CLICK)

MY ROTARY – MANAGE – CLUB ADMINISTRATION Let’s now go over the most important items of the club administration section. Under ADD/EDIT/REMOVE, where you will find the [click] Add/edit/remove member button, which will take you the official club membership list. Next to the name of every member, you will see three buttons: [click] View, Edit, and Terminate. Click on these buttons to view a member’s record, edit it, or terminate the person’s membership in your club respectively. [click] The Add Members button at the top enables you to create new membership records for first-time Rotarians as well as transfer former members of another Rotary club to your club. If you know that a new member has been a Rotarian before, please always find his old record and add him to your club. This avoids duplicate records and ensures that the donation recognition and membership history stays with the Rotarian. [click]

MY ROTARY – MANAGE – CLUB ADMINISTRATION Next is where you report the club officers. Clicking on Add/edit/remove club officers you will immediately see [click] which roles have been reported and for which years. [click] Click on the Assign button to report the missing officers. It is very important that the officers are reported and with the correct e-mail address. This will ensure that they get the correct access rights in My Rotary and receive important mailings from RI. [click]

MY ROTARY – MANAGE – CLUB ADMINISTRATION Further down on the menu, you will find the links to update your club’s meeting details, and change your club’s permanent mailing address and contact info. Please note that club contact information will be published in Rotary media, including the Club Finder on the Rotary website. Club officer information, on the other hand, will be published in the Official Directory, which is only accessible to Rotarians. [click]

Here you can find the Frequently Asked Questions about Club & District Administration, and a number of official forms you may need as a club: for example if your club is sponsoring a new interact club or if your club wants to change its name. FIND MORE INFORMATION UNDER LEARNING & REFERENCE The next section that I want to highlight on My Rotary is Learning & Reference, which is where you can find more information about various Rotary topics that can support you as club officer. [click]

LEARNING & REFERENCE Learning and Reference is where you can access all of the training information either by role [click] or by topic [click]. By the way, here, under membership you will find the “Be a vibrant club” publication that we presented you at the very beginning. Other materials for reference such as the Official Directory [click] and the Manual of Procedure [click] are also available in this section. [click] In the same area, you will find useful courses in the Learning Center, including one on Rotary Club Central. Webinars will help you learn more about Rotary topics of interest such as using social media or developing a service project. You can also go to the Document Center to browse and download forms, training manuals and publications that are produced by Rotary. [click]

MY ROTARY – LEARNING & REFERENCE – DOCUMENT CENTER …to browse and download for free many of the forms, training manuals and information sheets that are produced by Rotary. You can search by topic, simply by [click] clicking on the section you are interested in, such as: Club Administration Grants Marketing/Public Relations etc [click] You can also search by category, just by selecting one of the 33 categories from the drop-down search menu under the arrow. ideas.rotary.org Rotary Ideas helps your clubs connect with project partners and find support for your service project.  You can post service projects to help raise awareness and find project contributors by soliciting for [click] funds, volunteers, resources and partnerships from Rotarians and non-Rotarians alike.  Other site visitors can browse projects in need of assistance; contribute time, money or resources or partner through the tool. rotary.org/showcase Rotary Showcase is the tool where clubs can: - brows projects to explore the good work that Rotary clubs are doing locally and globally - share your impact (volunteer hours, number of volunteers, cash contributions, in-kind contributions), as well as description of the project and photos/videos. - promote your own project with the Rotary community and your Facebook friends. For example, how many new members does your club want to attract, how many project are you planning for your year, are you thinking of sponsoring a new Rotaract club? These are example of goals that you will now report online. WHY IS ROTARY CLUB CENTRAL SUCH AN ESSENTIAL RESOURCE FOR YOUR CLUB? [click] It centralizes information. [click] It encourages continuity in leadership. [click] It is available to every Rotarian, and [click] It showcases the important work that Rotary clubs do worldwide. Let’s now review the features one by one, explaining what they mean and illustrating them. [click] Let’s start with how it centralizes information. Rotary Club Central provides access to data that was previously available from several reports.

ROTARY CLUB CENTRAL For example, as soon as you login, you will see the membership trends of your club over the last five years. [click]

Membership Trends ROTARY CLUB CENTRAL Gender (3 year trends) Age Trends (3 year trends) If you scroll further down the page, you will see the gender and [click] age statistics of your club. Seeing these trends can help your club strive for a more balanced membership.

ROTARY CLUB CENTRAL Under the Foundation Giving tab, you will find a graph showing your club’s Annual Fund giving over the last 5 years as well as the goals that your club has set in this regard. [click] So with all the information that is centralized here, you will get a good idea about your club.

It is a great tool for incoming club officers as they will be able to see the history of goals and achievements of their clubs. [click]

ROTARY CLUB CENTRAL Indeed for each goal you will see three tabs, with the past Rotary year, the current year and the next year for which you will serve as an officer. As incoming officer you already have the possibility to enter the goals for your year [click] by clicking on the tab of your year. The other years have been filled by your predeccessors. [click]

Enter your goals ROTARY CLUB CENTRAL So how do you enter your club’s goals? [click] Click on the edit button, next to each goal category like here. [click] On the next screen you can enter the goals (in percentage or in numbers of Rotarians) and save them. [click]

ROTARY CLUB CENTRAL Every Rotarian can also access statistics, goals and progesses of the district or of the whole world, [click] by clicking on District View or Global View. [click]

ROTARY CLUB CENTRAL To illustrate this, let’s have a look at the global view tab. [click] [click] 15 % of clubs worldwide have already entered goals and they have announced [click] 34 millions projects. This is really an amazing number! So you can imagine how many projects will show up after 100% of the clubs have entered their goals! [click]

ROTARY CLUB CENTRAL When it comes to foundation givings, almost [click] one third of the club have entered their goals. Their planned donations sum up to more than 59 million US dollars! [click]

ROTARY CLUB CENTRAL Now before we go to the next topic, let’s mention that when you login to My Rotary you will see “My Club Snapshot.” There, [click] you will immediately see a summary of how many goals your club has set and achieved in each section of Rotary Club Central. [click]

ROTARY CLUB CENTRAL At the bottom of this snapshot, you can click on “Visit Rotary Club Central” to start viewing and editing goals. [click] Rotary club central can also be accessed from “Club and District Administration” under Manage or [click] under Take Action. [click]
